How to write a presentation (and deliver it, even via Zoom)

You’ve been asked to give a presentation. Chances are, your response will be roughly one of the following:

1. It’s a subject you’re passionate about and you’re a confident speaker. You’re pleased to have the opportunity.

2. You secretly worry that your style is flat and unengaging. You’re not looking forward to it.

3. At best, the prospect makes you nervous; at worst, terrified. You’d rather have root canal surgery.

If you belong in one of the last two categories, you probably know you’re not alone. You may have heard the statistic that public speaking is more widely feared even than death .

However you feel about the prospect of presenting, this comprehensive guide will take you step by step through the process of planning, writing and delivering a presentation you can be proud of (even via Zoom).

What is a presentation?

Essentially, it’s a story. And its origins go back thousands of years – to when our ancestors gathered around the campfire to listen to the wise elders of the tribe. Without PowerPoint!

These days, presentations encompass the glitz and scale of the Oscars or the new iPhone launch through to business briefings to smaller audiences, in person or – increasingly – online. We’re focusing on the business side.

Whatever the occasion, there’s always an element of drama involved. A presentation is not a report you can read at your leisure, it’s an event – speakers are putting themselves on the spot to explain, persuade or inspire you. Good presentations use this dynamic to support their story.

Always remember: everyone wants you to do well

If you are nervous, always remember: no one sets out to write a poor presentation and no one wants to go to one either. There may be private agendas in the room, but for the most part audiences approach presentations positively. They want to be engaged and to learn. They want you to do well.

First things first: the date’s in the diary and you need to prepare. Let’s break it down.

Preparing a presentation

1. Preparing your presentation

Imagine you’re a designer in the automotive industry and your boss has asked you to give a presentation. The subject: the future of the car and how it will fit with all the other modes of transport.

Where to start? How to approach it? First you need an angle, a key idea.

We talk about ‘giving’ a presentation – and of course it’s the audience who will be receiving it. So, instead of beginning with cars (in this case), let’s think about people. That way we can root the talk in the everyday experience we all share.

Maybe you remember a time you were stuck in traffic on a motorway. Morning rush hour. No one moving. Up ahead children were crossing a footbridge on their way to school, laughing at the cars going nowhere. And you thought, ‘Enjoy it while you can! This will be you one day.’ But maybe not. Surely we can do better for future generations!

There’s your opening – the whole issue captured in a single image, and you’ve immediately engaged your audience with a simple story.

The who, the why and the what

Always begin with the people you’ll be addressing in mind. Before you start writing, answer three fundamental questions: who is your audience, why are you talking to them and what do you want to say?

The answers will provide the strong foundations you need and start the ideas flowing. Ignore them and you risk being vague and unfocused. Clear writing is the result of clear thinking and thinking takes time, but it’s time well spent.

Start with the audience

Are you a senior car designer talking to your team? If the answer’s yes, you can assume high-level, shared knowledge.

But if you’re talking to the sales or marketing departments, you can’t make the same assumptions – there are issues you might have to explain and justify. And if it’s a press briefing, it’s about getting the message out to the general public – a different story again.

Knowing your audience will also dictate your tone. Your presentation to the board is likely to be quite formal, whereas a talk for your team can be more relaxed.

And what’s the audience’s mood? On another occasion you might have bad news to deliver – perhaps the national economy and the company’s finances are threatening people’s jobs. Then you must empathise – put yourself in their position and adapt your tone accordingly.

I want to …

You also need a clear objective (the why ). For our car designer, the overriding objective should be to plant a key idea in the audience’s mind. Starting with that image of the schoolchildren, it’s to convince the audience that the company has a radical and distinctive design future.

That’s the takeaway. How should they do that? Should they explain, persuade or inspire – the three key strategies for any presentation? You may need to use several of them to achieve your goal.

Objectives should always complete the statement ‘I want to …’. What do you want to do ?

It’s about …

The what is the substance of your presentation – the building blocks, all the facts and figures that tell the audience ‘It’s about …’.

Back to our designer. The move away from petrol and diesel will allow a complete rethink of car design. The electric power unit and battery can lie under the car’s floor, freeing up all the space taken up by the conventional engine. And then there are all the issues around emission-free, autonomous vehicles in the ‘smart’ cities of the future.

When you’re planning, it can be helpful to get all the information out of your head and onto the page, using a mind map , like the example below (for a talk on UK transport policy).

This is an effective way of unlocking everything you know (or still need to do more research on). Start with your main topic, then keep asking yourself questions (like who, what, when, where, how and why) to dig into all the aspects.

Once you’ve got it all out on the page, you can identify which parts actually belong in your presentation. Don’t try to include every last detail: audiences don’t want to process piles of information. They are more interested in your ideas and conclusions.

Now let’s put all this research and planning into a structure.

2. How to structure your presentation

On 28 August 1963, Dr Martin Luther King Jr stood on the steps of the Lincoln Memorial in Washington DC and delivered one of the most powerful speeches in history: ‘I have a dream’.

He was the leader of the civil rights movement in the US and his audience that day numbered in the hundreds of thousands. His goal was to inspire them to continue the struggle.

Presentations usually aim to either explain, persuade or inspire – sometimes with elements of all three. Your aim will determine your structure. This will be the backbone of your presentation, giving it strength and direction.

Explain in a logical sequence

When you explain, you add to people’s knowledge to build the key idea. But ask yourself, what does this audience already know?

If you’re an astrophysicist talking to an audience of your peers, you can use terms and concepts you know they’ll be familiar with. If you’re explaining black holes to Joe Public, you can’t do that. Typically, you’ll have to use simple analogies to keep the audience with you (‘Imagine you’re in a huge dark room …’).

Whether it’s black holes or new software, good explanations start with what we know and then build on that understanding, step by step, layer by layer. The audience will stay with you if they can follow your logic and you can help this with linking comments – ‘Building on that … ‘, ‘This means …’, ‘To illustrate that, I’ve always found …’.

We need to change

If you’re writing a persuasive presentation, you also need to follow a particular sequence.

Whether you’re writing a pitch for a prospective customer or making research-based recommendations to a client, you follow the same structure. That structure is the Four Ps . It’s a powerful way of leading your audience’s thinking.

Start with the current situation – where you are now ( position ). Explain why you can’t stay there, so the audience agrees things have to change ( problem ). Suggest up to three credible ways you can address the issue ( possibilities ). Then decide which one is the optimum solution ( proposal ).

Three is a magic number for writers – not too many, not too few. But there may be one standout possibility, in which case you go straight to it ( position, problem, proposal ).

Think about how the pandemic has profoundly changed our working lives. Towns and cities are full of offices that people used to commute to. But to maintain social distancing, we’ve been encouraged to work from home where possible and to stay away from public transport.

At some point, decision-makers within organisations will have to make a call – or share a recommendation – about what to do long term. Should we go back to the office, stay at home or combine the two?

If we had to present on this choice using the Four Ps structure, we could outline the pros and cons of each possibility and then make a push for the one we recommend above the others. Or we could join the likes of Google and Twitter and simply propose purely remote working well into the future.

I have a dream

A presentation that inspires is about the future – about what could be. Scientists inspire children to follow careers in astronomy or physics with their passion and stunning visuals. Designers re-energise companies with their radical, exciting visions. Business leaders convince their staff that they really can turn things around.

An audience watching an inspirational presentation is not going to take away lots of facts and figures. What’s important is their emotional and intellectual engagement with the speaker, their shared sense of purpose. One way to build that engagement is with your structure.

From dark to light

The most inspiring presentations are so often born of shared struggle. On 13 May 1940, Winston Churchill addressed the British parliament – and the British people listening on their radios – in the darkest days of the Second World War.

He was brutally realistic in his assessment of the current position: ‘We have before us many, many long months of struggle and of suffering.’ He then set out his policy: ‘To wage war by sea, land and air, with all our might … against a monstrous tyranny’, and the prize: ‘Victory, however long and hard the road may be.’

In difficult situations, audiences immediately see through false hope and empty rhetoric. They want honest acknowledgement, and the determination and clear strategy to lead them to the future.

We can imagine how the same structure could show up in a more business-related context:

‘I’m not going to sugar-coat the figures. We have to change to save jobs and secure our future. There will be dark days and sacrifices along the way, but what’s the hardest part of any turnaround? It’s getting started. To do that, we all need to keep asking two fundamental questions: where can we improve, how can we improve? And if we push hard enough and if we’re utterly relentless, change will come and our momentum will build.’

Are you going to appeal to your audience’s

  • habits of thought (current beliefs)?

If your recommendations run counter to their current beliefs, try appealing to their emotions.

3. Writing your presentation script

You don’t have to write a script. Some people put a few PowerPoint slides together and wing it; others make do with bullets on a smartphone, laptop or cue cards. It depends on the event and the presenter.

Writing a full script takes time, but if it’s a very important presentation and you might use it again – perhaps to appeal for investment – it will be worth it.

Some people will write a full script because the company or organisation that’s commissioned a presentation will want to see a copy well ahead of the event (often for legal reasons). Others will write the script, edit it down to the required time and then edit it down again to bullets or notes.

If the presentation is to a small audience, your notes or bullets will suit a more conversational approach. There are no rules here – see what works best for you. But what you must do is know your subject inside out.

To write clearly, you must think clearly and a full script will expose the areas that aren’t clear – where an explanation needs strengthening, for example, or where you should work on a transition.

Timing is everything

A full script also helps with working out timing, and timing is crucial. TED talks, for example, have a strict 18-minute limit, whether in front of an audience or online. That’s short enough to hold attention, but long enough to communicate a key idea. (The ‘I have a dream’ speech lasted 17 minutes 40 seconds and it changed the world.)

It takes a very skilled presenter to go much over 30 minutes. If you are taking questions during or after your presentation , however, it’s fine to build in extra time.

Imagine you’re writing your presentation in full and your slot is 20 minutes. On an A4 page with a 14-point Calibri font and 1.5 line spacing, that will equate to about 10 pages.

You can also divide the page in two, with slides on the left and text on the right (or vice versa). Then you can plan your words and visuals in parallel – and that will be roughly 20 pages.

The most powerful key on your keyboard – Delete

Use these numbers as your goal, but your first draft will probably be longer. That’s when you start deleting.

Be ruthless. Anything not adding to the story must go, including those anecdotes you’ve been telling for years ( especially those anecdotes). It’s not about what you want to tell the audience, it’s about what they need to hear.

Don’t feel you have to include every single issue either. Dealing with two or three examples in some detail is far better than saying a little bit about many more.

And interpret visual material you’re displaying rather than describing it, just as you wouldn’t repeat the text that’s on the screen. The audience can see it already.

It’s a conversation

Be yourself – don’t write a script that’s not in your style. We want the real you, not a supercharged version.

Some people are naturals when it comes to presenting – which can mean they’ve learned how to draw on their authentic strengths.

Sir David Attenborough is a great example. He has a wide-ranging knowledge of the natural world. He has an infectious passion and enthusiasm for his subject. And most importantly, he doesn’t lecture the camera: he talks naturally to his audience (and he’s now using Instagram to inspire new generations).

You can take a cue from Sir David and make your presentation style your own. Knowing your own strengths and really understanding your why will help you speak with purpose and passion.

And aim to speak naturally. Use conversational, inclusive language. That means lots of personal pronouns ( I believe, we can) and contractions ( Don’t you wonder …, you’re probably thinking …).

Sir David Attenborough introduces his new series, Our Planet at its premiere. He builds up our awareness by layering information alongside arresting statistics. These are framed simply, in relatable terms (‘96% of mass on the planet is us …’), so we easily grasp their shocking significance. He also uses ‘we’ and ‘us’ a lot to underline how this environmental emergency affects us all on ‘the planet we all call home’.

Finding the right words

Imagine you’re talking to someone as you write. And try saying the words out loud – it’s a good way to catch those complex, overlong sentences or particular words that will be difficult to say.

Presentations are not reports that can be reread – the audience has to understand what you are saying in the moment . Don’t leave them wondering what on earth you’re talking about, as they will only fall behind.

So avoid using long or complex words, or words you wouldn’t hear in everyday conversation (if your everyday conversation includes ‘quarks’ and ‘vectors’, that’s fine). And beware of jargon – it can exclude the audience and it quickly becomes clichéd and outdated.

Here are some more hints and tips on how to write effectively for speaking:

Syntax (word order): Disentangle your thoughts and arrange the words in your sentences to be simple and logical. Often, complex syntax shows up when the main point is getting lost inside excess information (or that the speaker is unsure what their main point is).

Pace, rhythm and tone: Varying the pace, rhythm and tone of sentences makes both the speaking and listening experience far more enjoyable.

Make sure the stress falls on the most important words. For example, ‘To be or not to be ‘ (where the stress rises and falls on alternate words) or ‘I have a dream ‘ (where the stress falls on the final word).

Vary the length of sentences and experiment with using very short sentences to emphasise a point.

Play with rhythm by arranging words in pairs and trios. Saying things in threes gives a sense of movement, progression and resolution: Going, going … gone . Saying words in pairs gives a more balanced tone (‘courage and commitment’, ‘energy and effort’) or a sense of tension between the words (‘war and peace’, ‘imports and exports’).

Analogies: Good analogies can work well in presentations because they paint vivid pictures for the audience. The best way to do it is to use either a simile (‘It wasn’t so much a dinner party, more like feeding time at the zoo’) or a metaphor (‘He was the fox and the company was the henhouse’).

Alliteration: This means using two or more words that start with the same sound, like ‘big and bold’, ‘sleek and shiny’ or ‘key components’. On the page alliteration may look contrived, but it can effectively highlight important phrases in a presentation.

Words to avoid: Be careful about using clichés like ‘pushing the envelope’, ‘playing hardball’ and ‘thinking outside the box’. And think carefully about using any word that ends with -ism, -ise, -based, -gate, -focused and -driven.

Be careful with humour too: don’t write jokes unless you can naturally tell them well. Keep the tone light if it fits the occasion, but a badly told joke can be excruciating.

4. How to start your presentation

People tend to remember beginnings and endings the most, so make sure your opening and conclusion are both strong.

You have about a minute to engage an audience. You want them to be intrigued, to want to know more, to come slightly forward in their seats. If you only learn one part of your presentation by heart, make it that minute.

A quick ‘thank you’ is fine if someone has introduced you. A quick ‘good morning’ to the audience is fine too. But don’t start thanking them for coming and hoping they’ll enjoy what you have to say – you’re not accepting an Oscar, and they can tell you what they thought when it’s over. Get straight down to business.

There are four basic types of introduction which will draw your audience in:

  • News – ‘Positive Covid-19 tests worldwide have now reached …’
  • Anecdotal – ‘About ten years ago, I was walking to work and I saw …’
  • Surprise – ‘Every five minutes, an American will die because of the food they eat.’
  • Historical – ‘In 1800, the world’s population was one billion. It’s now 7.8 billion.’

You can interpret these beginnings in any number of ways. If you were to say, ‘I have an admission to make …’, we will expect a personal anecdote relating to your main theme. And because you’re alone in front of us, it’s playing on your vulnerability. We’re intrigued straight away, and you’ve established a good platform for the rest of the presentation.

You can also combine these techniques. The historical beginning creates a sense of movement – that was then and this is now – as well as a surprising fact. It may prompt a thought like, ‘Wow, where’s this going?’ And you can trade on this with your own rhetorical question: ‘What does this mean for everyone in this room? It’s not what you think …’.

As well as setting up your story, you need to quickly reassure the audience they’re in safe hands. One way to do that is to give them a map – to tell them where you’re going to take them and what they’re going to see along the way.

Then you’re starting the journey together.

5. How to end your presentation

Your ending is what you want the audience to take away: your call to action, your vision of the future and how they can contribute.

If your presentation is online or to a small group in a small room, your ending is not going to be a battle cry, a call to man the barricades – that would be totally inappropriate. But equally don’t waste it with something flat and uninspiring.

Here are four effective ways to end your talk (like the intros, you can combine them or come up with your own):

  • Predict the future – ‘So what can we expect in the next ten years? …’
  • Quotation – ‘As our chief exec said at the meeting yesterday, …’
  • Repeat a major issue – ‘We can’t carry on with the same old same old.’
  • Summarise – ‘Continuous improvement isn’t our goal. It’s our culture.’

Predicting the future fits well with a historical beginning – it completes the arc of your presentation.

If you end with a quotation, make sure it’s relevant and credible – it has to be an authoritative stamp.

Repeating a major issue means pulling out and highlighting a major strand of your presentation, while summarising is about encapsulating your argument in a couple of sentences.

Your ending can also be a change of tone, perhaps signalled by the single word ‘Finally …’. It’s the audience’s cue to come slightly forward again and pay close attention.

As with your opening, it will have more impact if you’ve learned your ending – put down your notes, take a couple of steps towards the audience and address them directly, before a simple ‘Thank you.’

6. Creating your PowerPoint slides

We’ve all been there – watching a seemingly endless, poorly designed slide deck that’s simply restating what the presenter is saying. So common is this tortuous experience that there’s a name for it: Death by PowerPoint. But it doesn’t have to be like this.

Do you need slides at all?

As with your script, the first thing you should ask is ‘Do I actually need this?’ In 2019, Sir Tim Berners-Lee gave the Richard Dimbleby lecture for the BBC. He spoke for about 40 minutes with no autocue (he’d memorised his script) – and no speaker support.

This is a uniquely powerful form of presentation because the audience’s attention is totally focused on that one person. The call to action at the end of a presentation and delivering bad news are also best done without visuals.

Visual support

But if they’re well-judged and relevant, slides or other visuals can add enormously to a presentation – whether it’s photography, video or the ubiquitous PowerPoint. There are, however, two things everyone should know about PowerPoint in particular:

  • It’s incredibly versatile and convenient.
  • In the wrong hands, it can be unbearably tedious.

Your PowerPoint slides should not essentially be your cue cards projected onto a screen. They shouldn’t be packed margin to margin with text or full of complex diagrams.

If the presentation is live, the audience has come to watch you, not your slide deck. Online, the deck may have to work harder to sustain visual interest.

As with the script, keep your finger poised over that Delete key when you’re putting the deck together.

How many slides?

There’s no hard-and-fast rule about how many slides you should use, but think in terms of no more than one or two a minute on average. And don’t use more than a couple of short video inserts in a 20-minute presentation.

You might have a section where you show a few slides in a sequence or hold a single slide for a couple of minutes, which is fine. Varying the pacing helps to keep a presentation moving.

Optimise for psychology

As self-professed presentation aficionado David JP Phillips notes in his TEDx talk , people – and that includes your audience – have terrible working memories. If you don’t account for this fact in your slides, your talk will not have a lasting impact. In fact, most of it will be forgotten within around 30 seconds.

To counter this effect, David identifies five key strategies to use when designing your PowerPoint:

  • Only have one message per slide: more than that and you’re splitting your audience’s attention.
  • Don’t use full sentences on slides, and certainly don’t imagine you can talk over them if you do. People trying to read and listen at the same time will fail at both and absorb nothing. Move your running text into the documentation section instead, and keep the slide content short and sweet.
  • People’s focus will be drawn to the biggest thing on the slide. If your headline is less important than the content below it, make the headline text the smaller of the two.
  • You can also direct people’s attention using contrast. This can be as simple as guiding their point of focus by using white text (on a dark background) for the words you want to highlight, while the surrounding text is greyed out.
  • Including too many objects per slide will sap your audience’s cognitive resources. (Your headline, every bullet, any references, even a page number each count as an object.) Include a maximum of six objects per slide and viewers will give a mental sigh of relief. This will probably mean creating more slides overall – and that’s fine.

More Powerpoint and visual aid tips

Here are a few more guidelines for creating your visual aids:

  • Never dive into PowerPoint as job one in creating your presentation. Work out your talk’s structure (at least) before designing your slide deck. Making a genuinely effective PowerPoint requires that you know your subject inside out.
  • List any visuals you’ll need as you prepare your script. That terrific photo you saw recently could be difficult to track down, and you might need permission and to pay to use it.
  • It bears repeating: keep each slide to one key idea.
  • Use the build effect of adding one bullet at a time (or use the contrast trick above) and try not to use more than three bullets per frame (or six objects overall).
  • Strip each bullet to the bare minimum – no articles (‘a’, ‘an’ and ‘the’), no prepositions (‘in’, ‘at’, ‘to’ etc) and cut right back on punctuation.
  • Every word that’s not there for a reason has to go. Delete, delete, delete.

‘Extra’ slides

  • Use a ‘walk-in’ slide. Rather than have the audience arrive to a blank screen, this tells them who you are and your presentation’s title.
  • Use occasional holding slides in between those with more content – perhaps an image but no text. They give the audience a visual rest and put the focus back on you.
  • A plain white background might look fine on a computer monitor, but it will be glaring on a big screen. Invert the norm with a dark background, or use shading or ‘ghosted’ images to break up backgrounds and add visual interest.
  • Some colours work better than others on-screen. Blues and greys are soft and easy on the eye. Red is a no-no, whether for backgrounds or text. And if you stick with a light background, favour a more subtle dark grey over black for the text.
  • Use sans serif fonts (like Arial, Helvetica or Calibri) and think about point size – make sure it’s easily legible.
  • Only use upper case where absolutely necessary.

Images and data

  • Photos work well full screen, but they also really stand out well on a black background.
  • Make sure your charts and graphics aren’t too complex. The dense information that’s fine on the page will not work on-screen – it’s too much to take in. Graphs behind a TV newsreader are often reduced to a single line going dramatically up or down.
  • Don’t present data or graphs and expect them to speak for themselves. You need to find the story and significance in the data and present that .

And finally

  • Proofread, proofread, proofread – or risk standing in front of an embarrassing spelling mistake.

Technical check

  • Check what laptop they’re using at your venue. If you’ve written your deck on a PC, run it on a PC (and, of course, the same rule applies if you’ve used a Mac).
  • If you’ve emailed your presentation to the venue, take a USB copy along as back-up.
  • If you’re presenting online, check which platform you’ll be using and get comfortable with it. If someone else will be hosting the event, make sure you arrange a time for a rehearsal, especially if there will be a producer.

7. Delivering your presentation

You’ve put a lot of time and effort into preparing your presentation and now you’ve come to the sharp end – it’s time to stand and deliver.

Run it through

You don’t have to rehearse, but most presenters do and for good reason – it catches weak points and awkward transitions. And, crucially, it bolsters confidence.

Read your script or go through your bullets aloud – it will help to settle your nerves. If you use colleagues as a dummy audience, you can do a sense check too: ‘Does that bit work?’ ‘Have I explained it clearly?’ ‘Do you get the big picture?’ And rehearsing out loud will catch those words and sentences you thought you could say but can’t.

The more you rehearse, the more familiar and natural the presentation will become. Rehearse the technical side too – where the video is going to come in, how you’re going to vary your pace and tone to maintain interest.

Try speaking slightly more slowly than you would normally so the audience catches every word, and don’t be afraid to pause now and again. It gives a breathing space for you and the audience.

Connect with your audience

When you deliver your presentation for real, establish eye contact with the audience, just as you would in a conversation. In a small room with a small audience, talk to individuals. In a larger space, don’t talk to the first couple of rows and ignore the rest – include everyone.

And if you stumble over your words here or there, carry on and don’t dwell on it – you’ll lose your concentration. Audiences are generally forgiving and they might not even notice.

Each audience is unique: they react differently in different places. And although tomorrow might be the tenth time you’ve done the same presentation, it will be the first time this audience sees it. Your duty is to keep it fresh for them.

A final point

This is your presentation – you’re in control and the audience needs to feel they’re in safe hands.

It’s perfectly natural to feel nervous , but it’s the thought of doing it that’s the worst bit. Once you get going – and especially when you sense the audience is with you – the nerves will start to disappear. Try to enjoy it. If you enjoy it, it’s far more likely the audience will too.

And remember: everyone wants you to do well.

8. How to present online

Taking to Zoom or another online platform to present was once the exception. These days, online presenting is as essential a skill as presenting in person.

The switch to online can be nerve-wracking and cause even usually skilled presenters to falter. But there’s no need for that to happen.

Indeed, all of the advice we’ve talked about on preparing, structuring and writing for in-person presenting is equally relevant for your online delivery. You just need to be ready for the unique challenges that remote presentations pose.

An obvious one is that while you still have an audience, it will probably be muted and possibly even unseen (if webcams are switched off). This makes it far more difficult to gauge audience reaction, and if the event is pre-recorded, there might not be any at all – at least not immediately. Clapping and laughing emojis are not quite like the real thing.

Keep eye contact

But although your audience may be many miles away, there are still ways you can – and should – create a sense of connection with them. Your presentation will have much more impact if you do.

Whether the event is live or recorded, at least start with your webcam on (unless you really can only use slides). If it’s an option and feels appropriate, consider keeping your camera on throughout – remember, you are the presentation as much as any visuals.

If you will be on display, make sure you know where your webcam’s lens is and at key moments of your talk look directly into it – and out at your audience – to punctuate those points.

And don’t look at a second screen to cue up your PowerPoint – viewers will think your attention is wandering.

Engage your online audience

Being an engaging speaker is always important, but remember that the online world is already a place we associate with distraction. It’s also easier for a viewer behind their laptop to disguise their wandering attention than it would be for one in an auditorium or boardroom.

This isn’t to say your audience don’t want to give you their attention. But it is more important than ever to keep your presentation sharp and concise. Revisit your structure, your script or cue cards and your slides. Take a really critical eye to it and (as always) delete, delete, delete anything that’s not directly relevant.

If it works for your format, you can look at making your presentation interactive. You can then break the content into short segments, interspersed with comment, polls, questions and discussion. The variety will be a welcome change for your viewers.

Your visuals are part of what will keep people with you – along with the interplay you create between you and them. This means following the best-practice guidance we covered earlier is even more important.

Modulate your voice

Your tone of voice is extremely important here because presenting online is like radio with pictures. When people say ‘You have a great voice for radio’ what they mean is that it’s easy to listen to, often because you’re using quite a low-pitched, warm and relaxed register.

Listen to voices on the radio and voiceovers and identify the ones you particularly enjoy. What do you like about them? Why do you enjoy some voices and not others?

A flat, unmodulated voice, for instance, is difficult to listen to for long periods (and isn’t likely to inspire anyone).

Experiment with intentionally adding energy to your voice, as internet audio can have a dulling effect. As our trainer Gary Woodward puts it: ‘Turn up the enthusiasm dial even higher than you think, to make sure it comes through.’ And always vary your pace and tone as you would in a normal conversation.

And if it suits the tone of your talk, smile now and again. Smiling is contagious, and people will hear it in your voice even if they can’t see you.

Perfect your transitions

One of the other key challenges of remote presentations is that you have another layer of technology to wrestle with: sharing your PowerPoint online.

This means that many presentations begin with the popular catchphrase ‘Can you see my screen?’

This can also cause many presenters to stumble through their transitions, making the links between their slides clunky. And while remote audiences may be forgiving, for a slick presentation it’s best to prevent these sort of fumbles.

Naturally, practice plays a part here. But you can also give yourself the advantage with your set-up.

Dave Paradi from Think Outside the Slide explains one great way of setting up Zoom so you can smoothly cue up and run your slide deck – and be certain what’s being displayed.

You’ll even be able to see the rest of your screen (but the audience won’t). As you’ll be able to see what’s coming up, your transitions can also be seamless.

The trick is to use one of Zoom’s advanced settings after you hit ‘Share screen’, to share only a portion of your screen:

This will give you a frame you can move to the part of the screen you want the audience to see.

Put your PowerPoint slides into ‘presenter view’ before launching the screenshare. Then you’ll be able to see the upcoming slides and your notes throughout, and your animations (like build slides) will work as normal.

The other part of the trick? Set it up in advance shortly before you’re due to speak. Once you’re happy with the set up, you can stop sharing until it’s time to kick off your talk. When you return to ‘Share screen’ again, it will reopen the frame in the same place.

Five practical tips for a truly professional online presentation

You’re happy with the content of your talk, you’ve ruthlessly streamlined your slides and mastered your radio voice. Now just make sure you cover these crucial practicalities for a polished presentation:

1. Create a good space Make sure you have your environment well set up:

  • Keep the background on display as tidy and minimalist as possible – a plain wall or backdrop is great, if you can.
  • Manage and minimise background noise (shut the window, ensure your phone’s on silent, put the cat out, make sure someone’s watching the kids in another room – whatever it takes).
  • Check your lighting: have your light source in front of you, not behind you (or you’ll be in shadow).
  • Set up your computer or device at eye level so that you are well-framed and facing it straight on – avoid looming above it while providing a lovely view into your nostrils.

2. Think about your appearance Dress in the same way you would if the presentation were in person, and judge your choice of attire based on the formality of the event and your audience.

3. Practise! Run through the presentation and rehearse the technical side. Practise your transitions, including the initial cueing up of your slides (perhaps using the Zoom tip above), so that you can be confident in doing it all smoothly.

4. Be primed and ready Log in early on the day of your talk. Check all your tech is working, get your headset on and ensure everything is set up well ahead of time. This will save any last-minute issues (and stress) and means you can hit the ground running.

5. Stand and deliver Even online, consider giving your presentation standing up, if you can do so comfortably (adjusting your device or webcam accordingly). This may put you more into a presenting frame of mind and will differentiate you from most remote presenters.

Are you still there?

Live audiences have a group dynamic – as soon as a few people start laughing it becomes infectious and the others join in. It’s naturally different online. But that doesn’t have to throw you.

You might not get that immediate feedback, but don’t overcompensate and feel you have to win them back.

Yes, it’s often more difficult to gauge an audience’s reaction online – especially if their audio is muted and their webcams off. Yes, this can be daunting. But they are still out there listening. You may or may not hear (or see) laughter, but they could still be smiling and very interested in what you have to say. Have faith in your own content. Whatever form your delivery will take, keep coming back to your purpose and message for giving this talk – and keep considering the people you’ll be talking to. Whether the address will be online or in person, it is keeping this focus which is the key to every powerful presentation.

24 Oral Presentations

Many academic courses require students to present information to their peers and teachers in a classroom setting. This is usually in the form of a short talk, often, but not always, accompanied by visual aids such as a power point. Students often become nervous at the idea of speaking in front of a group.

This chapter is divided under five headings to establish a quick reference guide for oral presentations.

The Purpose of an Oral Presentation

Generally, oral presentation is public speaking, either individually or as a group, the aim of which is to provide information, entertain, persuade the audience, or educate. In an academic setting, oral presentations are often assessable tasks with a marking criteria. Therefore, students are being evaluated on their capacity to speak and deliver relevant information within a set timeframe. An oral presentation differs from a speech in that it usually has visual aids and may involve audience interaction; ideas are both shown and explained . A speech, on the other hand, is a formal verbal discourse addressing an audience, without visual aids and audience participation.

Types of Oral Presentations

Individual presentation.

  • Breathe and remember that everyone gets nervous when speaking in public. You are in control. You’ve got this!
  • Know your content. The number one way to have a smooth presentation is to know what you want to say and how you want to say it. Write it down and rehearse it until you feel relaxed and confident and do not have to rely heavily on notes while speaking.
  • Eliminate ‘umms’ and ‘ahhs’ from your oral presentation vocabulary. Speak slowly and clearly and pause when you need to. It is not a contest to see who can race through their presentation the fastest or fit the most content within the time limit. The average person speaks at a rate of 125 words per minute. Therefore, if you are required to speak for 10 minutes, you will need to write and practice 1250 words for speaking. Ensure you time yourself and get it right.
  • Ensure you meet the requirements of the marking criteria, including non-verbal communication skills. Make good eye contact with the audience; watch your posture; don’t fidget.
  • Know the language requirements. Check if you are permitted to use a more casual, conversational tone and first-person pronouns, or do you need to keep a more formal, academic tone?

Group Presentation

  • All of the above applies, however you are working as part of a group. So how should you approach group work?
  • Firstly, if you are not assigned to a group by your lecturer/tutor, choose people based on their availability and accessibility. If you cannot meet face-to-face you may schedule online meetings.
  • Get to know each other. It’s easier to work with friends than strangers.
  • Also consider everyone’s strengths and weaknesses. This will involve a discussion that will often lead to task or role allocations within the group, however, everyone should be carrying an equal level of the workload.
  • Some group members may be more focused on getting the script written, with a different section for each team member to say. Others may be more experienced with the presentation software and skilled in editing and refining power point slides so they are appropriate for the presentation. Use one visual aid (one set of power point slides) for the whole group. Take turns presenting information and ideas.
  • Be patient and tolerant with each other’s learning style and personality. Do not judge people in your group based on their personal appearance, sexual orientation, gender, age, or cultural background.
  • Rehearse as a group, more than once. Keep rehearsing until you have seamless transitions between speakers. Ensure you thank the previous speaker and introduce the one following you. If you are rehearsing online, but have to present in-person, try to schedule some face-to-face time that will allow you to physically practice using the technology and classroom space of the campus.

Writing Your Presentation

Approach the oral presentation task just as you would any other assignment. Review the available topics, do some background reading and research to ensure you can talk about the topic for the appropriate length of time and in an informed manner. Break the question down as demonstrated in Chapter 17 Breaking Down an Assignment. Where it differs from writing an essay is that the information in the written speech must align with the visual aid. Therefore, with each idea, concept or new information you write, think about how this might be visually displayed through minimal text and the occasional use of images. Proceed to write your ideas in full, but consider that not all information will end up on a power point slide. After all, it is you who are doing the presenting , not the power point. Your presentation skills are being evaluated; this may include a small percentage for the actual visual aid. This is also why it is important that EVERYONE has a turn at speaking during the presentation, as each person receives their own individual grade.

Using Visual Aids

A whole chapter could be written about the visual aids alone, therefore I will simply refer to the key points as noted by my.UQ

To keep your audience engaged and help them to remember what you have to say, you may want to use visual aids, such as slides.

When designing slides for your presentation, make sure:

  • any text is brief, grammatically correct and easy to read. Use dot points and space between lines, plus large font size (18-20 point).
  • Resist the temptation to use dark slides with a light-coloured font; it is hard on the eyes
  • if images and graphs are used to support your main points, they should be non-intrusive on the written work

Images and Graphs

  • Your audience will respond better to slides that deliver information quickly – images and graphs are a good way to do this. However, they are not always appropriate or necessary.

When choosing images, it’s important to find images that:

  • support your presentation and aren’t just decorative
  • are high quality, however, using large HD picture files can make the power point file too large overall for submission via Turnitin
  • you have permission to use (Creative Commons license, royalty-free, own images, or purchased)
  • suggested sites for free-to-use images: Openclipart – Clipping Culture ; Beautiful Free Images & Pictures | Unsplash ; Pxfuel – Royalty free stock photos free download ; When we share, everyone wins – Creative Commons

This is a general guide. The specific requirements for your course may be different. Make sure you read through any assignment requirements carefully and ask your lecturer or tutor if you’re unsure how to meet them.

Using Visual Aids Effectively

Too often, students make an impressive power point though do not understand how to use it effectively to enhance their presentation.

  • Rehearse with the power point.
  • Keep the slides synchronized with your presentation; change them at the appropriate time.
  • Refer to the information on the slides. Point out details; comment on images; note facts such as data.
  • Don’t let the power point just be something happening in the background while you speak.
  • Write notes in your script to indicate when to change slides or which slide number the information applies to.
  • Pace yourself so you are not spending a disproportionate amount of time on slides at the beginning of the presentation and racing through them at the end.
  • Practice, practice, practice.

Nonverbal Communication

It is clear by the name that nonverbal communication are the ways that we communicate without speaking. Many people are already aware of this, however here are a few tips that relate specifically to oral presentations.

Being confident and looking confident are two different things. Fake it until you make it.

  • Avoid slouching or leaning – standing up straight instantly gives you an air of confidence.
  • Move! When you’re glued to one spot as a presenter, you’re not perceived as either confident or dynamic. Use the available space effectively, though do not exaggerate your natural movements so you look ridiculous.
  • If you’re someone who “speaks with their hands”, resist the urge to constantly wave them around. They detract from your message. Occasional gestures are fine.
  • Be animated, but don’t fidget. Ask someone to watch you rehearse and identify if you have any nervous, repetitive habits you may be unaware of, for example, constantly touching or ‘finger-combing’ your hair, rubbing your face.
  • Avoid ‘voice fidgets’ also. If you needs to cough or clear your throat, do so once then take a drink of water.
  • Avoid distractions. No phone turned on. Water available but off to one side.
  • Keep your distance. Don’t hover over front-row audience members; this can be intimidating.
  • Have a cheerful demeaner. You do not need to grin like a Cheshire cat throughout the presentation, yet your facial expression should be relaxed and welcoming.
  • Maintain an engaging TONE in your voice. Sometimes it’s not what you’re saying that is putting your audience to sleep, it’s your monotonous tone. Vary your tone and pace.
  • Don’t read your presentation – PRESENT it! Internalize your script so you can speak with confidence and only occasionally refer to your notes if needed.
  • Lastly, make good eye contact with your audience members so they know you are talking with them, not at them. You’re having a conversation. Watch the link below for some great speaking tips, including eye contact.

1/ Understand Your Purpose and Audience

  • Clarify the purpose of your presentation. Are you informing, persuading, or entertaining?
  • Identify your target audience and their knowledge level, interests, and expectations.
  • Define what presentation format you want to use

2/ Outline the Structure of Your Presentation

Strong opening.

Start with an engaging opening that grabs the audience’s attention and introduces your topic. Some types of openings you can use are: 

  • Start with a Thought-Provoking Question: “Have you ever…?”
  • Begin with a Surprising Fact or Statistic: “Did you know that….?”
  • Use a Powerful Quote: “As Maya Angelou once said,….”

Main Points

Clearly state your main points or key ideas that you will discuss throughout the presentation.

  • Provide Background and Context: Example: “Before we dive into the details, let’s understand the basics of…..”

You can conclude with a strong closing statement summarizing your main points and leaving a lasting impression. Example: “As we conclude our presentation, it’s clear that… By…., we can….”

3/ Craft Clear and Concise Sentences

Once you’ve outlined your presentation, you need to edit your sentences. Use clear and straightforward language to ensure your message is easily understood.

Alternatively, you can break down complex ideas into simpler concepts and provide clear explanations or examples to aid comprehension.

4/ Use Visual Aids and Supporting Materials

Use supporting materials such as statistics, research findings, or real-life examples to back up your points and make them more compelling. 

  • Example: “As you can see from this graph,… This demonstrates….”

5/ Include Engagement Techniques

Incorporate interactive elements to engage your audience, such as Q&A sessions , conducting live polls, or encouraging participation. You can also spin more funs into group, by randomly dividing people into different groups to get more diverse feedbacks!

6/ Rehearse and Revise

  • Practice delivering your presentation script to familiarize yourself with the content and improve your delivery.
  • Revise and edit your script as needed, removing any unnecessary information or repetitions.

7/ Seek Feedback

You can share your script or deliver a practice presentation to a trusted friend, colleague, or mentor to gather feedback on your script and make adjustments accordingly.

How to Write A Presentation Introduction with Examples

How to write presentations that are engaging and visually appealing? Looking for introduction ideas for the presentation? As mentioned earlier, once you have completed your script, it’s crucial to focus on editing and refining the most critical element—the opening of your presentation – the section that determines whether you can captivate and retain your audience’s attention right from the start. 

Here is a guide on how to craft an opening that grabs your audience’s attention from the very first minute: 

1/ Start with a Hook

To begin, you can choose from five different openings mentioned in the script based on your desired purpose and content. Alternatively, you can opt for the approach that resonates with you the most, and instills your confidence. Remember, the key is to choose a starting point that aligns with your objectives and allows you to deliver your message effectively.

2/ Establish Relevance and Context

Then you should establish the topic of your presentation and explain why it is important or relevant to your audience. Connect the topic to their interests, challenges, or aspirations to create a sense of relevance.

3/ State the Purpose

Clearly articulate the purpose or goal of your presentation. Let the audience know what they can expect to gain or achieve by listening to your presentation.

4/ Preview Your Main Points

Give a brief overview of the main points or sections you will cover in your presentation. It helps the audience understand the structure and flow of your presentation and creates anticipation.

5/ Establish Credibility

Share your expertise or credentials related to the topic to build trust with the audience, such as a brief personal story, relevant experience, or mentioning your professional background.

6/ Engage Emotionally

Connect emotional levels with your audience by appealing to their aspirations, fears, desires, or values. They help create a deeper connection and engagement from the very beginning.

Make sure your introduction is concise and to the point. Avoid unnecessary details or lengthy explanations. Aim for clarity and brevity to maintain the audience’s attention.

Many students panic when they first have to create an assessed presentation. For some this is because they are unfamiliar with the software needed, but for many it is because they are unsure how to structure a presentation and what makes effective slides.

In this post we look at the similarities in structure between presentations and essays – which for many are a more familiar prospect.

Overall structure

The basic structure of an essay is an introduction, followed by a main body and finishing with a conclusion. Presentations are just the same. Your first few slides should be an introduction, the bulk of your presentation represents the main body and then the final few slides are bringing everything together just like a conclusion.

Presentation introduction

We have already written a blog post all about what goes into an essay introduction so you should see some similarities.

Here is a breakdown of a typical presentation introduction:

  • A really well designed title slide that grabs the attention
  • A slide that gives the audience the big picture
  • A slide that shows what you will be focusing on
  • A slide that tells the audience what is to come in your presentation (its structure)
  • A slide that uses the word ‘you’ or ‘your’ in the title to connect with the audience

The main difference is the last point mentioned above (this doesn’t have to be the last slide in your introduction by the way, it often works best after the ‘focusing on’ slide). By having a slide that uses the word ‘you’ or ‘your’ in its title you show why the people in front of you should bother paying attention. Unlike an essay, it is a lot more noticeable if they stop doing so and it can really affect your confidence – so you want to do everything you can to maximise their engagement. Here are a couple of examples from my own presentations:

Presentation main body

The slides in the main body of your presentation should take a lesson directly from essay paragraph structure. In essays, we emphasis PEEL structure – Point, Evidence, Explanation and Link. This exact same structure works perfectly for presentation slides:

To look at each of these elements in a little more detail:

Making a point

Just like the ‘point’ sentence in an essay paragraph, the heading of every slide should actually assert something – giving information rather than just introducing a topic. Look at the example below:

Providing evidence

In an essay, you would normally follow your point by providing evidence from your reading that backs it up. On a slide, it is best if the evidence that supports or illustrates the point is visual because presentations are in essence a form of visual communication. Still working with the slide from the previous example, you can see how this works:

Explain it to the audience

Detail can go into your verbal narration. For example, the written information on the above slide is not needed on the slide itself because you can verbally give it in the narration.

This is very important, first because it stops you putting too much text and detail on the slide (we don’t need more bullet points!); and secondly, because it is actually impossible to listen and read simultaneously – so by taking the text away, your audience may actually listen to what you are saying.

Your narration is a crucial and integral part of your presentation, just like your critical explanations are essential throughout your essays.

A good essay paragraph will either end by linking the point back to the essay question or link it to the following paragraph. In the same way, part of your presenatation narration could show why the point of the current slide is important to the presentation as a whole and/or make a link to the next slide.

Presentation conclusions

As with introductions, you can look at our previous blog post on essay conclusions and see similarities with what is here.

You should always reserve the last few slides of your presentation to conclude things satisfactorily. You will need at least:

  • one slide that summarises your main points 
  • one slide that connects your presentation back to the wider topic
  • one slide containing the most important point of your presentation

I usually make the ‘most important point’ slide the final one in the presentation. The final slide is on screen as you answer questions so it is searing itself into your audience’s conscience for a long time and should stay with them when you have finished.

Don’t waste your final slide with “Any questions” or “Thanks for listening”. These can just be verbal, they don’t need illustrating and would be a waste of your most important slide.

TED curator Chris Anderson discusses the transformative power of speaking to an audience from the heart.

You’re nervous, right?

Stepping out onto a public stage and having hundreds of pairs of eyes turned your way is terrifying. You dread having to stand up in a company meeting and present your project. What if you get nervous and stumble over your words? What if you completely forget what you were going to say? Maybe you’ll be humiliated! Maybe your career will crater! Maybe the idea you believe in will stay buried forever!

But guess what? Almost everyone has experienced the fear of public speaking. Indeed, surveys that ask people to list their top fears often report public speaking as the most widely selected, ahead of snakes, heights — and even death.

How can this be? There is no tarantula hidden behind the microphone. You have zero risk of plunging off the stage to your death. The audience will not attack you with pitchforks. Then why the anxiety?

It’s because there’s a lot at stake — not just the experience in the moment, but in our longer-term reputation. How others think of us matters hugely. We are profoundly social animals. We crave each other’s affection, respect and support. Our future happiness depends on these realities to a shocking degree. And we sense that what happens on a public stage is going to affect these social currencies, for better or worse. But with the right mindset, you can use your fear as an incredible asset. It can be the driver that will persuade you to prepare for a talk properly.

That’s what happened when Monica Lewinsky (TED Talk: The price of shame ) came to the TED stage. For her, the stakes couldn’t have been higher. Seventeen years earlier, she had been through the most humiliating public exposure imaginable, an experience so intense it almost broke her. Now she was attempting a return to a more visible public life, to reclaim her narrative. But she was not an experienced public speaker, and she knew that it would be disastrous if she messed up. She told me:

“Nervous is too mild a word to describe how I felt. More like . . . Gutted with trepidation. Bolts of fear. Electric anxiety. If we could have harnessed the power of my nerves that morning, I think the energy crisis would have been solved. Not only was I stepping out onto a stage in front of an esteemed and brilliant crowd, but it was also videotaped, with the high likelihood of being made public on a widely viewed platform. I was visited by the echoes of lingering trauma from years of having been publicly ridiculed. Plagued by a deep insecurity I didn’t belong on the TED stage. That was the inner experience against which I battled.”

And yet Monica found a way to turn that fear around. Her talk won a standing ovation at the event, rocketed to a million views within a few days and earned rave reviews online. It even prompted a public apology to her from a longtime critic, feminist author Erica Jong.

The brilliant woman I am married to, Jacqueline Novogratz (TED Talk: Inspiring a life of immersion ), was also haunted by fear of public speaking. In school, at college and into her twenties, the prospect of a microphone and watching eyes was so scary it was debilitating. But she knew that to advance her work fighting poverty, she’d have to persuade others, and so she just began forcing herself to do it. Today she gives scores of speeches every year, often earning standing ovations.

Indeed, everywhere you look, there are stories of people who were terrified of public speaking but found a way to become really good at it, from Eleanor Roosevelt to Warren Buffett to Princess Diana, who was known to all as “shy Di,” but found a way to speak informally in her own voice, and the world fell in love with her.

If you can get a talk right, the upside can be amazing. Take the talk that entrepreneur Elon Musk (TED Talk: The mind behind Tesla, SpaceX, SolarCity … ) gave to SpaceX employees on August 2, 2008. Musk was not known as a great public speaker. But that day, his words marked an important turning point for his company. SpaceX had already suffered two failed launches. This was the day of the third launch, and everyone knew failure could force the company’s closure. The Falcon rocket soared off the launch pad, but right after the first stage fell away, disaster struck. The spacecraft exploded. The video feed went dead. Some 350 employees had gathered and, as described by Dolly Singh, the company’s head of talent acquisition, the mood was thick with despair. Musk emerged to speak to them. He told them they’d always known it would be hard, but that despite what had happened, they had already accomplished something that day that few nations, let alone companies, had achieved. They had successfully completed the first stage of a launch and taken a spacecraft to outer space. They simply had to pick themselves up and get back to work. Here’s how Singh described the talk’s climax:

Then Elon said, with as much fortitude and ferocity as he could muster after having been awake for like 20+ hours by this point, “For my part, I will never give up and I mean never.” I think most of us would have followed him into the gates of hell carrying suntan oil after that. It was the most impressive display of leadership that I have ever witnessed. Within moments the energy of the building went from despair and defeat to a massive buzz of determination as people began to focus on moving forward instead of looking back.

That’s the power of a single talk. You might not be leading an organization, but a talk can still open new doors or transform a career.

TED speakers have told us delightful stories of the impact of their talks. Yes, there are sometimes book and movie offers, higher speaking fees and unexpected offers of financial support. But the most appealing stories are of ideas advanced, and lives changed. Young Malawian inventor William Kamkwamba’s inspiring talk about building a windmill in his village as a 14-year-old (TED Talk: How I harnessed the wind ) sparked a series of events that led to him being accepted into an engineering program at Dartmouth College.

Here’s a story from my own life: When I first took over leadership of TED in late 2001, I was reeling from the near collapse of the company I had spent 15 years building, and I was terrified of another huge public failure. I had been struggling to persuade the TED community to back my vision for TED, and I feared that it might just fizzle out. Back then, TED was an annual conference in California, owned and hosted by a charismatic architect named Richard Saul Wurman, whose larger-than-life presence infused every aspect of the conference. About 800 people attended every year, and most of them seemed resigned to the fact that TED probably couldn’t survive once Wurman departed. The TED conference of February 2002 was the last to be held under his leadership, and I had one chance and one chance only to persuade TED attendees that the conference would continue just fine. I had never run a conference before, however, and despite my best efforts at marketing the following year’s event, only 70 people had signed up for it.

Early on the last morning of that conference, I had 15 minutes to make my case. And here’s what you need to know about me: I am not naturally a great speaker. I say “um” and “you know” far too often. I will stop halfway through a sentence, trying to find the right word to continue. I can sound overly earnest, soft spoken, conceptual. My quirky British sense of humor is not always shared by others.

I was so nervous about this moment, and so worried that I would look awkward on the stage, that I couldn’t even bring myself to stand. Instead I rolled forward a chair from the back of the stage, sat on it and began.

I look back at that talk now and cringe — a lot. If I were critiquing it today, there are a hundred things I would change, starting with the wrinkly white T-shirt I was wearing. And yet … I had prepared carefully what I wanted to say, and I knew there were at least some in the audience desperate for TED to survive. If I could just give those supporters a reason to get excited, perhaps they would turn things around. Because of the recent dotcom bust, many in the audience had suffered business losses as bad as my own. Maybe I could connect with them that way?

I spoke from the heart, with as much openness and conviction as I could summon. I told people I had just gone through a massive business failure. That I’d come to think of myself as a complete loser. That the only way I’d survived mentally was by immersing myself in the world of ideas. That TED had come to mean the world to me — that it was a unique place where ideas from every discipline could be shared. That I would do all in my power to preserve its best values. That, in any case, the conference had brought such intense inspiration and learning to us that we couldn’t possibly let it die … could we?

Oh, and I broke the tension with an apocryphal anecdote about France’s Madame de Gaulle and how she shocked guests at a diplomatic dinner by expressing her desire for “a penis.” In England, I said, we also had that desire, although there we pronounced it happiness and TED had brought genuine happiness my way.

To my utter amazement, at the end of the talk, Jeff Bezos, the head of Amazon, who was seated in the center of the audience, rose to his feet and began clapping. And the whole room stood with him. It was as if the TED community had collectively decided, in just a few seconds, that it would support this new chapter of TED after all. And in the 60-minute break that followed, some 200 people committed to buying passes for the following year’s conference, guaranteeing its success.

If that 15-minute talk had fizzled, TED would have died, four years before ever putting a talk on the Internet.

No matter how little confidence you might have today in your ability to speak in public, there are things you can do to turn that around. Facility with public speaking is not a gift granted at birth to a lucky few. It’s a broad-ranging set of skills. There are hundreds of ways to give a talk, and everyone can find an approach that’s right for them and learn the skills necessary to do it well.

Several years ago, TED’s content director, Kelly Stoetzel, and I went on a global tour in search of speaking talent. In Nairobi, Kenya, we met Richard Turere, a 12-year-old Maasai boy who had come up with a surprising invention. His family raised cattle, and one of the biggest challenges was protecting them at night from lion attacks. Richard had noticed that a stationary campfire didn’t deter the lions, but walking around waving a torch did seem to work. The lions were apparently afraid of moving lights! Richard had somehow taught himself electronics by messing around with parts taken from his parents’ radio. He used that knowledge to devise a system of lights that would turn on and off in sequence, creating a sense of movement. It was built from scrapyard parts — solar panels, a car battery and a motorcycle indicator box. He installed the lights and — presto! — the lion attacks stopped. News of his invention spread and other villages wanted in. Instead of seeking to kill the lions as they had done before, they installed Richard’s “lion lights.” Both villagers and pro-lion environmentalists were happy.

It was an impressive achievement but, at first glance, Richard certainly seemed an unlikely TED speaker. He stood hunched over in a corner of the room, painfully shy. His English was halting, and he struggled to describe his invention coherently. It was hard to imagine him on a stage in California in front of 1,400 people, slotted alongside Sergey Brin and Bill Gates.

But Richard’s story was so compelling that we went ahead anyway and invited him to come speak at TED (TED Talk: My invention that made peace with lions ). In the months before the conference, we worked with him to frame his story — to find the right place to begin, and to develop a natural narrative sequence. Because of his invention, Richard had won a scholarship to one of Kenya’s best schools, where he had the chance to practice his TED Talk several times in front of a live audience. This helped build his confidence to the point where his personality could shine through.

He got on an airplane for the first time in his life and flew to Long Beach, California. As he walked onto the TED stage, you could tell he was nervous, but that only made him more engaging. As Richard spoke, people were hanging on his every word, and every time he smiled, the audience melted. When he finished, people just stood and cheered.

Richard’s tale can encourage us all to believe we might be able to give a decent talk. Your goal is not to be Winston Churchill or Nelson Mandela. It’s to be you. If you’re a scientist, be a scientist; don’t try to be an activist. If you’re an artist, be an artist; don’t try to be an academic. If you’re just an ordinary person, don’t try to fake some big intellectual style; just be you. You don’t have to raise a crowd to its feet with a thunderous oration. Conversational sharing can work just as well. In fact, for most audiences, it’s a lot better. If you know how to talk to a group of friends over dinner, then you know enough to speak publicly.

And technology is opening up new options. We live in an age where you don’t have to be able to speak to thousands of people at a time to have an outsized impact. It could just be you talking intimately to a video camera, and letting the Internet do the rest.

Presentation literacy isn’t an optional extra for the few. It’s a core skill for the twenty-first century. It’s the most impactful way to share who you are and what you care about. If you can learn to do it, your self-confidence will flourish, and you may be amazed at the beneficial impact it can have on your success in life, however you might choose to define that.

If you commit to being the authentic you, I am certain that you will be capable of tapping into the ancient art that is wired inside us. You simply have to pluck up the courage to try.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

The basic structure of an essay always consists of an introduction , a body , and a conclusion . But for many students, the most difficult part of structuring an essay is deciding how to organize information within the body.

There are two main things to keep in mind when working on your essay structure: making sure to include the right information in each part, and deciding how you’ll organize the information within the body.

Parts of an essay

The three parts that make up all essays are described in the table below.

Order of information

You’ll also have to consider how to present information within the body. There are a few general principles that can guide you here.

The first is that your argument should move from the simplest claim to the most complex . The body of a good argumentative essay often begins with simple and widely accepted claims, and then moves towards more complex and contentious ones.

For example, you might begin by describing a generally accepted philosophical concept, and then apply it to a new topic. The grounding in the general concept will allow the reader to understand your unique application of it.

The second principle is that background information should appear towards the beginning of your essay . General background is presented in the introduction. If you have additional background to present, this information will usually come at the start of the body.

The third principle is that everything in your essay should be relevant to the thesis . Ask yourself whether each piece of information advances your argument or provides necessary background. And make sure that the text clearly expresses each piece of information’s relevance.

The sections below present several organizational templates for essays: the chronological approach, the compare-and-contrast approach, and the problems-methods-solutions approach.

The chronological approach (sometimes called the cause-and-effect approach) is probably the simplest way to structure an essay. It just means discussing events in the order in which they occurred, discussing how they are related (i.e. the cause and effect involved) as you go.

A chronological approach can be useful when your essay is about a series of events. Don’t rule out other approaches, though—even when the chronological approach is the obvious one, you might be able to bring out more with a different structure.

Essays with two or more main subjects are often structured around comparing and contrasting . For example, a literary analysis essay might compare two different texts, and an argumentative essay might compare the strengths of different arguments.

There are two main ways of structuring a compare-and-contrast essay: the alternating method, and the block method.

Alternating

In the alternating method, each paragraph compares your subjects in terms of a specific point of comparison. These points of comparison are therefore what defines each paragraph.

  • Distance learning: Greater ability to reach out to teacher privately
  • Sum up, emphasize that distance learning introduces more difficulties than it solves
  • Stress the importance of addressing issues with distance learning as it becomes increasingly common
  • Distance learning may prove to be the future, but it still has a long way to go

In the block method, each subject is covered all in one go, potentially across multiple paragraphs. For example, you might write two paragraphs about your first subject and then two about your second subject, making comparisons back to the first.

  • Advantages: Flexibility, accessibility
  • Disadvantages: Discomfort, challenges for those with poor internet or tech literacy
  • Advantages: Potential for teacher to discuss issues with a student in a separate private call
  • Disadvantages: Difficulty of identifying struggling students and aiding them unobtrusively, lack of personal interaction among students
  • Advantages: More accessible to those with low tech literacy, equality of all sharing one learning environment
  • Disadvantages: Students must live close enough to attend, commutes may vary, classrooms not always accessible for disabled students
  • Advantages: Ease of picking up on signs a student is struggling, more personal interaction among students
  • Disadvantages: May be harder for students to approach teacher privately in person to raise issues

An essay that concerns a specific problem (practical or theoretical) may be structured according to the problems-methods-solutions approach.

This is just what it sounds like: You define the problem, characterize a method or theory that may solve it, and finally analyze the problem, using this method or theory to arrive at a solution. If the problem is theoretical, the solution might be the analysis you present in the essay itself; otherwise, you might just present a proposed solution.

  • This is a long-term solution but could be highly effective
  • It would require significant organization and investment, but would equip people to judge news sources more effectively
  • Rather than trying to contain the spread of fake news, we must teach the next generation not to fall for it

Signposting means guiding the reader through your essay with language that describes or hints at the structure of what follows.  It can help you clarify your structure for yourself as well as helping your reader follow your ideas.

The essay overview

In longer essays whose body is split into multiple named sections, the introduction often ends with an overview of the rest of the essay. This gives a brief description of the main idea or argument of each section.

The overview allows the reader to immediately understand what will be covered in the essay and in what order. Though it describes what  comes later in the text, it is generally written in the present tense . The following example is from a literary analysis essay on Mary Shelley’s Frankenstein .

Transitions

Transition words and phrases are used throughout all good essays to link together different ideas. They help guide the reader through your text, and an essay that uses them effectively will be much easier to follow.

Various different relationships can be expressed by transition words, as shown in this example.

Because Hitler failed to respond to the British ultimatum, France and the UK declared war on Germany. Although it was an outcome the Allies had hoped to avoid, they were prepared to back up their ultimatum in order to combat the existential threat posed by the Third Reich.

Transition sentences may be included to transition between different paragraphs or sections of an essay. A good transition sentence moves the reader on to the next topic while indicating how it relates to the previous one.

… Distance learning, then, seems to improve accessibility in some ways while representing a step backwards in others.

However , considering the issue of personal interaction among students presents a different picture.

The structure of an essay is divided into an introduction that presents your topic and thesis statement , a body containing your in-depth analysis and arguments, and a conclusion wrapping up your ideas.

The structure of the body is flexible, but you should always spend some time thinking about how you can organize your essay to best serve your ideas.

An essay isn’t just a loose collection of facts and ideas. Instead, it should be centered on an overarching argument (summarized in your thesis statement ) that every part of the essay relates to.

The way you structure your essay is crucial to presenting your argument coherently. A well-structured essay helps your reader follow the logic of your ideas and understand your overall point.

Comparisons in essays are generally structured in one of two ways:

  • The alternating method, where you compare your subjects side by side according to one specific aspect at a time.
  • The block method, where you cover each subject separately in its entirety.

It’s also possible to combine both methods, for example by writing a full paragraph on each of your topics and then a final paragraph contrasting the two according to a specific metric.

You should try to follow your outline as you write your essay . However, if your ideas change or it becomes clear that your structure could be better, it’s okay to depart from your essay outline . Just make sure you know why you’re doing so.

In the social and behavioral sciences, an oral presentation assignment involves an individual student or group of students verbally addressing an audience on a specific research-based topic, often utilizing slides to help audience members understand and retain what they both see and hear. The purpose is to inform, report, and explain the significance of research findings, and your critical analysis of those findings, within a specific period of time, often in the form of a reasoned and persuasive argument. Oral presentations are assigned to assess a student’s ability to organize and communicate relevant information  effectively to a particular audience. Giving an oral presentation is considered an important learning skill because the ability to speak persuasively in front of an audience is transferable to most professional workplace settings.

Preparing for Your Oral Presentation

In some classes, writing the research paper is only part of what is required in reporting the results your work. Your professor may also require you to give an oral presentation about your study. Here are some things to think about before you are scheduled to give a presentation.

1.  What should I say?

If your professor hasn't explicitly stated what the content of your presentation should focus on, think about what you want to achieve and what you consider to be the most important things that members of the audience should know about your research. Think about the following: Do I want to inform my audience, inspire them to think about my research, or convince them of a particular point of view? These questions will help frame how to approach your presentation topic.

2.  Oral communication is different from written communication

Your audience has just one chance to hear your talk; they can't "re-read" your words if they get confused. Focus on being clear, particularly if the audience can't ask questions during the talk. There are two well-known ways to communicate your points effectively, often applied in combination. The first is the K.I.S.S. method [Keep It Simple Stupid]. Focus your presentation on getting two to three key points across. The second approach is to repeat key insights: tell them what you're going to tell them [forecast], tell them [explain], and then tell them what you just told them [summarize].

3.  Think about your audience

Yes, you want to demonstrate to your professor that you have conducted a good study. But professors often ask students to give an oral presentation to practice the art of communicating and to learn to speak clearly and audibly about yourself and your research. Questions to think about include: What background knowledge do they have about my topic? Does the audience have any particular interests? How am I going to involve them in my presentation?

4.  Create effective notes

If you don't have notes to refer to as you speak, you run the risk of forgetting something important. Also, having no notes increases the chance you'll lose your train of thought and begin relying on reading from the presentation slides. Think about the best ways to create notes that can be easily referred to as you speak. This is important! Nothing is more distracting to an audience than the speaker fumbling around with notes as they try to speak. It gives the impression of being disorganized and unprepared.

NOTE:   A good strategy is to have a page of notes for each slide so that the act of referring to a new page helps remind you to move to the next slide. This also creates a natural pause that allows your audience to contemplate what you just presented.

Strategies for creating effective notes for yourself include the following:

  • Choose a large, readable font [at least 18 point in Ariel ]; avoid using fancy text fonts or cursive text.
  • Use bold text, underlining, or different-colored text to highlight elements of your speech that you want to emphasize. Don't over do it, though. Only highlight the most important elements of your presentation.
  • Leave adequate space on your notes to jot down additional thoughts or observations before and during your presentation. This is also helpful when writing down your thoughts in response to a question or to remember a multi-part question [remember to have a pen with you when you give your presentation].
  • Place a cue in the text of your notes to indicate when to move to the next slide, to click on a link, or to take some other action, such as, linking to a video. If appropriate, include a cue in your notes if there is a point during your presentation when you want the audience to refer to a handout.
  • Spell out challenging words phonetically and practice saying them ahead of time. This is particularly important for accurately pronouncing people’s names, technical or scientific terminology, words in a foreign language, or any unfamiliar words.

Organizing the Content

In the process of organizing the content of your presentation, begin by thinking about what you want to achieve and how are you going to involve your audience in the presentation.

  • Brainstorm your topic and write a rough outline. Don’t get carried away—remember you have a limited amount of time for your presentation.
  • Organize your material and draft what you want to say [see below].
  • Summarize your draft into key points to write on your presentation slides and/or note cards and/or handout.
  • Prepare your visual aids.
  • Rehearse your presentation and practice getting the presentation completed within the time limit given by your professor. Ask a friend to listen and time you.

GENERAL OUTLINE

I.  Introduction [may be written last]

  • Capture your listeners’ attention . Begin with a question, an amusing story, a provocative statement, a personal story, or anything that will engage your audience and make them think. For example, "As a first-gen student, my hardest adjustment to college was the amount of papers I had to write...."
  • State your purpose . For example, "I’m going to talk about..."; "This morning I want to explain…."
  • Present an outline of your talk . For example, “I will concentrate on the following points: First of all…Then…This will lead to…And finally…"

II.  The Body

  • Present your main points one by one in a logical order .
  • Pause at the end of each point . Give people time to take notes, or time to think about what you are saying.
  • Make it clear when you move to another point . For example, “The next point is that...”; “Of course, we must not forget that...”; “However, it's important to realize that....”
  • Use clear examples to illustrate your points and/or key findings .
  • If appropriate, consider using visual aids to make your presentation more interesting [e.g., a map, chart, picture, link to a video, etc.].

III.  The Conclusion

  • Leave your audience with a clear summary of everything that you have covered.
  • Summarize the main points again . For example, use phrases like: "So, in conclusion..."; "To recap the main issues...," "In summary, it is important to realize...."
  • Restate the purpose of your talk, and say that you have achieved your aim : "My intention was ..., and it should now be clear that...."
  • Don't let the talk just fizzle out . Make it obvious that you have reached the end of the presentation.
  • Thank the audience, and invite questions : "Thank you. Are there any questions?"

NOTE: When asking your audience if anyone has any questions, give people time to contemplate what you have said and to formulate a question. It may seem like an awkward pause to wait ten seconds or so for someone to raise their hand, but it's frustrating to have a question come to mind but be cutoff because the presenter rushed to end the talk.

ANOTHER NOTE: If your last slide includes any contact information or other important information, leave it up long enough to ensure audience members have time to write the information down. Nothing is more frustrating to an audience member than wanting to jot something down, but the presenter closes the slides immediately after finishing.

Delivering Your Presentation

When delivering your presentation, keep in mind the following points to help you remain focused and ensure that everything goes as planned.

Pay Attention to Language!

  • Keep it simple . The aim is to communicate, not to show off your vocabulary. Using complex words or phrases increases the chance of stumbling over a word and losing your train of thought.
  • Emphasize the key points . Make sure people realize which are the key points of your study. Repeat them using different phrasing to help the audience remember them.
  • Check the pronunciation of difficult, unusual, or foreign words beforehand . Keep it simple, but if you have to use unfamiliar words, write them out phonetically in your notes and practice saying them. This is particularly important when pronouncing proper names. Give the definition of words that are unusual or are being used in a particular context [e.g., "By using the term affective response, I am referring to..."].

Use Your Voice to Communicate Clearly

  • Speak loud enough for everyone in the room to hear you . Projecting your voice may feel uncomfortably loud at first, but if people can't hear you, they won't try to listen. However, moderate your voice if you are talking in front of a microphone.
  • Speak slowly and clearly . Don’t rush! Speaking fast makes it harder for people to understand you and signals being nervous.
  • Avoid the use of "fillers." Linguists refer to utterances such as um, ah, you know, and like as fillers. They occur most often during transitions from one idea to another and, if expressed too much, are distracting to an audience. The better you know your presentation, the better you can control these verbal tics.
  • Vary your voice quality . If you always use the same volume and pitch [for example, all loud, or all soft, or in a monotone] during your presentation, your audience will stop listening. Use a higher pitch and volume in your voice when you begin a new point or when emphasizing the transition to a new point.
  • Speakers with accents need to slow down [so do most others]. Non-native speakers often speak English faster than we slow-mouthed native speakers, usually because most non-English languages flow more quickly than English. Slowing down helps the audience to comprehend what you are saying.
  • Slow down for key points . These are also moments in your presentation to consider using body language, such as hand gestures or leaving the podium to point to a slide, to help emphasize key points.
  • Use pauses . Don't be afraid of short periods of silence. They give you a chance to gather your thoughts, and your audience an opportunity to think about what you've just said.

Also Use Your Body Language to Communicate!

  • Stand straight and comfortably . Do not slouch or shuffle about. If you appear bored or uninterested in what your talking about, the audience will emulate this as well. Wear something comfortable. This is not the time to wear an itchy wool sweater or new high heel shoes for the first time.
  • Hold your head up . Look around and make eye contact with people in the audience [or at least pretend to]. Do not just look at your professor or your notes the whole time! Looking up at your your audience brings them into the conversation. If you don't include the audience, they won't listen to you.
  • When you are talking to your friends, you naturally use your hands, your facial expression, and your body to add to your communication . Do it in your presentation as well. It will make things far more interesting for the audience.
  • Don't turn your back on the audience and don't fidget! Neither moving around nor standing still is wrong. Practice either to make yourself comfortable. Even when pointing to a slide, don't turn your back; stand at the side and turn your head towards the audience as you speak.
  • Keep your hands out of your pocket . This is a natural habit when speaking. One hand in your pocket gives the impression of being relaxed, but both hands in pockets looks too casual and should be avoided.

Interact with the Audience

  • Be aware of how your audience is reacting to your presentation . Are they interested or bored? If they look confused, stop and ask them [e.g., "Is anything I've covered so far unclear?"]. Stop and explain a point again if needed.
  • Check after highlighting key points to ask if the audience is still with you . "Does that make sense?"; "Is that clear?" Don't do this often during the presentation but, if the audience looks disengaged, interrupting your talk to ask a quick question can re-focus their attention even if no one answers.
  • Do not apologize for anything . If you believe something will be hard to read or understand, don't use it. If you apologize for feeling awkward and nervous, you'll only succeed in drawing attention to the fact you are feeling awkward and nervous and your audience will begin looking for this, rather than focusing on what you are saying.
  • Be open to questions . If someone asks a question in the middle of your talk, answer it. If it disrupts your train of thought momentarily, that's ok because your audience will understand. Questions show that the audience is listening with interest and, therefore, should not be regarded as an attack on you, but as a collaborative search for deeper understanding. However, don't engage in an extended conversation with an audience member or the rest of the audience will begin to feel left out. If an audience member persists, kindly tell them that the issue can be addressed after you've completed the rest of your presentation and note to them that their issue may be addressed later in your presentation [it may not be, but at least saying so allows you to move on].
  • Be ready to get the discussion going after your presentation . Professors often want a brief discussion to take place after a presentation. Just in case nobody has anything to say or no one asks any questions, be prepared to ask your audience some provocative questions or bring up key issues for discussion.

Your First Words are Your Most Important Words!

Your introduction should begin with something that grabs the attention of your audience, such as, an interesting statistic, a brief narrative or story, or a bold assertion, and then clearly tell the audience in a well-crafted sentence what you plan to accomplish in your presentation. Your introductory statement should be constructed so as to invite the audience to pay close attention to your message and to give the audience a clear sense of the direction in which you are about to take them.

Talk to Your Audience, Don't Read to Them!

A presentation is not the same as reading a prepared speech or essay. If you read your presentation as if it were an essay, your audience will probably understand very little about what you say and will lose their concentration quickly. Use notes, cue cards, or presentation slides as prompts that highlight key points, and speak to your audience . Include everyone by looking at them and maintaining regular eye-contact [but don't stare or glare at people]. Limit reading text to quotes or to specific points you want to emphasize.

A research paper presentation is often used at conferences and in other settings where you have an opportunity to share your research, and get feedback from your colleagues. Although it may seem as simple as summarizing your research and sharing your knowledge, successful research paper PowerPoint presentation examples show us that there’s a little bit more than that involved.

In this article, we’ll highlight how to make a PowerPoint presentation from a research paper, and what to include (as well as what NOT to include). We’ll also touch on how to present a research paper at a conference.

Purpose of a Research Paper Presentation

The purpose of presenting your paper at a conference or forum is different from the purpose of conducting your research and writing up your paper. In this setting, you want to highlight your work instead of including every detail of your research. Likewise, a presentation is an excellent opportunity to get direct feedback from your colleagues in the field. But, perhaps the main reason for presenting your research is to spark interest in your work, and entice the audience to read your research paper.

So, yes, your presentation should summarize your work, but it needs to do so in a way that encourages your audience to seek out your work, and share their interest in your work with others. It’s not enough just to present your research dryly, to get information out there. More important is to encourage engagement with you, your research, and your work.

Tips for Creating Your Research Paper Presentation

In addition to basic PowerPoint presentation recommendations, which we’ll cover later in this article, think about the following when you’re putting together your research paper presentation:

  • Know your audience : First and foremost, who are you presenting to? Students? Experts in your field? Potential funders? Non-experts? The truth is that your audience will probably have a bit of a mix of all of the above. So, make sure you keep that in mind as you prepare your presentation.

  • Your audience is human : In other words, they may be tired, they might be wondering why they’re there, and they will, at some point, be tuning out. So, take steps to help them stay interested in your presentation. You can do that by utilizing effective visuals, summarize your conclusions early, and keep your research easy to understand.
  • Running outline : It’s not IF your audience will drift off, or get lost…it’s WHEN. Keep a running outline, either within the presentation or via a handout. Use visual and verbal clues to highlight where you are in the presentation.
  • Where does your research fit in? You should know of work related to your research, but you don’t have to cite every example. In addition, keep references in your presentation to the end, or in the handout. Your audience is there to hear about your work.
  • Plan B : Anticipate possible questions for your presentation, and prepare slides that answer those specific questions in more detail, but have them at the END of your presentation. You can then jump to them, IF needed.

What Makes a PowerPoint Presentation Effective?

You’ve probably attended a presentation where the presenter reads off of their PowerPoint outline, word for word. Or where the presentation is busy, disorganized, or includes too much information. Here are some simple tips for creating an effective PowerPoint Presentation.

  • Less is more: You want to give enough information to make your audience want to read your paper. So include details, but not too many, and avoid too many formulas and technical jargon.
  • Clean and professional : Avoid excessive colors, distracting backgrounds, font changes, animations, and too many words. Instead of whole paragraphs, bullet points with just a few words to summarize and highlight are best.
  • Know your real-estate : Each slide has a limited amount of space. Use it wisely. Typically one, no more than two points per slide. Balance each slide visually. Utilize illustrations when needed; not extraneously.
  • Keep things visual : Remember, a PowerPoint presentation is a powerful tool to present things visually. Use visual graphs over tables and scientific illustrations over long text. Keep your visuals clean and professional, just like any text you include in your presentation.

Another key to an effective presentation is to practice, practice, and then practice some more. When you’re done with your PowerPoint, go through it with friends and colleagues to see if you need to add (or delete excessive) information. Double and triple check for typos and errors. Know the presentation inside and out, so when you’re in front of your audience, you’ll feel confident and comfortable.

How to Present a Research Paper

If your PowerPoint presentation is solid, and you’ve practiced your presentation, that’s half the battle. Follow the basic advice to keep your audience engaged and interested by making eye contact, encouraging questions, and presenting your information with enthusiasm.

To be human is to tell stories. Stories are how we make sense of the world and share our ideas, passions, and unique perspectives. This TED-Ed video shares how presentation literacy, a skill to improve public speaking, can transform storytelling into your superpower.

An impactful story stays with your audience long after you’ve told it. For thousands of years humans have shared stories that ignite a “spark” in their audience and evoke a sense of empathy, trust, and connection. Listeners pass powerful messages along, spreading interesting ideas and stories far and wide.

The importance of presentation literacy

While storytelling remains as critical as ever, the qualities of an impactful story have had to evolve to continue to captivate in our modern world. As the speed at which information and headlines are shared has accelerated, the average attention span has been reduced to just eight seconds . Eight seconds! In our current media environment it now requires more than words to captivate people. This is where presentation literacy comes into play.

Touted as “ a core skill of the 21st century ”, presentation literacy can be a critical skill to leverage in your career. It requires us to create a compelling story that engages the audience’s other senses too, using high-resolution pictures, videos, or music. Often, it’s a combination of all of the above in addition to words, spelled out and spoken, that make a story truly shine.

In mastering presentation literacy, a storyteller ushers in a clear vision, replete with supplementary audiovisual cues to convey a message or, perhaps, convince others of it. While honing presentation literacy is immensely rewarding, the idea of putting it to practice on the stage can be terrifying to many people .

What presentation literacy can teach you

Many powerful speakers have struggled with stage anxiety. Even some acclaimed TED speakers, as shared by TED curator Chris Anderson , aren’t exempt from this: Monica Lewinsky thought she wasn’t worthy of a spot on the TED stage; Jacqueline Novogratz resisted public speaking in her younger years; and even Elon Musk wasn’t reputed as a “public speaker.” And yet, their TED Talks have been collectively viewed over 60 million times.

These speakers were able to cast aside their insecurities to tell a story that they wanted others to hear. And as a result, they have amassed millions of views and received critical acclaim among their colleagues and many of those who’ve listened to their Talks.

Mastering public speaking and presentation literacy isn’t just limited to speaking onstage. The skill is also valuable in your everyday life. It can teach you how to communicate with others effectively, articulate your ideas clearly, and speak with confidence, whether to colleagues, new acquaintances, family, or friends.

Technology has opened up avenues that allow us to tell our stories in myriad ways. Well, beyond a jumble of words usually around 2,000 words or so - what is an essay, exactly? Whether you’re taking English, sociology, history, biology, art, or a speech class, it’s likely you’ll have to write an essay or two. So how is an essay different than a research paper or a review? Let’s find out!

What is an essay

Defining the Term – What is an Essay?

The essay is a written piece that is designed to present an idea, propose an argument, express the emotion or initiate debate. It is a tool that is used to present writer’s ideas in a non-fictional way. Multiple applications of this type of writing go way beyond, providing political manifestos and art criticism as well as personal observations and reflections of the author.

An essay can be as short as 500 words, it can also be 5000 words or more.  However, most essays fall somewhere around 1000 to 3000 words ; this word range provides the writer enough space to thoroughly develop an argument and work to convince the reader of the author’s perspective regarding a particular issue.  The topics of essays are boundless: they can range from the best form of government to the benefits of eating peppermint leaves daily. Origins of the Essay

Over the course of more than six centuries essays were used to question assumptions, argue trivial opinions and to initiate global discussions. Let’s have a closer look into historical progress and various applications of this literary phenomenon to find out exactly what it is.

Today’s modern word “essay” can trace its roots back to the French “essayer” which translates closely to mean “to attempt” .  This is an apt name for this writing form because the essay’s ultimate purpose is to attempt to convince the audience of something.  An essay’s topic can range broadly and include everything from the best of Shakespeare’s plays to the joys of April.

The essay comes in many shapes and sizes; it can focus on a personal experience or a purely academic exploration of a topic.  Essays are classified as a subjective writing form because while they include expository elements, they can rely on personal narratives to support the writer’s viewpoint.  The essay genre includes a diverse array of academic writings ranging from literary criticism to meditations on the natural world.  Most typically, the essay exists as a shorter writing form; essays are rarely the length of a novel.  However, several historic examples, such as John Locke’s seminal work “An Essay Concerning Human Understanding” just shows that a well-organized essay can be as long as a novel.

The Essay in Literature

The essay enjoys a long and renowned history in literature.  They first began gaining in popularity in the early 16 th century, and their popularity has continued today both with original writers and ghost writers.  Many readers prefer this short form in which the writer seems to speak directly to the reader, presenting a particular claim and working to defend it through a variety of means.  Not sure if you’ve ever read a great essay? The Essay in Academics

Not only are students required to read a variety of essays during their academic education, but they will likely be required to write several different kinds of essays throughout their scholastic career.  Don’t love to write?  Then consider working with a ghost essay writer !  While all essays require an introduction, body paragraphs in support of the argumentative thesis statement, and a conclusion, academic essays can take several different formats in the way they approach a topic.  Common essays required in high school, college, and post-graduate classes include:

Five paragraph essay

This is the most common type of a formal essay. The type of paper that students are usually exposed to when they first hear about the concept of the essay itself. It follows easy outline structure – an opening introduction paragraph; three body paragraphs to expand the thesis; and conclusion to sum it up.

Argumentative essay

These essays are commonly assigned to explore a controversial issue.  The goal is to identify the major positions on either side and work to support the side the writer agrees with while refuting the opposing side’s potential arguments.

Compare and Contrast essay

This essay compares two items, such as two poems, and works to identify similarities and differences, discussing the strength and weaknesses of each.  This essay can focus on more than just two items, however.  The point of this essay is to reveal new connections the reader may not have considered previously.

Definition essay

This essay has a sole purpose – defining a term or a concept in as much detail as possible. Sounds pretty simple, right? Well, not quite. The most important part of the process is picking up the word. Before zooming it up under the microscope, make sure to choose something roomy so you can define it under multiple angles. The definition essay outline will reflect those angles and scopes.

Descriptive essay

Perhaps the most fun to write, this essay focuses on describing its subject using all five of the senses.  The writer aims to fully describe the topic; for example, a descriptive essay could aim to describe the ocean to someone who’s never seen it or the job of a teacher.  Descriptive essays rely heavily on detail and the paragraphs can be organized by sense.

Illustration essay

The purpose of this essay is to describe an idea, occasion or a concept with the help of clear and vocal examples. “Illustration” itself is handled in the body paragraphs section. Each of the statements, presented in the essay needs to be supported with several examples. Illustration essay helps the author to connect with his audience by breaking the barriers with real-life examples – clear and indisputable.

Informative Essay

Being one the basic essay types, the informative essay is as easy as it sounds from a technical standpoint. High school is where students usually encounter with informative essay first time. The purpose of this paper is to describe an idea, concept or any other abstract subject with the help of proper research and a generous amount of storytelling.

Narrative essay

This type of essay focuses on describing a certain event or experience, most often chronologically.  It could be a historic event or an ordinary day or month in a regular person’s life. Narrative essay proclaims a free approach to writing it, therefore it does not always require conventional attributes, like the outline. The narrative itself typically unfolds through a personal lens, and is thus considered to be a subjective form of writing.

Persuasive essay

The purpose of the persuasive essay is to provide the audience with a 360-view on the concept idea or certain topic – to persuade the reader to adopt a certain viewpoint. The viewpoints can range widely from why visiting the dentist is important to why dogs make the best pets to why blue is the best color.  Strong, persuasive language is a defining characteristic of this essay type.

The Essay in Art

Several other artistic mediums have adopted the essay as a means of communicating with their audience.  In the visual arts, such as painting or sculpting, the rough sketches of the final product are sometimes deemed essays.  Likewise, directors may opt to create a film essay which is similar to a documentary in that it offers a personal reflection on a relevant issue.  Finally, photographers often create photographic essays in which they use a series of photographs to tell a story, similar to a narrative or a descriptive essay.

Drawing the line – question answered

“What is an Essay?” is quite a polarizing question. On one hand, it can easily be answered in a couple of words. On the other, it is surely the most profound and self-established type of content there ever was. Going back through the history of the last five-six centuries helps us understand where did it come from and how it is being applied ever since.

If you must write an essay, follow these five important steps to works towards earning the “A” you want:

  • Understand and review the kind of essay you must write
  • Brainstorm your argument
  • Find research from reliable sources to support your perspective
  • Cite all sources parenthetically within the paper and on the Works Cited page
  • Follow all grammatical rules

Generally speaking, when you must write any type of essay, start sooner rather than later!  Don’t procrastinate – give yourself time to develop your perspective and work on crafting a unique and original approach to the topic.  Remember: it’s always a good idea to have another set of eyes (or three) look over your essay before handing in the final draft to your teacher or professor.  Don’t trust your fellow classmates?  Consider hiring an editor or a ghostwriter to help out!
