For students with conditions that are episodic in nature or that impact their ability to devote sufficient time to the assignment, strict assignment deadlines and punitive grading on late assignments can prevent them from demonstrating their full mastery of class content. The purpose of reasonable accommodations is to ensure access, and this extends to providing flexibility within class policies to ensure students with disabilities are not disproportionately penalized for exacerbations in their condition, as they may be unpredictable and inevitable despite ongoing health and time management practices.

Students with disabilities who navigate with a wide variety of disability-related experiences are approved for this accommodation. Granting extensions on assignments ensures that the student is not unfairly penalized for having to use alternate means or methods to access written materials and complete their work. Examples of when a student may benefit or be approved for this accommodation:

  • Students with compromised reading abilities arising from a learning disability who need more time to process and complete the volume of reading/work
  • Students dealing with fluctuating and unpredictable periods of exacerbations of their condition associated with chronic illnesses or mental health disabilities
  • Students with executive function impairments who find it difficult to focus and concentrate for sustained periods of time and need to break their work into shorter bursts of time
  • Students who need frequent rest periods or who are able to work only for short periods of time, such as those with recent concussions, brain injuries, or chronic illnesses
  • Students with reduced or limited stamina who have difficulty sitting, reading, writing/typing for extended periods due to chronic illnesses, physical disabilities, or injuries
  • Students who rely on adaptive technology (e.g., screen readers or speech-to-text software) to read and/or write as this process may be slower than reading with normal eyesight

How to Evaluate the Reasonableness of Assignment Extensions in a Class

The accommodation for Assignment Extensions should always be considered on an individual class basis, allowing an intentional and critical analysis how the sequencing of assignments and their corresponding deadlines are essential to the class learning objectives and pedagogical components. While a late assignment policy may be incorporated into the grading scheme and syllabus, this accommodation is intended to modify any stated policies to allow some flexibility to account for the student’s disability-related need. 

The accommodation should be provided unless the accommodation  significantly  compromises the integrity of the course as offered. If you believe assignment extensions are not possible, then instructors should consult with a Disability Adviser to determine the reasonability of the request within the specific context of your class. The OAE will consult with instructors using the following questions to determine the reasonability:

  • What does the class description and syllabus say about assignment deadlines or late work?
  • How is the final class grade calculated? To what extent are assignments factored into the final grade? Are there any alternative grading schemes for assignments (i.e. one assignment grade may be dropped, etc)?
  • Are assignment deadline policies consistently applied? (i.e.., Have any exceptions made to the policy for non-disabled students, such as for athletic travel or religious observances? If so, then these exceptions must also be granted to students with disabilities.)
  • What is the purpose of the assignment? Is it necessary to have it completed before an exam? Before a discussion?
  • Is the material being learned in the class sequentially? Does each week’s material build on the material learned in the previous week(s)? (This may shorten the window of time in which an extension can reasonably be granted.)
  • Are assignments used as class content when they are due? Are students required to actively participate in class discussions/activities based off of the assignment? (e.g. problem sets reviewed as the first lecture on that content)
  • Are answer sets released that would impact a student’s ability to request an extension? If so, how important is the timeliness of providing the answer sets to student learning and course sequencing?
  • Are there other lab or class sections the student could attend to catch up on missed material?
  • Does the assignment involve teamwork? Would failure to complete the assignment on time compromise the educational experience of other students in the class?
  • Is it possible for students to “work ahead” in this class?

Limits are reasonable; provide clear limits to the number of extensions allowed and the length of such extensions. This is not a “free pass” for students to turn in late work. Agreed upon extensions should be specific and limited to a specific amount of time.

  • The instructor’s class policy on late work (e.g., 10 points off a grade for each day late) will remain applicable even to students with Assignment Extensions accommodation if they fail to meet the agreed upon disability-related extension, or if they miss deadlines for other non-disability related reasons.
  • Students are never required to provide doctor’s notes to justify use of this accommodation.
  • Accommodations are not retroactive; instructors are not obligated to adjust previous penalties for late work if accommodation letter is provided after-the-fact.

Reviews documentation and meet with students to better understand their disability-related experiences. Through this interactive process, a Disability Adviser will determine if a student is eligible for Assignment Extensions to mitigate disability-related impacts throughout the quarter. If so, Assignment Extensions will be listed as an eligible accommodation on the student’s accommodation letter.

  • Consults and supports faculty in determining reasonableness of accommodation or how to implement this accommodation in light of essential class elements.
  • Provides support to students and faculty when questions or difficulties arise related to the accommodation.

Once instructors have been notified of eligibility for accommodations, instructors should determine the extent to which they can reasonably grant assignment extensions without fundamentally altering the learning objectives. The OAE is available for consultation if you have questions regarding how the accommodation interacts with essential elements of the class and determining if or what adjustments are reasonable.

If you believe the accommodation is not reasonable in light of your class objectives or pedagogical methods, contact the student’s Disability Adviser immediately as instructors should never unilaterally deny an accommodation. Instructors are expected to clearly articulate why flexibility is not reasonable.

  • The instructor should engage in dialogue with the student or the OAE regarding assignment extension expectations: delineate the preferred communication process for when the student needs to notify you of a disability-related extension, typical grace period for an extension, and any critical assignments that cannot be extended.

It is highly recommended that any limitations to reasonability for assignment extensions is summarized in writing through email. The email summary helps ensure everyone is operating from the same point of view and that any confusion of the agreement can be clarified. Students and instructors are welcome to include the student's assigned Disability Adviser on these email exchanges for documentation purposes.

  • Instructor will request consultation with OAE if they believe that extending the deadlines for assignments would fundamentally alter an essential element of their class or if they have questions about what a reasonable amount of time extensions is within the context of their class.
  • If extensions are pedagogically possible, the instructor will work with the student in good faith to determine a reasonable amount of time and set a new deadline for each eligible assignment.
  • Instructor will verify the specific plan for the new assignment due date in writing (by email) with the student.
  • The OAE is always available to mediate any concerns about Assignment Extensions, including concerns about academic integrity and logistics of this accommodation. The OAE remains a neutral party in evaluating what is reasonable as an accommodation and is here to support you.

Students approved for Assignment Extensions must request their accommodation letters on  OAE | CONNECT  and distribute their accommodation letters to instructors at the beginning of the quarter, or as soon as they are made eligible for the accommodation.

  • Initiating contact with your instructor to discuss the boundaries of the accommodation and developing protocols for how it will be used  OR
  • Requesting guidance from OAE Disability Adviser. The Disability Adviser will contact the instructor to determine the boundaries of the accommodation and any necessary protocols. 
  • Student should clearly understand if or how assignment extensions will be granted in light of the class learning objectives and structure. This entails knowing the finite number of extensions that can be allowed, how to communicate with the professor when they need to request an extension, and any critical assignments that cannot receive an extension.
  • At no time are students required to present documentation to instructors in order to justify a disability-related need for an extension.
  • Students should not plan on the extension being automatically provided and should always use this accommodation, if available, with care.
  • If a student receives a paper or assignment extension and is unable to meet the deadline, a new extension request must be made.
  • The OAE is always available to mediate any concerns about navigating Assignment Extensions in a specific class.

Student Email Templates

Extensions on Assignments Policy

Completing course assignments on time is an individual student responsibility and students should follow established assignment due date policies as provided. However, some students with a disability may require occasional extensions for class assignments if their disability impacts their ability to attend class and/or turn in their assignments within the deadline provided.

Determining when extensions on assignments are reasonable for an accommodation

The following guidelines are used in considering whether following the Extension on Assignments policy/practice will fundamentally alter an essential part of the academic program/course:

  • Are deadlines within the course a learning outcome for all students?
  • Does the assignment include group work?
  • Can the assignment be turned in an alternative way? (Instructor office mailbox, email submission, web upload, etc.)
  • Is turning in the assignment at a certain time and place an essential function of the course?

If the accommodation is granted, SAAS will determine the number of days allowed for the extension. This accommodation information will be provided to the student on the faculty notification letter.

Once an accommodation is approved by SAAS, the accommodation will be provided unless the accommodation fundamentally alters an essential part of the course/program.

The following guidelines are used by SAAS in considering a student request for an extension on assignments as a reasonable accommodation:

  • Is the accommodation reasonable in relation to the student’s documented disability and/or medical/mental health condition information provided?
  • Would the granting of the accommodation fundamentally alter/waive essential academic requirements of the course/program?
  • Was the accommodation requested prior to each missed assignment?

If SAAS determines that an extension on assignment will fundamentally alter a course, the accommodation will not be provided but an alternative may be offered if applicable. Approved accommodations are in effect once the student has emailed the faculty notification letter to the instructor of each course. Accommodations are not retroactive.

Student Responsibilities

  • It is the student’s responsibility to contact the instructor after access training and prior to use of the accommodation by sharing the Faculty Notification Letter.
  • Each time a student needs an extension on an assignment, the student must notify the instructor and SAAS Coordinator prior to the due date by email.
  • Student will contact their SAAS Coordinator immediately with any additional questions or concerns.
  • The student is required to meet the essential academic and technical standards of the program/course.

Instructor Responsibilities

  • Instructor will maintain the essential standards/learning outcomes of the class.
  • Instructor will contact SAAS with any questions, concerns, or if they feel that the use of the extensions on assignments accommodation has become excessive.
  • Instructor will contact SAAS immediately if it is believed that the requested extension would fundamentally alter the course/program.

Blended Learning Assignment Extension Request

This extension policy applies only to all first-year and second-year auto-enrolled blended courses (“qualified courses”). For all other courses, please see the extension and late policies located in the course syllabus.

B. Student obligations

In recognition that time management and adherence to deadlines are essential professional skills for an attorney, Mitchell Hamline has an obligation to develop these skills by imposing due dates on assignments. Numerous lengthy extensions can also interfere with grading and delay the release of grades and feedback to the rest of the students in a course. Students therefore have a general obligation to submit assignments on the due date. Extensions are generally disfavored and authorized in very limited circumstances, and in any case, repeated extensions on assignments will not be approved.

C. Assignments eligible for extensions

subject to this policy, extensions may be granted only for the following assignments (“qualified assignments”):

  • Written, constructed assignments (e.g., memos, briefs, papers, etc.), not including discussion board posts;
  • Oral presentations;
  • Quizzes and other automated assessments in Canvas
  • Audio or visual media; and
  • Exams administered before the final exam period begins.

Subject to this policy, extensions cannot be granted for the following assignments (“disqualified assignments”) under any circumstances:

  • Final exams and papers (see section J of this policy);
  • Discussion board posts and response posts and all other types of online class participation;
  • Ungraded or extra credit assignments; and
  • Assignments involving group work.

Unless otherwise indicated in this policy, disqualified assignments that are not submitted in Canvas by the due time and date will be subject to the late submission section in Section H of this policy.

D. Due date

The due date for an assignment is the date published in the course syllabus or assignment section in Canvas.

E. Submitting assignments

  • All assignments must be submitted in Canvas before or at the due date time and on the date specified in the course syllabus or assignment section.
  • If submission via Canvas is not possible for any reason, students must email the assignment to [email protected] as evidence of the version of the assignment at the time of attempted submission. If the assignment is received before the due date and time, the assignment will not be marked late.

F. Extensions

Assignment extension forms should be submitted prior to the deadline on the original due date of the assignment unless the student is physically incapacitated and unable to submit an extension request.

1. Length of extensions

Mitchell Hamline strives to ensure that students can keep up with the rigorous course of study, assignments, and exam preparation, notwithstanding the approval of an extension request. Therefore, the normal extension will be only one or two days, but shall not exceed seven (7) days. The academic advisor may approve a longer extension in consultation with the course professor, taking into consideration the reason for the longer extension and additional evidence about the student’s ability to catch up with work. This does not apply to quizzes, which must be completed within seven (7) days, to ensure the posting of quiz answers do not get delayed for the entire class.

2. Number of extensions

  • There is a maximum of two (2) extensions for a course per term.
  • For students who experience regular difficulty with meeting assignment deadlines in a class, it may be appropriate to speak to their academic advisor regarding withdrawing from the course, taking a leave of absence, or requesting an Incomplete grade for the course.
  • Students who exceed two (2) extensions per course per term would need a special approval from the vice dean or vice dean designee

3. Grounds for an extension

Valid grounds for an extension include:

  • Unexpected, extenuating circumstances beyond the control of the student that interfere with the student’s capacity to study or complete assessments, including but not limited to unexpected medical or mental health problems, including of an immediate family member for whom the student has primary care responsibilities;

Invalid grounds for an extension include:

  • Other Mitchell Hamline assignments that are due on or around the due date;
  • Work commitments or work travel;
  • Personal travel; and
  • Family gatherings, e.g., birthdays and weddings.

G. How to request an extension

A request for an extension in a qualified course must be made exclusively to Academic Affairs on this form: https://mitchellhamline.edu/technology/blended-learning-assignment-extension-request/

Students should not contact Professors or Adjuncts to ask for extensions.

Supporting documentation

  • An application for an extension must be accompanied by documentary evidence supporting the grounds for an extension. Scanned copies of the documentation are acceptable.
  • If documentation is unavailable at the time of the extension application, the student should include a note in the application when it will be provided. Academic Affairs will not process an extension application until supporting documentation is received.

Notification of extension decision

  • Students are notified of approved extensions via an email from the student’s academic advisor.
  • Once the student has received an approval email from their academic advisor, the student should forward the email on to their professor and adjunct to notify them about the extension.
  • Students should not contact Academic Affairs unless they have not received notification of a decision within two (2) business days from the date of application.
  • Students should continue to work on assignments pending notification of approval of the extension.
  • Professors and adjuncts of qualified courses have delegated the approval of extensions to Academic Affairs, so students should not contact professors or adjuncts about extension applications but should only forward extension approval emails to professors when they receive them.

H. Late submission

  • Assignments that are received after the due date or, where an extension has been granted, after the extended date, will be subject to a late penalty.
  • Except for discussion board and response posts, assignments and quizzes submitted past the due date or extended due date will be given a penalty of 10 percent of the total points allocated the first day late and 20 percent each remaining day late up to five (5) days.
  • Except for discussion board and response posts, assignments and quizzes received more than five (5) calendar days past the due date or extended due date will receive zero points.
  • Initial discussion board posts will be given zero points if submitted after the due date and time. Students who fail to submit a discussion board post may not submit a Response post and will be given zero points for both assignments.

I. Prep Week/Weekend and Capstone Week extensions

  • Mitchell Hamline requires attendance and participation in all in-person activities (Prep Week/Weekend and Capstone Week) to comply with American Bar Association standards.
  • Attendance and participation exceptions for Prep Week/Weekend and Capstone Week will rarely be granted and only under extraordinary circumstances.
  • Students should email [email protected] to request a Prep Week/Weekend Capstone attendance or participation exception.
  • The academic advisor will work with the course professor to determine whether an exception is warranted.
  • If a student needs to complete Prep Week/Weekend or Capstone Week makeup work, the student will determine a due date for the assignment(s) in consultation with and approval by the professor of the course. Section H of this policy will apply if the student does not submit the makeup work by the due date.

J. Final exams and incomplete policy

  • This policy does not apply to exams and assignments administered and due during the final exam period.

NEW – CHANGES:  For students approved for Assignment Extensions

For students approved for Assignment Extension(s) – This accommodation provides extra time for out-of-class assignments or take-home exams due to an exacerbation of a disability or a disability-related condition. When needed for a disability-related reason, student is eligible for a 1-day (24-hour) extension to a limit of two out-of- class written assignments , and the student must notify the instructor before using this accommodation If the student believes more flexibility is necessary for assignment extensions, the student must contact SAS who will consider the request and will discuss with the student and instructor to determine the appropriateness given the specifics of the course. Different classes call for different agreements (e.g., lab classes may call for less flexibility than lecture classes). If granted, an agreement outlining which assignments (e.g., presentations, group work, discussion boards, etc.) may be potentially affected, and how much more time will be granted for each assignment, will be created.

Student Responsibilities When Eligible for Assignment Extensions

  • Students approved for Assignment Extensions must ask for their accommodation letters on myACCESS student portal and distribute their accommodation letters to instructors at the beginning of the semester, or as soon as they are made eligible for the accommodation.

Students should clearly understand if or how assignment extensions will be granted, given the class learning goals and structure. This entails knowing the finite number of extensions that can be allowed, how to communicate with the professor when they need to ask for an extension, and any critical assignments that cannot receive an extension.

When a student needs to use this accommodation for an upcoming assignment, they are responsible for contacting the instructor through email early to ask for the extension and clarify a new due date.

  • Never are students required to present documentation to instructors to justify a disability-related need for an extension.
  • Students should not plan on the extension being automatically provided and should always use this accommodation, if available, with care.
  • If a student receives a paper or assignment extension and cannot meet the deadline, a new extension request must be made.

Reasonable Accommodation for Extension of Assignment Deadline Policy

Adelphi University recognizes that an extension of assignment deadline may be a reasonable accommodation in certain situations because one’s disability may present challenges with meeting assignment deadlines.

Policy Statement

Students are expected and encouraged to meet deadlines for assignments and tests. However, some students may have a disability that may impact meeting assignment deadlines, including but not limited to, conditions that are episodic in nature, change and result in problematic symptoms, and require treatment (in some cases hospitalization). For this reason, Adelphi University recognizes that an extension of assignment deadline may be a reasonable accommodation in certain situations because one’s disability may present challenges with meeting assignment deadlines.

Reason for Policy

The purpose of this policy is to specify the guiding principles and specific procedures associated with students who qualify for an accommodation of reasonable extension of assignment deadlines based on a diagnosed disability.

Who Is Governed by this Policy

Students registered with the Student Access Office (“SAO”) who have been approved for an accommodation of reasonable extension of assignment deadline based on a diagnosed disability.

Students who seek accommodations must register with the SAO. The SAO will consider all requests for reasonable accommodations, including an accommodation of reasonable extension of assignment deadline on an individualized, case by case basis, and upon notification from the student; SAO will collaborate with the student, faculty and staff as needed.

Academic accommodations are designed to provide equal access to courses and programs, but they do not guarantee a specific outcome or level of achievement. Accommodations are not student preferences; they are determined through an established SAO review process based on documentation concerning the student’s disability. This accommodation does not correct poor time management skills or decision-making unrelated to a student’s disability. Please note that students must factor in the reality of their own personal situations and use time effectively to complete assignments. Students are expected and encouraged to meet deadlines for assignments and tests.

However, if a student has a disability that is preventing him or her from completing assignments by required dates, the accommodation of reasonable extension of assignment deadline allows for flexibility in assignment deadlines. The number of days given for each assignment extension depends upon a number of factors which include, but are not limited to, the severity and type of disability affecting the student and the amount of time the student was unable to work on the assignment due to such disability. Please note that documentation of impairment and limited functionality from a treating licensed professional must be provided and the length of time cannot be in excess of what would be considered as compromising the integrity of the course/program.

Please note that depending on the circumstances, unexpected illness or injury, a recent diagnosis, onset, or change in condition may warrant a medical withdrawal instead of accommodations in assignment deadlines. See Adelphi University Medical Leave of Absence (Medical Withdrawal).

Definitions

Student with a Disability (SWD): is an otherwise qualified individual who has a physical or mental impairment that substantially limits or restricts a person from performing one or more major life activities.

Student Responsibilities

  • Submit a Petition for Reasonable Accommodations form to the SAO requesting extended time on assignments.
  • Students must provide documentation that includes but is not limited to documentation from a licensed treating professional indicating the specific number of hours/days the student experienced limited functioning due to exacerbating symptoms as a result of the diagnosed disability.
  • Engage in an interactive process with the SAO. As a part of that process, it may be necessary to discuss different types of assignments individually as reasonable extensions may differ by assignment.
  • SAO requires students to present the Letter of Accommodation (LOA) to the instructor and initiate a conversation upon receiving approval for an accommodation of reasonable assignment extensions.
  • Assignment deadline adjustments must be arranged with the instructor and the SAO consistent with the approved accommodation. Assignments cannot be submitted whenever desired.
  • Under normal circumstances, assignments cannot be turned in after the semester concludes and grades are posted (whichever comes first).
  • Students may request the accommodation at any point in the semester, however, accommodations are not meant to be retroactive. Missed assignments that occur prior to the instructor receiving the LOA are not covered under the accommodation process. Those missed assignments may be handled in accordance with the course assignment policy. Any such consideration or provision would be at the discretion of the instructor.

Student Access Office Responsibilities

Upon request by the student through the Petition for Reasonable Accommodations and interactive process with the student, SAO will determine if the accommodation of extended time on assignments is an approved academic adjustment and will consider the following factors on a case by case basis when making the determination:

  • The nature and extent of the student’s disability.
  • How the student’s performance is impacted by the disability in the academic context.
  • The individual needs of the student, educational functional limitations and circumstances surrounding the request.
  • Any information provided by the student recommending that he or she receive extended time on assignments.
  • Additional documentation that the student provides.
  • The average time all students are expected to spend on assignments relative to the applicable deadlines and if the requesting student’s disability necessitates an extension beyond these deadlines.
  • If this accommodation would be a fundamental alteration of the course.

Faculty Responsibilities

When listed on the LOA, course instructors are asked to consider a number of factors which include:

  • Whether the assignment was listed on the syllabus;
  • The amount of time given to complete the assignment;
  • When were students given the necessary information from the instructor to complete the assignment.

Other considerations when determining reasonable extension of assignment deadline as an appropriate accommodation; to be determined on a case by case basis (faculty will be responsible for participating in this interactive process with SAO):

  • What is the purpose of the assignment? Is it necessary to have it completed before an exam? Before a class discussion?
  • What does the course syllabus say about deadlines?
  • Are students required to actively participate in class discussions/activities?
  • How is participation figured into the final grade?
  • How are students expected to interact with each other (in-class, group work outside of class, Moodle, email)?
  • Is the material being learned in the class sequential? Does each week’s material build on the material learned in the previous week(s)?
  • Are there other lab or class sections the student could attend to catch up on missed material?
  • What policies exist for making up missed exams, pop quizzes? Turning in late work?
  • Does the class use Moodle?
  • Could missed assignments be turned in through a discussion board or email?
  • Are tests to be taken at a specific time and place, or is there a window when the test can be taken?
  • Is it possible for students to “work ahead” in the class?

What is an assignment extension?

Where you are unable to attempt an assessment item which is not an exam, you may apply for an extension of time to submit the assessment item. This includes case studies, essays and reports.

When can I apply for an assignment extension?

You can apply for an assignment extension if you are unable to complete an assignment by the due date on medical or other grounds (e.g. disability, family or personal circumstances, employment-related circumstances, unavoidable commitments).

When can’t I apply for an assignment extension?

An extension of time is not available for an assessment item for which the opportunity to resubmit has been given.

What is the difference between an assignment extension and special consideration?

Essentially if you are unable to complete an assessment on medical or other grounds, you may apply for an assignment extension. If; however, you have attempted an assessment item, and your performance was seriously affected or you were seriously disadvantaged when the assessment item was attempted, you may apply for special consideration. Please refer to the Assessment Procedure for Students for more information on special consideration.

What is the difference between an assignment extension and deferred assessment?

An assignment extension provides additional time for you to complete an assessment item (e.g. case study, essay or report) if you are unable to submit the assessment item by the due date and time. Deferred assessment is awarded where you are prevented from completing the assessment task, such as an exam, on the scheduled date. Please refer to the Assessment Procedure for Students for more information.

How do I apply for an assessment extension?

Submit an assignment extension form online.

For individual assessment items, supporting documentation is not required for extensions up to and including three calendar days, unless you are enrolled in a course through Open Universities Australia (OUA) *. For group assessment, all OUA assessment and extensions greater than three calendar days your application must include appropriate documentation to support the grounds on which you are requesting an extension.

Students registered with Student Disability and Accessibility can apply for assignment extensions on disability grounds for up to and including 10 calendar days without the requirement to provide supporting documentation.

* Note: For students not registered with Student Disability and Accessibility, accumulation of more than three approved extensions for individual assignments of three or less calendar days will trigger the supporting documentation requirement for the remainder of the trimester, after which the count will be reset.

Supporting documentation may include a medical certificate (issued in-person or online), bereavement notice, copy of accident report etc. You can find other forms of appropriate supporting documentation at Assessment Applications . Please note that when applying on medical grounds, the medical certificate must outline the period for which your performance was impacted.

How long do I have to submit my application?

Applications for an assignment extension must be submitted online before the assignment due date.

What is the maximum period of extension I can apply for?

The maximum period an extension will be granted on medical grounds is 14 calendar days.

The maximum period an extension will be granted on disability grounds is 14 calendar days.

The maximum period an extension will be granted for bereavement is 14 calendar days.

The maximum period an extension will be granted for personal safety reasons is 14 calendar days.

The maximum period an extension will be granted for other personal, professional or exceptional circumstances is three calendar days.

What happens after I submit my application?

The application will then either be approved or declined and you will be notified by email of the decision. For applications exceeding three calendar days, you will receive an interim approval of three calendar days before your application undergoes further review by your Course Convenor for the full extension days requested*.

* Note: For students registered with Student Disability and Accessibility this is extended to 10 calendar days.

What if my application for an assignment extension is declined?

Decisions made regarding assignment extensions do not constitute an academic decision under the University’s Student Review and Appeals Policy and Procedures . Therefore, you are not able to seek a review of decision if you are unhappy with the outcome of your application. If you believe your application has been declined in error, contact your Course Convenor or Student Connect .

What if I need to apply for a further extension on an already approved applications?

If you require a further extension on an already approved application, you can now do this via the online application. Documentation will be required to support an additional extension and you cannot exceed the maximum allowable extension period for the reason selected.

This policy replaces all previous Extension policies and versions.

1.Scope of Assignment Extension Policy

The UNE School of Law Assignment Extension Policy (the Policy) applies to all assessments for units offered by the School of Law.

2. Student obligations

2.1 The School of Law regards time management as an important Graduate Attribute and an essential professional skill. The School has an obligation to develop this skill by imposing due dates on assessments. Lengthy extensions can interfere with marking and delay the release of marks and feedback to the entire cohort.

2.2 Students therefore have a general obligation to submit assignments on the due date. Applications for extensions should be exceptional .[1]

3. Assessment items eligible for extensions

3.1 Subject to this policy, extensions can be granted for the following assessments:

3.1.1 Written, constructed response assignments;

3.1.2 Oral Presentations (other than viva voce examinations);

3.1.3 Audio or visual media; and

3.1.4 Quizzes and other automated-marking assessments, but ONLY if expressly made subject to extensions and published as such in the Unit Outline.

3.2 Extensions cannot be granted for the following assessments (ineligible assessments):

3.2.1 Assessments involving group-work UNLESS the other group members and the Unit Coordinator agree in writing;

3.2.2 Tutorial participation;

3.2.3 Forum participation, UNLESS expressly made subject to extensions and published as such in the Unit Outline;

3.2.4 Quizzes and other automated-marking assessments, UNLESS expressly made subject to extensions and published as such in the Unit Outline;

3.2.5 Invigilated examinations, including online examinations and any Alternative assessment offered for online examinations.

3.2.6 Take-home examinations. [2]

3.3 Unless expressly indicated otherwise in this policy, Ineligible Assessments that are not submitted or completed by the due time and date are ineligible to be marked.

3.4 Students affected by adverse unforeseen circumstances who are unable to receive an extension might be eligible for Special Consideration, a Deferred Exam or Withdrawal without Academic Penalty. [3]

4. Due date

The due date for an assessment task is the date published in the Unit Outline . Any change to the due date for an assessment task will be published via a myLearn Unit Announcement and in an amended Unit Outline.

5. Method of submission

5.1 All assignments must be submitted via myLearn before or at the due time and on the date specified in the Unit Outline.

5.2 If submission via myLearn is not possible for any reason, students must email the assignment to the Unit Coordinator as evidence of the version of the assignment at the time of attempted submission.

5.3 Notwithstanding 5.2, the student must submit the emailed version of the assignment through the myLearn e-submission process as soon as that becomes possible, so that it can be checked by the text-matching software, Turnitin.

6. Extensions

When to Apply for an Extension

6.1 Assignment extension applications should be submitted as early as possible, preferably by the due time on the original due date of the assignment.

6.2 Under exceptional circumstances, retrospective extensions may be considered. [4]

6.3 Retrospective applications for extensions will not be considered on or after the date of publication of assessment grades.

Length of Extensions

6.4 The School has a duty of care to ensure that students can keep up with study, assignments and exam preparation, even when an extension is granted.  Therefore, the normal maximum extension is a Short Extension of seven (7) days. Supporting documentary evidence is not required for a Short Extension.

6.5 The Course Coordinator may approve a Long Extension for more serious personal health issues, unexpected work or family commitments or other extenuating circumstances that impact the student’s capacity to complete the assessment task by the due date or with a Short Extension. Requests for Long Extensions will require supporting documentation and an additional statement about the student’s ability to catch up with work.

6.6 The School will not under any circumstances approve an extended submission date beyond the planned date for release of feedback and marks to the cohort. [5] This applies regardless of whether students have valid grounds for an extension.

Grounds for a Short Extension (7 days)

6.7 Valid grounds for a Short Extension are:

  • Any personal health problems,
  • Unexpected work or family commitments, and
  • Other extenuating circumstances beyond the control of the student.

Grounds for a Long Extension (longer than 7 days)

6.8 Valid grounds for a Long Extension are more serious :

  • Personal health problems,
  • Unexpected work or family commitments,
  • Other extenuating circumstances, that interfere with the student’s capacity to study or complete assessments within an additional 7 days of the original due date. [6]

6.9 Invalid grounds for a Short or Long Extension are:

  • Inability to have an assignment word processed by the due date,
  • Other assignments falling due on or about the due date,
  • Technology and communications failure, unless publicly documented (ICT failure at the UNE server is treated at a global unit level by the school),
  • Foreseeable work commitments,
  • Personal travel, and
  • Family gatherings, eg birthdays and wedding

6.10 The School will take into consideration each student’s history of making applications for assignment extensions and may reject an application.  Repeated applications for assignment extensions may be an indication of not being able to cope with the workload. Students may be referred for academic or other forms of guidance and support, as appropriate.

6.11 If a student is unable to meet an extended deadline, is ineligible for an extension, or an extension does not resolve the problem, students are encouraged to withdraw from the unit. [7]

7. How to Apply for an Extension

7.1 An application for an extension is made exclusively to the School’s administrative office via AskUNE on this form: http://askune.custhelp.com/app/forms/law_assignment_extension . [8]

7.2 Students should not approach Unit Coordinators to ask for extensions .

7.3 Supporting Documentation

7.3.1 Applications for Short Extensions do not require supporting documentation.

7.3.2  Applications for a Long Extension must be accompanied by documentary evidence supporting the grounds for an extension (supporting documentation). Scanned copies will be accepted.

7.3.3 If documentation is unavailable at the time of application, students should include a note in the application estimating when it will be provided. Please note: the School may not process an extension application until supporting documentation is received.

7.3.4 The following types of documents will be considered.

7.4 Notification of outcome of Extension application

Approved applications are notified to the student via  AskUNE and are also visible on the Assignment submission page in the unit’s myLearn site.

Students should not contact the School's administrative office unless they have not received notification from  AskUNE or if there is no notification visible on the myLearn page after three (3) working days from the time of application.

If students have not received a response within three (3) working days, please contact the School office directly on (02) 6773 1293.

Extensions are coordinated by the School office. Unit coordinators are not authorised to issue extensions. Students should not contact the Unit Coordinator about extension applications or the outcome.

8. Late Submission

Assignments that are received after the submission date or, where an extension has been granted, after the extended date, will be subject to a late submission penalty:

8.1 A penalty of 5% of the total marks allocated to an assignment task will be deducted for each day or part day an assignment is not received past the due date. To give an example, an assignment that would receive 15/20 will only receive 13/20 if it is 2 days late.

8.2 Assignments received more than ten (10) calendar days past the due date/ or extended due date will not be marked and will receive a mark of zero. For the purpose of rules relating to mandatory assessment items, late submission even beyond ten (10) days past due or extended due date is deemed to be ‘submission’. [9]

8.3 The School of Law will not under any circumstances accept assignment submissions after results and feedback have been released to the unit cohort . This applies regardless of whether students have applied for an extension, intend to apply for an extension or have been granted an extension.

9. Special Extensions of Time (SET)

A SET [10] under UNE Assessment Guidelines [11] will not be approved for a submission date beyond the date for release of marks and feedback to the unit cohort unless:

9.1 The assignment is NOT a scenario-based, hypothetical assignment;

9.2 The Unit Coordinator will NOT be releasing or has not released an Answer Guide; and

9.3 The Unit Coordinator considers that feedback and information released to students CANNOT be used to advantage in completing the assessment.

10. Learning Management Systems

All references to ‘myLearn’ in this policy include such Learning Management Systems as are in use by UNE at the relevant time.

Student Academic Concessions Policy

(1) The purpose of this Policy is to provide a range of supports for specific circumstances and a range of academic concessions in acknowledgement that special circumstances may affect a student’s ability to complete an assessment task or may affect their performance in an assessment task.

(2) Student academic concessions are intended to ensure that students who experience significant disruption to their study are not disadvantaged but academic standards are maintained, including equity for all students in the unit, the academic integrity of assessment, achievement of learning outcomes and the inherent requirements of a unit or course.

(3) This Policy applies to students undertaking undergraduate and postgraduate coursework award courses.

(4) QUT recognises that at times during a student’s studies, circumstances beyond their control may affect their capacity to successfully complete assessment or to demonstrate their learning as they otherwise would. These special circumstances include:

  • health conditions;
  • disability;
  • family or personal circumstances;
  • employment related circumstances;
  • unavoidable community or public service commitments (including jury service or a recognised emergency management body such as the SES or CFA);
  • defence service by reservists;
  • commitments as a member of the Elite Athlete Program;
  • course related circumstances; and
  • significant cultural commitments.

(5) A range of academic concessions, depending upon the type of assessment, is available to support students to meet the assessment requirements of their course and to maintain academic standards. The academic concessions are:

  • 48-hour late submission period for assignments;
  • assignment extension;
  • special consideration; and
  • deferred examination.

(6) In certain circumstances, a student may be eligible to apply for withdrawal without penalty from a unit. The  Withdraw from Units without Penalty  webpage provides further information (QUT staff and student access only).

(7) Assignment extensions only apply to assessment items classified as assignments (Assignment definition in Section 17 below). Assignments may be approved as exempt from allowing the 48-hour late submission period and assignment extension based upon special circumstances.

(8) A student may apply for an assignment extension, unless:

  • Extensions are not allowed in the unit or course as approved by University Academic Board as part of the Curriculum Design, Approval and Accreditation Policy ; and
  • The unit outline states that no extension is allowed for the assignment. Exceptions are approved in accordance with delegations for unit outline approval.

(9) Assignments submitted after the due date and 48-hour late submission period without an approved extension results in the assignment not being marked and a grade of 1 or 0% being awarded for the assignment. An application for an assignment extension may be made after the due date.

(10) The purpose of the 48-hour late submission period, is to accommodate unexpected, but not significant or long-term events, that may occur just before an assignment is due. This concession allows a 48-hour late submission period to the original due date for eligible assignments.

(11) There is no application required by students seeking to utilise the 48-hour late submission period.

(12) The 48-hour late submission period is for 48 hours only, irrespective of whether the assignment would need to be submitted on a weekend or a public holiday. Eligible assignments submitted within 48 hours of the original due date will not be considered late.

(13) If the assignment is not submitted within the 48 hours of the due date of the assignment (the late submission period), the assignment will be considered to be late, will not be marked and a grade of 1 or 0% will be awarded for the assessment item.

(14) Only one 48-hour late submission period is allowed for an eligible assignment and only applies to the original due date of the assessment. If a student is affected by special circumstances during the 48 hours of the late submission period, the student may apply for a formal extension with supporting documentation.

(15) The purpose of an assignment extension is to support a student in completing an assignment when they have been affected by special circumstances. An assignment extension is appropriate when a student experiences unexpected but significant interruption to their study that impacts upon their ability to complete the assignment by the due date. Normally an assignment extension is required when the 48-hour late submission period for eligible assignments is not sufficient to support the student due to their special circumstances.

(16) An application for an assignment extension must be submitted before the expiry of the 48-hour late submission period. Applications may be submitted after the 48-hour late submission period if the student can provide:

  • documentation to evidence the exceptional circumstances which prevented the application for extension before the expiry of the 48-hour late submission period; and
  • the required supporting documentation for the extension.

(17) The application is made online and the student must provide supporting documentation to provide evidence of the special circumstances which will prevent or have prevented the submission of the assignment by the due date or within the 48-hour late submission period.

(18) The duration of any extension granted will not normally exceed 14 days and will take reasonable account of:

  • the impact of the special circumstances upon the student’s learning;
  • the length of the unexpected interruption experienced by the student;
  • any academic concessions that have been granted previously in respect of the assignment; and
  • the type of assignment, including whether results for the assignment have been or need to be released.

(19) If the assignment extension application is approved, the 48-hour late submission period does not apply to the new due date.

(20) Special consideration is a significant concession and will only be granted when a properly documented and timely case is made.

(21) The purpose of special consideration is to support students who consider that their ability to demonstrate their achievement of the unit learning outcomes in assessment or assessments has been adversely affected by special circumstances in the teaching period.

(22) An application for special consideration should be made as soon as reasonably possible and normally within three working days of the assessment due date or examination date. The application is made online and the student must provide supporting documentation to provide evidence of the health condition or family or personal circumstances that have adversely impacted upon their ability to demonstrate their achievement of the unit learning outcomes in the assessment or assessments.

(23) The Executive Dean, in consultation with the course and/or Unit Coordinator if appropriate, will determine the outcome of a special consideration application. The outcomes may include:

  • no change to the result of the assessment item or the final grade of the unit;
  • the alternative or additional assessment must be appropriate and relevant for the unit and assess the relevant unit learning outcomes;
  • the ability of the student to demonstrate the unit learning outcomes if an assessment item does not contribute to the final grade of the unit;
  • whether it is equitable;
  • any inherent requirements of the unit or course; and
  • ensuring that the reweighted assessment is not in breach of the  Assessment and Feedback Policy .
  • the academic concessions applied for and granted in the relevant teaching period;
  • the duration and extent of the special circumstances with reference to the assessment/s;
  • the student’s level of achievement in all assessment items in the unit with reference to the unit learning outcomes;
  • the student’s level of achievement in other units in the relevant teaching period and previous teaching periods, if appropriate; and
  • the student’s level of achievement in previous teaching periods, if appropriate.

(24) In accordance with the Examinations Policy , students must ensure they are available to undertake an examination. The following are not grounds for awarding a deferred examination concession:

  • misreading the examination timetable; and
  • pre-booking a holiday or committing to other pre-planned events during the examination period or the time specified in the assessment requirements of the unit.

(25) Deferred examinations are not subject to a deferred examination concession.

(26) Where a student does not undertake the approved deferred examination, the grade for the unit is awarded on the basis of assessment completed, unless the student makes a successful case for withdrawal from the unit without academic penalty ( Withdraw from Units without Penalty  (QUT staff and student access only)).

(27) The purpose of a deferred examination concession is to support a student who experiences special circumstances that impact upon their ability to undertake an examination at the scheduled time.

(28) An application for a deferred examination must be submitted before the date of the examination or within three working days after the examination.

(29) The application is made online and the student must provide supporting documentation to evidence the special circumstances which will prevent, or have prevented, the student undertaking the examination.

(30) Students granted a deferred examination concession undertake an examination at a later scheduled time. For centrally organised examinations, deferred examinations take place during the supplementary and deferred examination period ( Examinations Policy ).

(31) Students with permanent or temporary disability have the right to alternative arrangements for assessment which provide equality of opportunity to enable students to fulfil course requirements.

(32) Students should contact the relevant campus Disability Adviser early in the teaching period and preferably prior to the published date for withdrawal without financial penalty for the relevant teaching period.

(33) Alternative arrangements for assessment are negotiated between the student, Disability Adviser and the Course Coordinator.

(34) Students are required to present evidence to the Disability Adviser, usually in the form of documentation from a medical or other relevant specialist practitioner which substantiates the nature of the disability, injury or health condition.

(35) The Disability Adviser will develop an Access Equity Plan which includes recommendations for alternative arrangements for assessment for approval by the relevant course coordinator. Access Equity Plans are reviewed and re-negotiated each semester. The student will be advised in writing of any alternative arrangements for their assessment.

(36) Information on support provided by the University for students with a disability can be found at  Disability Support . The University’s Disability Policy  provides further details.

(37) For centrally organised examinations, responsibility for the conduct and administration of alternative assessment provisions for students with a disability rests with the Director, Student Administration Department.

(38) For assessment other than central examinations, administrative and financial responsibility, including organisation of appropriate equipment and support personnel, rests with faculties and schools.

(39) Supplementary assessment is provided to support course progression and is designed to create opportunities for students to complete requirements for their qualification. Supplementary assessment is not a reassessment of the student's overall grade or the mark for an individual assessment item. It is a new item of assessment designed to provide further opportunity to demonstrate that the student has achieved the required learning outcomes of the unit.

(40) Supplementary assessment will not be granted on designated units ( Award Courses Policy ) or on units undertaken in non-award study ( Non-award Study Policy ).

(41) Students may be granted supplementary assessment in a limited number of cases where a grade of 3 has been achieved. This limit is such that the maximum number overall in a course is:

  • two in the final 96 credit points in coursework programs of three or more years full-time duration or equivalent; or
  • one in the final 48 credit points in coursework programs of less than three years full-time duration or equivalent.

(42) Applications should be submitted within five working days following release of the final grade for a unit.

(43) Students who successfully complete supplementary assessment requirements will be awarded the grade of 4. Where supplementary assessment is not successfully completed, the original grade of 3 will be reinstated.

(44) Where students transfer between QUT courses, supplementary assessments that have already been granted for units being credited towards the second course will count towards the maximum number of supplementary assessments allowed for the second course.

(45) Students are required to create and securely store a copy of the final version of all written assessment items prior to submission. Similarly, for non-written physical assessment items, students should photograph or otherwise make a secure record of the items prior to submission.

(46) Where a student's assessment item cannot be located and there is a reasonable belief that the item was submitted, the Unit Coordinator should consider the following options:

  • giving the student a notional mark for the lost assessment item based on the average of their previous assessment;
  • giving the student the opportunity to resubmit the assessment item;
  • giving the student the opportunity to redo the assessment item; or
  • setting an alternative similar assessment item to be submitted within a set period.

(47) When there are exceptional circumstances affecting learning and teaching, academic concessions may be granted in a unit or for an identified cohort of students, without the requirement for the students to make an application.

(48) Any decision to grant academic concessions under this provision will take account of the disruption caused, and any changes required to mitigate their effect and must be communicated clearly to students and the relevant academic staff and Head of School.

(49) An assessment extension must take into account the delay caused by the exceptional circumstances and any changes to the assessment due to those exceptional circumstances.

(50) A deferred examination may be approved for a unit, or an identified cohort of students in the unit affected.

(51) Students dissatisfied with a decision to reject an application for a concession included in this Policy can appeal via the Review of Academic Rulings Policy .

(52) Records must be retained in accordance with the University’s Records Governance Policy  for all student academic concession applications.

(53) Personal information contained in the documentation related to student academic concessions will be managed in accordance with the University’s Information Privacy Policy .

Extension policy for assignments

Extensions can only be applied for in relation to assignments.

Assignments must be handed in by the due date unless an extension has been granted by the lecturer in charge of the paper.

The Extension Request form can be downloaded below, or may be available on Blackboard. Completed forms must be emailed to Classics in advance of the set deadline:

Do not contact the course coordinator or your tutor to apply for an extension. No retrospective application is accepted except in the case of a serious medical condition, for which a medical certificate is required.

Extensions will be granted only for the following cases

1. ill-health 2. bereavement 3. personal difficulties of a serious nature 4. provincial or national representative activities 5. job interviews outside Dunedin

Nothing else (such as deadlines for other classes, travel plans or work pressure) will be accepted as a legitimate reason for extensions. Computer problems do not constitute an exceptional circumstance unless it is an officially notified failure of University equipment.

Your application for an extension must be accompanied by evidence

1. medical certificate for ill-health 2. documentary evidence for bereavement 3. written statement in support of your application from other university officer for personal difficulties of a serious nature 4. documentary evidence for provincial or national representative activities 5. documentary evidence for job interviews

No other evidence will be accepted. The evidence must be submitted to the Classics Programme, at the same time as, or within three working days after, the application for an extension either in hardcopy or as an email attachment of a scanned image .

Please note: Application with evidence does not guarantee the grant of extensions.

Length of extensions and penalties for late assignments

  • The maximum length of an extension is ONE WEEK, i.e. seven calendar days (except in the case of serious medical conditions).
  • Late assignments in all papers will be penalised by one mark for every day of lateness . Thus, for example, an essay handed in three days late which received a mark of 15/20 would be lowered to 12/20.
  • Assignments later than seven calendar days will not be accepted or, where an extension has been granted, more than 7 calendar days after the expiry of the extension.
