Videos emerged as the clear winner in all our surveys. We ran these surveys on all our social handles and contacted successful speakers. 27.14% of all respondents prefer visual aids because they are easy to understand, can be paused during a presentation, and can trigger all sorts of emotions. That being said, it is also very tough to create good videos. However, more and more tools are available to help you create amazing videos without professional help.

Hans Rosling’s TED talk, titled ‘the best stats you have ever seen,’ is one of the best speeches.  He uses video for the speech ’s entirety while not diverting the audience’s attention away from him. He does all this while also bringing out some optimism for the world’s future. We highly recommend this TED talk to learn how to use videos effectively as a visual aid and inject some positivity into your lives during these trying times.

2. Demonstrations

Demonstrations, also known as demos, are undoubtedly among the most effective visual aids for communication. You can use demonstrations in two ways. One as a hook to captivate your audience. Prof. Walter Lewin was famous for using demonstrations as a hook during lectures. In his most famous lecture, he puts his life in danger by releasing a heavy pendulum to show that a pendulum’s period remains constant despite the mass. 

Demonstrations can also be used to show how some things are done or work. We use demonstrations to showcase how Orai works and how you can use them to improve your speaking skills.

18.57% voted for demonstrations because they are unique, interactive, up close, and have a personal touch.

3. Roleplays

Jokes aside, why do you think comedy shows are memorable? You guessed it right. Roleplays! Role – play is any speaking activity when you put yourself into somebody else’s shoes or stay in your shoes but put yourself into an imaginary situation! 

Nothing is more boring than a comedian delivering lines straight from a joke book.  Legendary comedians like George Carlin, Kevin Hart, Chris Rock, and Bill Burr use roleplays effectively and make a mundane joke genuinely memorable. 

Jokes aside, you can use roleplays in business presentations and speeches. Use real-life stories or examples in your role plays to make them authentic. 

15.71% of the survey respondents voted for roleplays because they are very close to real life and do not take the audience’s attention away from the speaker.

With 12.86% of the votes, Props is number 4. A prop is any concrete object used to deliver a speech or presentation. Props add another dimension to our speech and help the listeners visualize abstract concepts like vision, milestones, targets, and expectations. It ties verbal to visual. Introducing a prop into your speech or presentation should not seem forced. Use them sparingly to highlight your address’s most critical points or stories.

People voted for props because they feel 3D visualization is more useful than 2D visualization. Props will make your presentations stand out because few people use them today.

When we sent out the survey to the Orai community and some highly successful speakers, we were sure that slides/presentations would come out on top. However, we were surprised by the results. With 12.86% votes, slides are number five on our list.

Presentations are effortless to create and, therefore, the most commonly used visual aid in business communications. Today, dozens of software programs are available to help you make beautiful presentations. Microsoft PowerPoint is the pioneer in the space and holds a significant market share.

Whatever is your preferred software, you need to keep your audience at the center while making presentations.

People described the ease of creation and the ability to incorporate other visual aids when asked why they chose presentations as their top visual aid.

The inclusion of Audio in this list can appear controversial. But it got a significant vote share in our survey and cannot be ignored. Audio can add a new dimension to your presentations where the audience is hearing your voice and other sound cues that can trigger various emotional responses. Especially when coupled with other visual aids, audio can be a powerful tool for making impactful presentations.

7. Handouts

What is a handout.

A handout is a structured view of your presentation or speech that you can distribute to the audience.

Like how this blog gives more information than our YouTube video on the different visual aids, handouts can be used to furnish more information than your discourse itself. They give your audience something to take away after your presentation, making you and your presentation more memorable. 

Are you going to be speaking about something overly technical? Then handouts are your friends. Handouts are also an opportunity to facilitate follow-ups if you specify your contact details. 

Handouts are tied with whiteboards and got 2.86% of the votes in our survey.

8. Physical & Online Whiteboards

What is a whiteboard.

Traditionally, whiteboards are white, shiny, and smooth boards on which texts and diagrams are made using non-permanent markers. It is widely used in professional presentations, brainstorming sessions, and group discussions. Post-COVID, more and more companies are moving to online whiteboards. Online whiteboards are software that provides a space where individuals across the globe can collaborate online. Many companies have moved beyond the whiteboard and started using online whiteboards for meetings and discussions.

What are the benefits of a whiteboard?

A whiteboard helps listeners better visualize thoughts, concepts, and ideas. It is also a better alternative to the blackboard for a smaller audience as it is tidier and easier to use. Since most presentations consist of less than ten people, flip charts can be a refreshing change to the standard slide deck. Moreover, flipchart does not require electricity. No electricity and no software means fewer of those last-minute hick-ups.

There are a few rules to remember before using a Dry-Erase Board as a presentation aid [3].  First, ensure legible writing is large enough for everyone to see. Use clear printing instead of cursive script. Use short phrases rather than complete sentences. Avoid turning away from the audience while speaking. Use markers that are functional and clean the board afterward.

The drawback of the Dry-Erase Board is that it has limited visibility in large settings.  When using a Dry-Erase board, a presenter may seem less prepared.  However, many speakers effectively use these boards for interactive elements in their speeches [3]. It is great for dynamic presentations, but space and audience size should be considered.

Brochures and Handouts

Brochures and handouts are tangible takeaways for the audience. They enhance information retention and serve as lasting references [11]. These presentation materials are effective in educational presentations or seminars, offering supplementary details for in-depth understanding.

There are a few things to consider when distributing handouts to the audience [7]. Provide a handout for each audience member, avoiding the need for sharing. Never distribute a single copy to pass around, as it detracts from a professional image. Handouts should be distributed before, during, or after the presentation. If audience participation is required, distribute handouts before starting or have a volunteer distribute them. Include only essential information, organized for clarity. If the handout is meant for audience follow-along, inform them of this and mention specific references during the speech [7].

However, potential disadvantages include the timing of distribution. Handing out materials at the wrong moment can distract the audience.

Audio Clips

Using an audio clip in a presentation introduces an auditory dimension.  It evokes emotions and enhances the overall experience.

When using an audio clip, select a clip of appropriate length for your speech duration. Prior to speaking, familiarize yourself with audio or video equipment to avoid disruptions and maintain credibility. Ensure computer speakers are on and set to the right level of volume level [7].

However, potential disadvantages of audio include technical issues with sound playback. It requires presenters to ensure seamless integration. Besides, overuse of audio clips can also be overwhelming, requiring careful selection and timing.

Integrating prerecorded videos offers a dynamic means of presenting information, catering to visual learners, and capturing audience attention. Prepare short videos from platforms like YouTube or Vimeo, song segments, or podcasts before your speech [7]. Cue the clip to the right spot and ensure the browser window is open. Before playing the clip, Provide the audience with context about its relevance to the speech. Explain its connection and significance. Ensure the video enhances the message without duplicating information already conveyed [3].

A video demonstration of a complex process can significantly enhance understanding in a training session. However, presenters should be mindful of timing and integration to avoid disruptions. Technical issues during playback can also pose challenges. It requires thorough testing beforehand.

Visual aids are an important part of presentations. They can help to keep your audience engaged, make your point for you—there is a reason why people say that a picture tells a thousand words—and remind you what you want to say.

However, you can also take them too far.

If good use of visual aids can make a presentation, poor use can ruin it. Who, after all, has not be subject to ‘death by PowerPoint’, in one of its many forms? This page explains more about how to use visual aids effectively in presentations and helps you to avoid being remembered for all the wrong reasons.

What Are Visual Aids?

Visual aids are exactly what they sound like: a visual support to you standing up and speaking.

They are commonly something like slides setting out your main points, or a video. They can also take the form of a handout, either of your slides, or a summary of your presentation, the use of a flip chart, or even something interesting that you have brought along to show your audience and make a point.

If visual aids are used well they will enhance a presentation by adding impact and strengthening audience involvement. They can also be a helpful to reminder to you of what you wanted to say.

You should only use visual aids if they are necessary to maintain interest and assist comprehension in your presentation.

Do not use visual aids just because you can, or to demonstrate your technological competence. Doing so may make it harder to get your messages across clearly and concisely.

For each visual aid or slide, ask yourself why you are using it. If there is no real purpose, don’t include it.

Thinking Ahead—Planning Your Visual Aids

Most visual aids will need advance preparation. You will need to know how to operate the equipment effectively.

Check beforehand what facilities are available so that you can plan your presentation accordingly.

Also check whether you need to send your presentation in advance to be loaded up, or whether you can bring it on a memory stick or similar.

Presentation software

It is now common to use presentation software such as PowerPoint.

Indeed, few presenters would dare to attend an event without a PowerPoint file. However, it is still possible to manage without. Some of the very best lecturers and speakers do not use PowerPoint. At most, they might draw on a flip chart or whiteboard. What they have to say, and the style in which they say it, is compelling enough to hold their audience.

For most of the rest of us, PowerPoint is likely to be the way forward, however.

Top tips for using PowerPoint

Keep it simple. Use no more than three to five bullet points per slide and keep your bullet points to a line of text, if possible. Your slides should be a guide to what you are going to say, not a verbatim account.

Don’t use visual effects unless they actually add to your presentation. PowerPoint has some very nice options for adding and subtracting text, but they can be very distracting. Stay away unless you really know what you’re doing.

Keep it short. A half-hour presentation can usually be summarised into six to ten slides at most.

Don’t use the notes function. PowerPoint has a ‘notes’ function that allows you to write notes under the slides for your benefit. Don’t. You will try to read them off the screen, and stop talking to your audience. Instead, use cue cards held in your hands and focus on your audience.

Other common visual aids include:

  • Whiteboards and interactive whiteboards
  • Flip charts

Whiteboards and Interactive Whiteboards

Whiteboards are good for developing an explanation, diagrams and simple headings.

They can also be used for recording interaction with, and comments from, the audience during brainstorming sessions .

Remember that writing on a whiteboard takes time and that you will have to turn your back to the audience to do so. If using a whiteboard, you should ensure that your handwriting is legible, aligned horizontally, and is sufficiently large to be seen by all the audience. Also ensure that you use non-permanent pens (sometimes referred to as dry-wipe pens) rather than permanent markers so that your writing can be erased later.

Bear in mind that the white background of a whiteboard can cause contrast problems for people with impaired vision.

Interactive whiteboards can be used for PowerPoint presentations, and also to show videos, as well as to write on and record interactions with the audience. They are, effectively, projector screen/whiteboard combinations, with attitude. If you plan to use an interactive whiteboard, you should make sure you know how it works, and practice using it, before your presentation. It is NOT a good idea to make first use of one in a major presentation.

Flip Charts

A flip chart is a low cost, low tech solution to recording interactive meetings and brainstorming sessions.

At many venues, however, they have been replaced by interactive whiteboards.

A flip chart can be prepared in advance and is portable, it requires no power source and no technical expertise.  Flip charts are ideal for collecting ideas and responses from the audience and are good for spontaneous summaries.  However, if the audience is large, a flip chart will be too small to be seen by everyone.

Top tips for the effective use of a flip chart:

Arrive early and position the flip chart so that you can get to it easily when you need it.

Position the flip chart so that you can stand next to it and write while still at least half-facing your audience. Do not turn your back on your audience.

Make sure you have several marker pens that work.

Only use blue or black marker pens. It will be difficult for those at the back of the room to see any other colours. You can use red pens to accentuate blue or black.

Make your letters at least 2-3 inches tall so that everybody can see what you have written.

Draw lines in pencil on blank pages before your presentation, to help you keep your writing legible and straight.

If you are using a flip chart as an alternative to PowerPoint:

  • Plan out your pages as you are writing the outline for your presentation;
  • Write notes to yourself, in pencil, on the flip chart to remind you of the points you want to make. Your audience will not see the pencil notes.

If you have something that you want to present and then accentuate during the presentation or discussion, write out the flip chart page beforehand so that you can just flip the page to it—or just use a PowerPoint slide.

If you need to refer to something that you wrote on a page at a later point in your presentation, rip off the page and fix it to the wall.

Videos are particularly good for training purposes. Short videos can also be embedded into a PowerPoint presentation to make a point, or provide an example. This is becoming increasingly popular with the advent of YouTube, because far more videos are available. Smartphones have also made recording your own videos much easier.

However, as with any visual aid, make sure that you are using video for a purpose, not just because you can.

Handouts summarising or including the main points of a presentation are an excellent addition, but must be relevant.

Presentation software packages such as PowerPoint can automatically generate handouts from your presentation slides. You can also prepare a one-page summary of your presentation, perhaps as a diagram, if that seems more appropriate. This may be particularly useful if you are asked to do a presentation as part of an interview .

If you do provide handouts, it is worth thinking carefully about when to distribute them.

Giving out handouts at the start of a talk will take time and the audience may start to read these rather than listen to what the speaker is saying. However, if your presentation contains complex graphs or charts, the audience will appreciate receiving the handout before the presentation starts since they may find it easier to view these on paper than on the projection screen. The audience may also appreciate being able to make their own notes on the printed handout during the presentation.

Consider the best time and method to distribute any handouts, including either placing them on seats prior to the start or giving them out at the end of your presentation. You may also consider emailing copies of handouts to participants after the event. If your talk includes questions or discussion this will give to time to summarise this and communicate it back to the attendees.

A final take-away

There is no question that visual aids, used well, will enhance your presentation. They add a more visual element to the auditory aspect of you speaking. They therefore help to engage your audience on more levels, and also keep them interested.

The key to avoiding ‘death by PowerPoint’ is to focus on the purpose of each slide or visual aid, and ask yourself:

How does this add to what I am saying?

‘Adding’ may of course include ‘providing a summary’, but if your slide adds nothing to your spoken words, then do not include it.

Types of Visual Aids

Generally, speakers want to utilize more active visuals than passive, but the ratio of active to passive visuals will depend upon the topic of discussion.

Poster Boards, Flip Charts, and Tri-Folds

Poster boards have their time, place, and purpose, but when attempting to establish credibility, speakers need to think critically about the impressions each visual aid imparts on the audience.

A poster board made at home with markers and cut-outs from a magazine simply will not do the job; a professionally printed poster has a more likely chance of creating a positive impression. However, creating such posters are fairly expensive in comparison with other visual options, so use a poster board or tri-fold as a last resort or when no other option will suffice. For example, a poster would likely work well at a convention or trade show, which would allow passers-by to stop and review information for themselves, up close, at their leisure. They could also work in a smaller meeting with limited access to electronic media. Everyone in the meeting could easily view the poster, but for larger audiences and rooms, however, posters simply will not work.

Static Displays

A static display offers a visual accompaniment to the presented information, and serves mostly as a passive visual aid. For example, while delivering a biographical speech on a well-known author, a speaker could set up a static display of some of her or his most popular books on a table near the center of the room. This adds value to the presentation because it adds listener interest and reinforces the speech’s subject matter.

Graphs/Charts

Graphs and charts present a highly effective method for showing an audience how statistics and figures affect them personally. As with maps, remember to keep them simple and clear, allowing the listeners to digest all the information at once.

A pie chart uses regions of a circle to show how the proportion of each component represents the whole. Use this type of graph to show how elements relate to one another, giving the audience an idea of size and relationship.

A line graph is a useful type of visual aid to show trends over time. An effective line graph must have a clearly labeled x- and y-axis, along with data labels showing how the numbers change over time.

A bar graph effectively demonstrates quantity relationships between items (as with pie charts) and and how things can change over time (as with a line graph). Bar graphs present a method for potentially detailing a large and complex amount of information using a single image.

Physical Objects

An object, whether large or small, can bring an element of presence to the visual presentation of information. It is one thing to present a picture of the topic of discussion on a two-dimensional screen, but it is another to allow the audience to physically see the object in question.

For example, in a speech on breast cancer and early detection, a student utilized a set of marbles of varying sizes to show the audience the scale of real-life tumor sizes when discussing breast cancer detection. The student walked the samples around the room as she talked, allowing listeners to see what she discussed, before returning to the front of the room, where she displayed the very same marbles using a picture on the screen. Had this student only used the visual on the screen, the audience may have had difficulty formulating a sense of proportion when discussing the size of the items in question. Since size represented the most important characteristic of the visual aid, this student thought critically about how best to present it.

Avoid passing around physical objects during the speech unless absolutely necessary. When most listeners receive an object, their attention span is broken momentarily, causing them to miss out on potentially important information in the speech. Instead, as in the example above, presenters could walk around with the object, still allowing everyone the opportunity to see it, but maintain focus on the speaker.

Helpful Hint

When using video or audio clips, try to keep the clip length to less than 10% of the total amount of time for the speech. For a 10-minute speech, keep the total time of clip(s) to one minute or less. For an hour, keep them to less than 10 minutes total.

Video/Audio

If one believes the old saying, “A picture is worth 1,000 words ,” then a brief video clip can be worth 100,000 words! For example, if delivering a speech about the importance of supporting a specific charity, look into the charity to determine if they have a brief promotional video or commercial to supplement the main talking points within the presentation.

When using a clip, preface it with some sort of introduction, pointing the audience in the right direction and priming them to watch for or listen for specific information. Also, avoid talking over the sound in a clip, as competing for the audience’s attention during such a viewing could prove difficult at best.

Handouts or Leave-Behinds

A handout is something, usually printed material, given to audience members to remind them of what they learned during the presentation. Sometimes, these are called “leave-behinds.” For example, in a speech on the science behind chocolate chip cookies, the speaker might want to hand out a copy of a favorite recipe. If speaking on donating blood, a handout might include a summary of the steps involved and where audience members can go to donate blood. Regardless of the leave-behind, be sure that, as with physical objects, that they do not get passed out during the speech, as they can create an unneeded distraction.

Visual Aid Examples for Both In-Person and Virtual Presentations

A Few Unique Visual Aid Examples

Contrarily, if you are starting your presentation design here, well, you may want to organize your thoughts first. Then, come back.

In this session, I’m going to give you a few visual aid examples. The examples include those for both in-person meetings where everyone is in the same room and virtual delivery. These mediums are actually fairly different. So, if you are using the same types of visual aids for both, this session may help you connect better with your given audience.

Visual Aid Examples for In-Person Meetings and training Sessions.

Let’s start with a few visual aid examples for in-person meetings.

PowerPoint and Digital Visual Aids.

Often today, presenters think of PowerPoint as their only visual. It is still a very important part of the presentation, so I will spend more time on this medium in the next couple of weeks.

PowerPoint has been around since the 1990s. Until recently, though, the software hadn’t changed a whole lot in that 20+ years. Prior to laptop computers, presenters used to have an ancient visual medium called the “slide projector.” It was similar to an old-timey film projector. However, this version was filled with a series of tiny photographs printed on tiny clear squares called slides.

Years later, the “overhead projector” was invented. This allowed the presenter to place paper-sized transparency onto the projector to present. Now presenters could interchange photos and/or bullet-pointed text. In addition, the presenter could write on the transparency.

So when PowerPoint came around, it was a digital version of both the slide projector and overhead projector. Presenters would digitally create “slides” with bullet points and images as examples of visual aids.

All of that changed when Prezi came on the scene. For a few years, the online software Prezi began to exert itself into the visual aid market. The concept was simple. Make the visual aid… well… visual. It uses images and a Zoom function. So instead of slides and bullet points, Prezi used a canvas and images to create visuals for the presentation. Then the software Zoomed in on the image while the presenter provided the “text.”

PowerPoint finally caught on. It now has a Zoom function which is pretty cool. Below are a few examples of what this Zoom function can do.

Boards and posters..

Examples of Posters and Boards as Visual Aids

For example, I had a client who was preparing a sales presentation. They were competing to win a contract with a school district. In the past, they had worked with hundreds of other districts. So, they decided to create hundreds of posters mounted on boards. In fact, they made one for each district that they had previously worked for. When they started the presentation, they set up all of the boards in a U-shape around the walls of the presentation area.

As each presenter spoke, he or she would pull one of the boards from the stack that corresponded to the story. Throughout the speech, they told about six success stories about these former clients. Since there were hundreds of other posters that weren’t used, the audience naturally assumed (correctly) that there were hundreds of other success stories as well. It was a fantastic way to dramatize their experience.

Samples, Models, and Demonstrations as Visual Aid Examples.

If you are presenting about a product, then a sample can be a great visual aid. Models can be a great alternative if you are explaining a concept that hasn’t yet been made. And finally, if you are explaining a service, a demonstration might be more illustrative.

  • A Sample : If you ever watch the TV show Shart Tank, you will see inventors use samples as visual aids quite often. If you are presenting something physical, then giving your audience something they can see, touch, and feel adds value.
  • A Model : Architects, marketers, and software engineers use this visual aid a lot. If you are proposing a solution and that solution is costly to produce, a model might be a good alternative. This will help the audience create a visual image of what you are suggesting without incurring a huge expense.
  • A Demonstration : As a trainer, I use this one a lot. For example, if I am teaching a class on how to design presentations, I will often demonstrate the process myself. Or, if I’m teaching how to answer hostile questions, I may have the group ask me tough questions to demonstrate.

Your Handouts Are Also a Valuable Visual Aid for Your Audience.

Canva is one of my favorite tools for creating images and handouts. You can import your corporate colors and logos. Then, you can skim through hundreds of design templates to make your handouts look really professional. Don’t worry about finding a design that matches your colors. You can alter the colors of even a fully-completed document in seconds.

If you like PowerPoint, you can also create some pretty nice handouts there as well. The advantage is that you can more easily match the style of your slideshow if you are using one.

The point is, though, that if you have a bunch of content and a short time to present, don’t try to cram all the data into your presentation. Go through your speech strategically and determine what is most critical for the audience. Then use a handout as a mechanism to deliver the additional content to the audience members. This way, if the listener wants to know more, then he or she has access. If they don’t, then they will like the presentation better.

A Good Story or Example Is Often the Best Type of Visual Aid.

Sometimes, a visual aid isn’t visual at all. It can also be auditory. Just like when I mentioned that a demonstration of a service is a “visual aid,” sometimes a vivid description works better than an actual image. For example, a good story engages a different part of the brain than a photograph. Stories can also add emotion to your presentation delivery.

The truth is that stories are very powerful visual aids. The audience has to pay attention to create the vision in their own head. Watch how Will Smith captivates the audience with this simple story and creates an emotional impact at the same time.

Often, speakers will think things like, “Well my experiences just aren’t that interesting.” Will Smith just spent two minutes telling us how he built a brick wall. That is not a very interesting thing to talk about. However, he makes it interesting because he paints a picture for us about what he was feeling. We are experiencing the event as if we were there ourselves. You can do the same thing in your presentations.

Visual Aid Examples for Virtual Meetings.

Your powerpoint slides should have more images and action than a typical slideshow..

People tend to have a shorter attention span on virtual meetings. Because of this, I tend to use more images and change them more frequently. This causes the audience to be engaged more.

For instance, when I am presenting in person, my slide might have three key bullet points and a single image. However, if I deliver a similar presentation through a Zoom meeting or webinar, I will likely use three images — one for each piece of text. In addition, I will often hide my bullets or text until the image appears.

Some of you may be wondering, “Why not use multiple images in the in-person meeting as well?” Well, you could do that. However, when you are in the same room with your audience, you can use your voice, gestures, and movement to keep the audience engaged. These tools are way more powerful than the visual aids, so if you are in the same room, use your gestures and voice.

No need to overdo it, by the way. The key is to add some movement every one or two minutes. If you watch a good YouTube video, the producer will use slight zooms in and out and change video angles. They do this to keep the viewer engaged.

If you are using a single webcam for your online meetings, though, you lose a lot of your tools. So adding additional images and visual aids can make up for some of this loss.

Videos or Animations without Sound Can Make Very Interactive Visual Aids.

PowerPoint and Prezi both have great animations that you can use as one of these “eye-catching” movements. So, instead of changing or adding images, you can make the images bigger as you reference them. Or, you can move them slightly or “shake” them up as you reference them. Prezi’s original “zoom” function is great for this.

However, recently, Prezi has created an entirely new platform called Prezi Video that is pretty cool. Basically, the slideshow or visuals are integrated into the speaker’s screen. So instead of sharing your screen and showing a slideshow, the visual aids appear to the side of the speaker.

In addition to Prezi, there are a number of video animation apps that either draw your images or animate them. The one that I use is Video Scribe . I use it because it was the first one that I found years ago. However, there are a number of these apps such as Doodley and Powtoon. There are a lot of these apps, though.

The way that you can use these is to add the image to your cartoon creator. Then, have the creator draw or animate the image. You can make the drawing process last as long as you want. However, five to 10 seconds usually works fine. So instead of adding a bunch of additional images, you can make the images more interesting using some of these apps.

Live Website Visits.

Don’t forget that since you are meeting online, you can always access additional information online as well. For example, when I’m meeting with a potential client, I will often answer questions for them by going https://www.fearlesspresentations.com . Instead of just quoting an expert who agrees with me, I might go to that expert’s website.

By the way, when I do this, I will have the websites open in my browser already. This way, I can just share my screen. A little trick for doing this is to click the browser tab and open it in a new window. That way, when you look at Share My Screen, that single webpage is available to share. (This makes the sharing a little cleaner and professional looking.)

Another tip here is to share videos with additional information or sometimes funny videos during session breaks. When I teach virtual or remote presentation classes, I will give the class a 10-minute break every hour or so. Sometimes, I will open up old Saturday Night Live clips that correspond to the previous or next lesson. For instance, if I am teaching about enthusiasm, I will show the old Chris Farley clip where he is pretending to be a motivational speaker.

Collaborative Shared Documents Such as Google Docs.

Spontaneity is a nice surprise in a virtual meeting. Sometimes, it is better to move away from the pre-created visual aids and use something more instant. For instance, when my team is meeting to assign instructors for upcoming sessions, we use Google Calendar. The corporate calendar is a combination of all of the instructors’ individual calendars. So, when I share my screen showing this collaborative calendar, it is unique every time.

It shows the whole group which of them are free during the time we are filling. If there are multiple instructors available, we can discuss the assignments to make the distribution more fair.

We also have reports that are created on multiple spreadsheets. As the team members insert their individual numbers, the data appears on the cumulative spreadsheet.

While this type of visual aid isn’t as fun and exciting as some of the others, it can add to collaboration very effectively.

Breakout Room Discussions Are Examples of Verbal Visual Aids.

Just as with stories and examples in the in-person meetings, discussions among the participants can replace the need for some visuals. Zoom has the ability to break the participants into breakout rooms. Participants are more likely to communicate in smaller groups. So, if you break your meeting into smaller teams and assign each new team to tackle a problem, you will get better results. Then, after a few minutes, close down the breakout rooms. Finally, have a spokesperson from each group give a summary.

This little technique fulfills the same need as I mentioned when I suggested you add more images. Instead of the entire group listening to one person for the entire meeting, they change their focus more quickly. Having multiple people present makes meetings more interactive.

36 Types of Presentation Aids

Now that we’ve explored some basic hints for preparing visual aids, let’s look at the most common types of visual aids: charts, graphs, representations, objects/models, and people.

A chart is commonly defined as a graphical representation of data (often numerical) or a sketch representing an ordered process. Whether you create your charts or do research to find charts that already exist, it is import- ant for them to exactly match the specific purpose in your speech. Figure 9.6 (“Acupuncture Charts”) shows two charts related to acupuncture. Although both charts are good, they are not equal. One chart might be useful in a speech about the history and development of acupuncture while the other chart would be more useful for showing the locations of meridians (the lines along which energy flows) and the acupuncture points.  The rest of this section will explore three common types of charts: statistical charts, sequence-of-steps chart, and decision trees.

Statistical Charts

For most audiences, statistical presentations must be kept as simple as possible, and they must be explained. The statistical chart shown in Figure 9.7 (“Birth Weight Chi-Square”) is from a study examining the effects of maternal smoking on a range of congenital birth defects. Unless you are familiar with statistics, this chart may be very confusing. When visually displaying information from a quantitative study, you need to make sure that you understand the material and can successfully and simply ex- plain how one should interpret the data. If you are unsure about the data yourself, then you should probably not use this type of information. This is definitely an example of a visual aid that, although it delivers a limited  kind of information, does not speak for itself. On the other hand, if you are presenting to an upper level or graduate class in health sciences or to professionals in health occupations, this chart would be appropriate. As with all other principles of public speaking, KNOW YOUR AUDIENCE.

Sequence-of-Steps Charts

Charts are also useful when you are trying to explain a process that involves several steps. The two visual aids in Figure 9.8 (“Steps in Cell Reproduction”) both depict the process of cell division called mitosis using a sequence-of-steps chart, but they each deliver different information. The first chart lacks labels to indicate the different phases of cell division. Although the first chart has more visual detail and may look more scientific, the missing information may confuse your audience. In the second chart, each phase is labeled with a brief explanation of what is happening, which can help your audience understand the process.

Decision Trees

Decision trees are useful for showing the relationships between ideas. The example in Figure 9.9 (“Open Educational Resource Decision Tree”) shows how a decision tree could be used to determine whether to use open-source textbook material. As with the other types of charts, you want to be sure that the information in the chart is relevant to the purpose of your speech and that each question and decision is clearly labeled. This particular tree is pertinent to this textbook, which is an open educational resource drawing from other open educational resources, and the decision tree shows some of the processes the authors went through to decide on the content of this text.

Strictly speaking, a graph may be considered a type of chart, but graphs are so widely used that we will discuss them separately. A graph is a pictorial representation of the relationships of quantitative data using dots, lines, bars, pie slices, and the like. Graphs show how one factor (such as size, weight, number of items) varies in comparison to other items. Whereas a statistical chart may report the mean ages of individuals entering college, a graph would show how the mean age changes over time. A statistical chart may report the amount of computers sold in the United States, while a graph will use bars or lines to show their breakdown by operating systems such as Windows, Macintosh, and Linux.

Public speakers can show graphs using a range of different formats. Some of those formats are specialized for various professional fields. Very complex graphs often contain too much information that is not related to the purpose of a student’s speech. If the graph is cluttered, it becomes difficult to comprehend. In this section, we’re going to analyze the common graphs speakers utilize in their speeches: line graphs, bar graphs, pie graphs, and pictographs.

A line graph is designed to show trends over time. In Figure 9.10 (“Enron’s Stock Price”), we see a line graph depicting the fall of Enron’s stock price from August 2000 to January 2002. Notice that although it has some steep rises, the line has an overall downward trend clearly depicting the plummeting of Enron’s stock price. This is far more effective in showing the relationship of numbers than a chart (as in Figure 9.7) or reading the numbers aloud.

Bar graphs are useful for showing the differences between quantities. They can be used for population demographics, fuel costs, math ability in different grades, and many other kinds of data. The graph in Figure 9.11 (“Suicide vs. Homicide”) is well designed. It is relatively simple and is carefully labeled, making it easy for the speaker to guide the audience through the recorded numbers of each type of death. The bar graph is designed to show the difference between rates of suicides and homicides across various age groups. When you look at the data, the first grouping clearly shows that eighteen- to twenty-four-year-olds are more likely to die because of a homicide than any of the other age groups.

The graph in Figure 9.12 (“Distribution of Income and Wealth in the United States”) is a complicated bar graph depicting the disparity between the so-called “haves” and the “have nots” within the United States. On the left hand side of the graph you can see that the Top 20% of people within the United States account for 84.7% of all of the wealth and 50.1% of all of the income. On the other hand, those in the bottom 40% account for only 0.2% of the wealth and 12.1% of the actual income.

While the graph is very well designed, it presents a great deal of information. For example, it shows “wealth” and “income,” for several groups; however, these are related but different concepts. In a written publication, readers will have time to sit and analyze the graph, but in a speaking situa tion, audience members need to be able to understand the information in a graph very quickly. For that reason, this graph is probably not as effective for speeches as the one in Figure 9.11 (“Suicide vs. Homicide”).

Pie graphs are usually depicted as circles and are designed to show proportional relationships within sets of data; in other words, they show parts of or percentages of a whole. They should be simplified as much as possible without eliminating important information. As with other graphs, the sections of the pie need to be plotted proportionally. In the pie graph shown in Figure 9.13 (“Causes of Concussions in Children”) we see a clear and proportional chart that has been color-coded. Color-coding is useful when it’s difficult to fit the explanations in the actual sections of the graph; in that case, you need to include a legend, or key, to indicate what the colors in the graph mean. In this graph, audience members can see very quickly that falls are the primary reason children receive concussions. However, the pie graph in Figure 9.14 (“World Populations”) is jumbled, illegible, confusing, and overwhelming in every way. The use of color coding doesn’t help. Overall, this graph simply contains too much information and is more likely to confuse an audience than help them understand something.

Similar to bar graphs, pictographs use numbers and/or sizes of icon- ic symbols to dramatize differences in amounts. An example is found in Figure 9.15. Pictographs, although interesting, do not allow for depiction of specific statistical data. If you were trying to show the output of oil from various countries through oil wells, each oil well representing a ten million barrels a day, it might be hard for the audience to see the difference between a third of an oil well and a fourth of one, but that is a significant difference in amounts (3.3 million versus 2.5 million).

Graphs can present challenges in being effective but also in being ethical. To be both ethical and effective, you need a good understanding of what statistics mean, and you need to create or use graphs that show amounts clearly. If you were showing GPAs of freshmen, sophomore, junior, and senior students at your college, and the bottom number on the graph was rather than 0.0, that would result in a visually bigger difference than what really exists (see Figure 9.16).

Diagrams are drawings or sketches that outline and explain the parts of an object, process, or phenomenon that cannot be readily seen. Like graphs, diagrams can be considered a type of chart, as in the case of organizational charts and process-flow charts.

When you use a diagram, be sure to explain each part of the phenomenon, paying special attention to elements that are complicated or prone to misunderstanding. In the example shown in Figure 9.17 (“The Human Eye”), you might wish to highlight that the light stimulus is reversed when it is processed through the brain or that the optic nerve is not a single stalk as many people think.

Maps are extremely useful if the information is clear and limited. There are all kinds of maps, including population, weather, ocean current, political, and economic maps, so you should find the right kind for the purpose of your speech. Choose a map that emphasizes the information you need to deliver. The map shown in Figure 9.18 (“African Map with Nigerian Emphasis”) is simple, showing clearly the geographic location of Nigeria. This can be extremely valuable for some audiences who might not be able to name and locate countries on the continent of Africa. The map also shows the relative size of Nigeria compared to its neighbors. Figure 9.19 (“Rhode Island Map”) is a map of the state of Rhode Island, and it emphasizes the complicated configuration of islands and waterways that characterize this state’s geography.

Photographs and Drawings

Sometimes a photograph or a drawing is the best way to show an unfamiliar but important detail. Figure 9.20 (“Wigwam Photograph”) is a photo- graph of a wigwam, a dwelling used by Native Americans in the North East. Audiences expect high quality in photographs now, and as with all presentation aids they should enhance the speech and not just “be there.” It is common to put stock photographs on PowerPoint slides as “clip art,” but they should be relevant and not detract from the message of the slide.

Video or Audio Recordings

Another very useful type of presentation aid is a video or audio recording. Whether it is a short video from a website such as YouTube or Vimeo, a segment from a song, or a piece of a podcast, a well-chosen video or audio recording may be a good choice to enhance your speech. Imagine, for example, that you’re giving a speech on how Lap-Band surgeries help people lose weight. One of the sections of your speech could explain how the Lap-Band works, so you could easily show a forty-three second video available on YouTube to demonstrate the part of the surgery. Maybe you could include a recording of a real patient explaining why they decided to get the Lap-Band.

There is one major warning to using audio and video clips during a speech: do not forget that they are supposed to be aids to your speech, not the speech itself. In addition, be sure to avoid these five mistakes that speakers often make when using audio and video clips:

  • Avoid choosing clips that are too long for the overall length of the speech. Your instructor can give you some guidelines for how long video and audio clips should be for the speeches in your class, if they are allowed (and make sure they are).
  • Practice with the audio or video equipment prior to speaking. If you are unfamiliar with the equipment, you’ll look foolish trying to figure out how it works. This fiddling around will not only take your audience out of your speech but also have a negative impact on your credibility. It also wastes valuable time. Finally, be sure that the speakers on the computer are on and at the right volume level.
  • Cue the clip to the appropriate place prior to beginning your speech. We cannot tell you the number of times we’ve seen students spend valuable speech time trying to find a clip on YouTube or a DVD. You need to make sure your clip is ready to go before you start speaking. Later in this chapter we will look at using video links in slides.
  • In addition to cuing the clip to the appropriate place, the browser window should be open and ready to go. If there are advertisements before the video, be sure to have the video cued to play after the ad. The audience should not have to sit through a commercial. There is a website called TubeChop that can allow you to cut a segment out of a YouTube video, then creating a new link. It has limitations but can be useful.
  • The audience must be given context before a video or audio clip is played, specifically what the clip is and why it relates to the speech. At the same time, the video should not repeat what you have already said, but add to it.

Objects or Models

Objects and models are another form of presentation aid that can be very helpful in getting your audience to understand your message. Objects refer to anything you could hold up and talk about during your speech. If you’re talking about the importance of not using plastic water bottles, you might hold up a plastic water bottle and a stainless steel water bottle as examples.

Models, on the other hand, are re-creations of physical objects that you cannot have readily available with you during a speech. If you’re giving a speech on heart murmurs, you may be able to show how heart murmurs work by holding up a model of the human heart. As will be discussed in the section on handouts below, a speaker should not pass an object or model around during a speech. It is highly distracting.

People and Animals

The next category of presentation aids are people and animals. We can often use ourselves or other people to adequately demonstrate an idea during our speeches.

Animals as Presentation Aids

When giving a speech on a topic relating to animals, it is often tempting to bring an animal to serve as your presentation aid. While this can sometimes add a very engaging dimension to the speech, it carries some serious risks that you need to consider.

The first risk is that animal behavior tends to be unpredictable. You may think this won’t be a problem if your presentation aid animal is small enough to be kept confined throughout your speech—for example, a goldfish in a bowl or a lizard or bird in a cage. However, even caged animals can be very distracting to your audience if they run about, chirp, or exhibit other agitated behavior. The chances are great that an animal will react to the stress of an unfamiliar situation by displaying behavior that does not contribute positively to your speech or to the cleanliness of the physical environment. Additionally, the animal’s behavior may not only affect audience attention during your speech, but potentially during your classmates’ speeches as well.

The second risk is that some audience members may respond negatively to a live animal. In addition to common fears and aversions to animals like snakes, spiders, and mice, many people have allergies to various animals. One of the authors had an experience where a student brought his six-foot yellow python to class for a speech. As a result, one of the other students refused to stay in the room because of her snake phobia (the instructor was not too comfortable either).

The third risk is that some locations may have regulations about bringing non-service animals onto the premises. If animals are allowed, the person bringing the animal may be required to bring a veterinary certificate or may be legally responsible for any damage caused by the animal.

For these reasons, before you decide to use an animal as a presentation aid, ask yourself if you could make your point equally well with a picture, model, diagram, or other representation of the animal in question.

Speaker as Presentation Aid

Speakers can often use their own bodies to demonstrate facets of a speech. If your speech is about ballroom dancing or ballet, you might use your body to demonstrate the basic moves in the cha-cha or the five basic ballet positions.

Other People as Presentation Aids

In some cases, such as for a demonstration speech, you might want to ask someone else to serve as your presentation aid. You should arrange ahead of time for a person (or persons) to be an effective aid—do not assume that an audience member will volunteer on the spot. If you plan to demonstrate how to immobilize a broken bone, your volunteer must know ahead of time that you will touch them as much as necessary to splint the break.

You must also make certain that they will arrive dressed presentably and that they will not draw attention away from your message through their appearance or behavior. The transaction between you and your human presentation aid must be appropriate, especially if you are going to demonstrate something like a dance step. In short, make sure your helper will know what is expected of them and consents to it.

14.2 Incorporating Effective Visuals into a Presentation

Learning objectives.

  • Recognize the characteristics of effective visual aids.
  • Analyze different types of visual aids and appropriate ways to use them.
  • Determine how to create original visual aids and how to locate visual aids created by others.

Good communication is a multisensory experience. Children first learning how to read often gravitate toward books with engaging pictures. As adults, we graduate to denser books without pictures, yet we still visualize ideas to help us understand the text. Advertisers favor visual media—television, magazines, and billboards—because they are the best way to hook an audience. Websites rely on color, graphics, icons, and a clear system of visual organization to engage Internet surfers.

Bringing visuals into a presentation adds color, literally and figuratively. There is an art to doing it well. This section covers how to use different kinds of visual aids effectively.

Using Visual Aids: The Basics

Good writers make conscious choices. They understand their purpose and audience. Every decision they make on the page, from organizing an essay to choosing a word with just the right connotations, is made with their purpose and audience in mind.

The same principle applies to visual communication. As a presenter, you choose the following:

  • When to show images or video for maximum impact
  • Which images will best produce the effect you want
  • When to present information using a table, chart, or other graphic
  • How much text to include in slides or informational graphics
  • How to organize graphics so they present information clearly

Your goal is to use visual media to support and enhance your presentation. At the same time, you must make sure these media do not distract your audience or interfere with getting your point across. Your ideas, not your visuals, should be the focus.

As you develop the visual side of your presentation, you will follow a process much like the process you follow when you write. You will brainstorm ideas, form an organizational plan, develop drafts, and then refine and edit your work. The following sections provide guidelines to help you make good decisions throughout the process.

What Makes Visual Aids Effective?

To help you get a sense of what makes visual media work, think about what does not work. Try to recall occasions when you have witnessed the following visual media failures:

  • Websites crammed with so many images, flashing phrases, and clashing colors that they are almost unreadable
  • Assembly instructions with illustrations or diagrams that are impossible to follow
  • Photographs that are obviously (and badly) altered with photo-editing software
  • Distracting typos or other errors in signs, advertisements, or headlines
  • Tables, charts, or graphs with tiny, dense text or missing labels

In each case, the problem is that the media creator did not think carefully enough about the purpose and audience. The purpose of images, color, or flashing text on a website is to attract attention. Overusing these elements defeats the purpose because the viewer may become overwhelmed or distracted. Tables, charts, and graphs are intended to simplify complex information, but without clear labels and legible text, they will confuse the audience.

In contrast, effective visual elements are chosen or created with the purpose and audience in mind. Although a photo shoot for a magazine article might result in dozens of images, editors choose those few that work best with the article. Web designers and video game creators have an audience test their products before they are released, to ensure that people will understand how to use them. Understanding the function of different visual aids will help you use them with purpose.

Types of Visual Aids

Visual aids fall into two main categories—images and informational graphics. Images include photographs, illustrations and clip art, and video footage. Informational graphics include tables, charts, bar graphs, and line graphs.

These visual aids serve two purposes: to add emotional impact to your presentation and to organize information more clearly. With that in mind, read to find out how specific types of visual aids achieve those purposes.

Photographs

A striking photograph can capture your audience’s attention far more successfully than words can. Consider including photographs at the beginning or end of your presentation to emphasize your main ideas or to accompany a particularly important point in the body of your presentation. Remember that, as with other types of graphics, less is often more. Two or three well-chosen photographs are more effective than a dozen mediocre ones.

When you choose photographs, ask yourself these questions:

  • What purpose does this image serve? Will it surprise the audience? Will it provoke a strong emotional response? Does it support an important point?
  • Will this photograph be more effective if shown with only a caption, or does it need additional text?
  • Will the audience understand what is happening in the photograph? Is the meaning immediately evident, or does the photo need some context?
  • Would editing the image make it more effective? Consider using image-editing software to crop the photo, change the brightness, or make other cosmetic changes. (Do not go overboard, though. A slightly imperfect but authentic image is preferable to one that has been obviously altered.)

To illustrate the sense of helplessness people felt in the midst of tragedy, a student could use a photograph that shows fear, weariness, or defeat on the face of the photograph’s subject.

Illustrations

Illustrations, such as editorial or political cartoons, serve much the same purpose as photographs. Because an illustration does not capture a moment in time the way a photo does, it may have less impact. However, depending on your topic and the effect you want to achieve, illustrations can still be very useful. Use the same criteria for choosing photographs to help you choose illustrations.

The style of an illustration or photograph affects viewers just as the content does. Keep this in mind if you are working with the stock images available in office software programs. Many of these images have a comical tone. This may be fine for some topics—for instance, a presentation on television shows for children. However, if you need to project a more serious tone, make sure you choose images to suit that purpose. Many free (or reasonably priced) image banks are available online.

Video Footage

Even more than photographs, video footage can create a sense of immediacy, especially if your video includes sound. Showing a brief video clip can help your audience feel as if they are present at an important event, connect with a person being interviewed, or better understand a process. Again, ask yourself the following questions to ensure you are using the footage well:

  • What purpose does this video serve? (Never rely on video clips just to fill time.)
  • How much footage should be shown to achieve your purpose?
  • What will need to be explained, before or after showing the video, to ensure that your audience understands its significance?
  • Will it be necessary to edit the video to stay within time requirements or to focus on the most important parts?

Informational graphics, such as tables, charts, and graphs, do not provoke the same response that images do. Nevertheless, these graphics can have a powerful impact. Their primary purpose is to organize and simplify information.

Tables are effective when you must classify information and organize it in categories. Tables are an especially good choice when you are presenting qualitative data that are not strictly numerical. Table 14.1 “Example of Qualitative Data Table” was created for a presentation discussing the subprime mortgage crisis. It presents information about people who have held powerful positions both in the government and at one of the investment banking firms involved in the subprime mortgage market.

If you are working with numerical information, consider whether a pie chart, bar graph, or line graph might be an effective way to present the content. A table can help you organize numerical information, but it is not the most effective way to emphasize contrasting data or to show changes over time.

Pie charts are useful for showing numerical information in percentages. For example, you can use a pie chart to represent presidential election results by showing what percentage of voters voted for the Democratic presidential candidate, the Republican candidate, and candidates from other political parties.

Bar graphs work well when you want to show similarities and differences in numerical data. Horizontal or vertical bars help viewers compare data from different groups, different time periods, and so forth. For instance, the bar graph in Figure 14.6 allows the viewer to compare data on the five countries that have won the most Olympic medals since the modern games began in 1924: Norway, the United States, the former Soviet Union, Germany, and Austria. Bar graphs can effectively show trends or patterns in data as well.

Line Graphs

Like bar graphs, line graphs show trends in data. Line graphs are usually used to show trends in data over time. For example, the line graph in Figure 14.7 shows changes in the Dow Jones Industrial Average—an economic index based on trading information about thirty large, US-based public companies. This graph shows where the Dow closed at the end of each business day over a period of five days.

In this exercise, you will begin to refine your ideas for incorporating media into your presentation. Complete the following steps on your own sheet of paper.

  • Revisit the list you brainstormed for Note 14.12 “Exercise 3” in Chapter 14 “Creating Presentations: Sharing Your Ideas” , Section 14.1 “Organizing a Visual Presentation” and the annotated outline you developed for Note 14.17 “Exercise 4” .
  • Analyze the two different types of visual aids: images and informational graphics. Identify at least two places in your presentation where you might incorporate visual aids.
  • Evaluate the purpose of the visual aid. Does it create emotional impact, or does it organize information? Is the visual effective?
  • Determine whether you will be able to create the visual aid yourself or will need to find it.

Creating Original Visual Aids

You will include original visual aids in your presentation to add interest, present complex information or data more clearly, or appeal to your audience’s emotions. You may wish to create some visual aids by hand—for instance, by mounting photographs on poster board for display. More likely, however, you will use computer-generated graphics.

Computer-generated visual aids are easy to create once you learn how to use certain office software. They also offer greater versatility. You can print hard copies and display them large or include them in a handout for your audience. Or, if you are working with presentation software, you can simply insert the graphics in your slides.

Regardless of how you proceed, keep the following guidelines in mind:

  • Create visual aids with purpose. Think carefully about how they will enhance your message, and choose a form that is appropriate for your content.
  • Strive for quality. You do not need the skills of a professional photographer or designer, but do take time to make sure your visual aids are neat, attractive, and legible. Proofread for errors, too.

Using Software to Create Visual Aids

You can use standard office software to create simple graphics easily. The following guidelines describe how to work with word-processing software and presentation software.

Working with Photographs

Most personal computers come equipped with some basic image-editing software, and many people choose to purchase more advanced programs as well. You can upload photographs from a digital camera (or in some cases, a cell phone) or scan and upload printed photographs. The images can then be edited and incorporated into your presentation. Be sure to save all of your images in one folder for easy access.

Creating Tables

To create a table within a word-processing document consult your software program’s help feature or an online tutorial. Once you have created the table, you can edit and make any additional changes. Be sure that the table has no more than six to seven rows or columns because you do not want to compromise the size of the text or the readability. Aligning with precision will help your table look less crowded. Also, the row and column titles should spell out their contents.

Pie charts and bar and line graphs can also be created using standard office software. Although you can create these graphics within a document, you will need to work with both your word-processing application and your spreadsheet application to do so. The graph should visually explain the data using colors, titles, and labels. The use of color will help the audience distinguish information; however, avoid colors that are hard on the eyes, such as lime green or hot pink. The title should clearly state what the graph explains. Lastly, avoid using acronyms in the titles and other labels.

Creating Graphics in an Electronic Presentation

If you plan to work only with hard copy graphics during your presentation, you may choose to create them as word-processing documents. However, if you are using presentation software, you will need to choose one of the following options:

  • Create your graphics using the presentation software program.
  • Create your graphics within another program and import them.

Standard office presentation software allows you to create informational graphics in much the same way you would create them within a word-processing application. Keep the formatting palette, a menu option that allows you to customize the graphic, open while you use the software. The formatting menu provides options for inserting other types of graphics, such as pictures and video. You may insert pictures from an image bank available within the program, or insert images or video from your own desktop files. Shape your use of multimedia in accordance with the message your presentation is trying to convey, the purpose, and your audience.

Creating Visual Aids by Hand

Most of the time, using computer-generated graphics is more efficient than creating them by hand. Using office software programs helps give your graphics a polished appearance while also teaching you skills that are useful in a variety of jobs. However, it may make sense to use hand-created visual aids in some cases—for instance, when showing a 3-D model would be effective. If you follow this route, be sure to devote extra time to making sure your visual aids are neat, legible, and professional.

Flip charts are inexpensive and quick visual aids used during face-to-face presentations. The flip chart can be prepared before, as well as during, the presentation. Each sheet of paper should contain one theme, idea, or sketch and must be penned in large letters to be seen by audience members farthest away from the speaker.

Writing Captions

Any media you incorporate should include a caption or other explanatory text. A caption is a brief, one- to two-sentence description or explanation of a visual image. Make sure your captions are clear, accurate, and to the point. Use full sentences when you write them.

Captions should always be used with photographs, and in some cases, they can be useful for clarifying informational graphics, which represent qualitative data visually. However, informational graphics may not require a caption if the title and labels are sufficiently clear. For other visual media, such as video footage, providing explanatory text before or after the footage will suffice. The important thing is to make sure you always include some explanation of the media.

In this exercise, you will begin to develop visual aids for your presentation. Complete the steps in this exercise—and enjoy the chance to be creative. Working with visuals can be a pleasant way to take a break from the demands of writing.

  • Revisit the ideas you developed in Note 14.24 “Exercise 1” . Choose at least two ideas that you can create. ( Note: If you are using software to develop a slideshow presentation, count this as one of your self-created visual aids. Include at least one other self-created visual aid, such as an original photograph, within your slideshow.)
  • Get creative! Take your photographs, construct a 3-D model, create informational graphics, or work on your presentation slides. Develop good working drafts.
  • After you have completed drafts of your visual aids, set them aside for a while. Then revisit them with a critical eye. First, check any text included with the graphic. Make sure your facts are correct, your words are clear and concise, and your language is free of errors.
  • Next, evaluate how well your aids work visually. Are they large enough to be seen and read from a distance? Are captions and labels easy to find? Are photographs of reasonably high quality? Ask someone else for feedback, too.
  • Begin making any needed changes. As you proceed through the rest of this section, continue to revisit your work to improve it as needed.

Collaboration

Please share the first version of your visual aids with a classmate. Examine what they have produced. On a separate piece of paper, note both the elements that catch your attention and those that would benefit from clarification. Return and compare notes.

Testing and Evaluating Visual Aids

Regardless of how you create your visual aids, be sure to test-drive them before you deliver your presentation. Edit and proofread them, and if possible, show them to someone who can give you objective feedback. Use the following checklist.

  • Visual aids are clearly integrated with the content of the presentation
  • Photographs and illustrations suit the overall tone of the presentation
  • Images and text are large and clear enough for the viewer to see or read
  • Images are shown with explanatory text or a caption
  • Informational graphics include clear, easy-to-read labels and headings
  • Text within informational graphics is easy to read (Watch out for wordiness and crowded text or a font that is too small and hard to read.)
  • Formatting choices (color, different fonts, etc.) organize information effectively
  • Any text within graphics is free of errors
  • Hyperlinks within slides function properly
  • Display text for hyperlinks is concise and informative (Never paste a link into a slide without modifying the display text.)

Writing at Work

Office software includes many options for personalizing a presentation. For instance, you can choose or create a theme and color scheme, modify how one slide transitions to the next, or even include sound effects. With so many options, students and employees sometimes get carried away. The result can seem amateurish and detract from, rather than enhance, your presentation.

Remember, you are delivering a presentation, not producing a movie. Use the customization options to help give your presentations a consistent, polished, appearance. However, do not let these special effects detract from the substance of your slides.

Using Existing Visual Media

Depending on your topic, you may be able to find images and other graphics you can use instead of creating your own. For instance, you might use photographs from a reputable news source or informational graphics created by a government agency. If you plan to use visual aids created by others, keep the following guidelines in mind:

  • Set a purpose before you begin your search. You will search more efficiently if you start with a general idea of what you are looking for—a line graph of unemployment rates for the past twelve months, for example, or a video clip of the most recent State of the Union address.
  • Filter out visual aids that are not relevant. You may come across eye-catching graphics and be tempted to use them even if they are only loosely related to your topic, simply because they are attention getting. Resist the temptation. If the graphic is not clearly connected to your point, it does not belong in your presentation.
  • Read carefully. In addition to reading labels, headings, and captions, read any text that accompanies the visual. Make sure you understand the visual in its original context. For informational graphics, make sure you understand exactly what information is being represented. (This may seem obvious, but it is easy to misread graphic information. Take the time to examine it carefully.)
  • Evaluate sources carefully and record source information. When you look for visual media to complement your presentation, you are conducting research. Apply the same standards you used for your research paper. Choose reliable sources, such as reputable news organizations, government and nonprofit organizations, and educational institutions. Verify data in additional sources. Finally, be sure to document all source information as you proceed.

Searching Efficiently for Visual Media

You will probably find it most efficient to use the Internet to search for visual aids. Many students begin by typing keywords into a search engine to locate related images. However, this search technique is not necessarily efficient, for several reasons:

  • It often pulls up hundreds or even thousands of images, which may be only loosely related to your search terms.
  • It can sometimes be difficult to understand the image in its original context.
  • It can be hard to find copyright information about how you may use the image.

A more efficient strategy is to identify a few sources that are likely to have what you are looking for, and then search within those sites. For instance, if you need a table showing average life expectancy in different countries, you might begin with the website of the World Health Organization. If you hope to find images related to current events, news publications are an obvious choice. The Library of Congress website includes many media related to American history, culture, and politics.

Searching this way has the following advantages:

  • You will often find what you are looking for faster because you are not wasting time scrolling through many irrelevant results.
  • If you have chosen your sources well, you can be reasonably certain that you are getting accurate, up-to-date information.
  • Images and informational graphics produced by reputable sources are likely to be high quality—easy to read and well designed.

If you do choose to use a search engine to help you locate visual media, make sure you use it wisely. Begin with a clear idea of what you are looking for. Use the advanced search settings to narrow your search. When you locate a relevant image, do not download it immediately. Read the page or site to make sure you understand the image in context. Finally, read the site’s copyright or terms of use policy—usually found at the bottom of the home page—to make sure you may use the material.

If you are unable to find what you are looking for on the Internet consider using print sources of visual media. You may choose to mount these for display or scan them and incorporate the files into an electronic presentation. (Scanning printed pages may lower the quality of the image. However, if you are skilled at using photo-editing software, you may be able to improve the quality of the scanned image.)

Inserting Hyperlinks in an Electronic Presentation

If you are working with images, audio, or video footage available online, you may wish to insert a link within your presentation. Then, during your presentation, you can simply click the link to open the website in a separate window and toggle between windows to return to your presentation slides.

To insert a hyperlink within your presentation, click on insert in the toolbar and then select hyperlink from the menu. Doing so will open a dialogue box where you can paste your link and modify the accompanying display text shown on your slide.

Copyright and Fair Use

Before you download (or scan) any visual media, make sure you have the right to use it. Most websites state their copyright and terms of use policy on their home page. In general, you may not use other people’s visual media for any commercial purpose without contacting the copyright holder to obtain permission and pay any specified fees.

Copyright restrictions are somewhat more ambiguous when you wish to download visual media for educational uses. Some educational uses of copyrighted materials are generally considered fair use —meaning that it is legally and ethically acceptable to use the material in your work. However, do not assume that because you are using the media for an educational purpose, you are automatically in the clear. Make sure your work meets the guidelines in the following checklist. If it does, you can be reasonably confident that it would be considered fair use in a court of law and always give credit to the source.

Media Fair Use Checklist

  • You are using the media for educational purposes only.
  • You will make the work available only for a short period and to a limited audience. For instance, showing a copyrighted image in a classroom presentation is acceptable. Posting a presentation with copyrighted images online is problematic. In addition, avoid any uses that would allow other people to easily access and reproduce the work.
  • You have used only as much of the work as needed for your purposes. For video and audio footage, limit your use to no more than 10 percent of the media—five minutes of an hour-long television show, for example. Image use is harder to quantify, but you should avoid using many images from the same source.
  • You are using the media to support your own ideas, not replace them. Your use should include some commentary or place the media in context. It should be a supporting player in your presentation—not the star of the show.
  • You have obtained the material legally. Purchase the media if necessary rather than using illegally pirated material.
  • Your use of the media will not affect the copyright holder or benefit you financially.

By following these guidelines, you are respecting the copyright holder’s right to control the distribution of the work and to profit from it.

In some fields, such as teaching, job applicants often submit a professional portfolio to a prospective employer. Recent college graduates may include relevant course work in their portfolios or in applications to graduate school. What should you do if your course work uses copyrighted visual media?

This use of media is acceptable according to fair use guidelines. Even though you are using the work for your personal professional advancement, it is not considered an infringement on copyright as long as you follow the additional guidelines listed in the previous checklist.

Crediting Sources

As you conduct your research, make sure you document sources as you proceed. Follow the guidelines when you download images, video, or other media from the Internet or capture media from other sources. Keep track of where you accessed the media and where you can find additional information about it. You may also provide a references page at the end of the presentation to cite not only media and images but also the information in the text of your presentation. See Chapter 13 “APA and MLA Documentation and Formatting” for more information on creating a reference page.

Write captions or other explanatory text for visual media created by others, just as you would for media you created. Doing so helps keep your audience informed. It also helps ensure that you are following fair use guidelines by presenting the media with your commentary, interpretation, or analysis. In your caption or elsewhere in your presentation, note the source of any media you did not create yourself. You do not need to provide a full bibliographical citation, but do give credit where it is due.

In this exercise, you will locate visual aids created by others and continue developing the work you began earlier. Complete these steps.

1. Revisit the ideas you developed in Note 14.24 “Exercise 1” . Choose at least two ideas for which it would make more sense to find the visual aid than to create it yourself. 2. Use the search tips provided in this section to locate at least two visual aids from reputable sources that you can use. Prepare them for your presentation by adding clarifying text as needed. Be sure to credit your source. 3. Incorporate the visual aids you created in Note 14.26 “Exercise 2” and Note 14.32 “Exercise 3” into your presentation. This may involve preparing physical copies for display or inserting graphic files into an electronic presentation.

4. Take some time now to review how you will integrate the visual and verbal components of your presentation.

  • If you are working with presentation software, refine your slides. Make sure the visual approach is consistent and suits your topic. Give your text a final proofread.
  • If you are not using presentation software, review the annotated outline you created in Note 14.24 “Exercise 1” . Update it as needed to reflect your current plan. Also, determine how you will physically set up your visual aids.

When it comes to delivering a presentation, visuals can be extremely helpful in getting your point across. There are many types of visual presentations that can be used to communicate your message.

This blog post will discuss seven different types of visual presentations and when they might be appropriate to use. We will also provide examples of each kind of presentation. Let’s get started!

What are Visual Presentations?

Visual presentations are a visual aid that can be used in both business and academia to help explain concepts or topics that might otherwise be difficult for an audience member to understand without seeing them firsthand.

In addition, visuals allow the presenter to provide more information than just words alone would do on their own because they provide context and give the audience something concrete to look at while listening.

There are many types of visual presentations, but we will focus on seven of the most common ones here. Each type has its own strengths and weaknesses, so it’s important to understand when each would be appropriate to use.

Slides are the most common type of visual aid. You can use slides to demonstrate your point and make it easier for the audience to follow along with what you’re saying. They are also pretty easy to prepare.

For example, a slide that shows how much money was spent on advertising last year might be useful in an annual meeting where everyone’s attention span is short or they don’t want to take the time to read a long report.

Graphs and charts are other types of visual presentation that can be used to show trends or compare data.

For example, you might use a graph to illustrate how your company’s revenue has increased or decreased over the past five years. Or, you could use a chart to compare the number of sales your company has made this year compared to last year.

Whiteboards are a great way to explain something in detail, as they allow you to draw pictures and write on them. For example, if your company is thinking about designing a new website but needs some ideas first, then using whiteboards would help everyone get their thoughts out.

One issue about using whiteboards is that they cannot be easily saved and shared with others. Moreover, as you need to write manually, it can be time-consuming and prone to errors.

Videos are another type of visual aid that can be used to demonstrate a concept or show how something works. It’s beneficial when you want to show live instances of your products or services through movements.

For example, if you’re selling cars, then showing them driving around would help people get an idea of what they look like in action (and not just sitting still on a lot).

The downside to using videos is that creating one from scratch can be time-consuming and expensive, so this isn’t always feasible. In addition, videos can be challenging to follow if they are not properly edited.

Infographics are visual presentations that use images and text to convey information. They can be used in many ways, from illustrating trends or comparing data points graphically; to explaining complex concepts in an easy-to-understand manner.

Infographics are especially handy when trying to illustrate a point based on a massive number of data. For example, if you wanted to show how much data your company has collected over the past year, you could use an infographic.

Posters are used primarily in academic settings because they allow students to display their research findings at conferences or other events where the audiences are present.

For example, if someone were presenting on the use of social media in politics, they might create a poster with an image of the political landscape and then use text to explain how social media is being used.

Posters can be created using software or hand-drawing, but they should always be designed with legibility.

Paper handouts are visual aids that can be used to supplement slides or other visuals.

They can be especially useful if you want to provide the audience with additional information that isn’t easily conveyed in a slide or chart.

For example, you might use paper handouts to give the audience more details about the data shown in a graph or provide them with a list of your company’s products and services.

Now that you know about the different types of visuals, how do you decide which one is right for your presentation?

Well, it depends on what you’re trying to accomplish. If you want to make your presentation more interesting and engaging, then using slides or videos might be a good option.

However, if you need to show complex data or explain a concept in detail, charts, whiteboards, or infographics might be better.

In the end, it’s crucial to pick the right type of visual that will help you communicate your message most effectively.

While there are many different types of visual presentations, the seven we’ve outlined in this blog post should give you a good place to start when creating your own visual presentation.

Visual Aids Examples

Visual aids are more than just PowerPoint presentations. To help spark some ideas, here are ten visual aids examples to try out.

What is a visual aid?

A visual aid is anything you use in a presentation to visually drive home your point. Using visual aids can improve attention and engagement with your presentation. They’re also quite fun!

If a picture tells a thousand words, a video tells a thousand pictures. You could pause your talk at the start to show a video demonstrating an idea or concept. It can help ground your presentation and provide context for what you’re going to say next.

In one particularly spectacular example, Hans Rosling’s TED talk,   The Best Stats You Have Ever Seen ,   uses video continuously throughout the presentation. The result: a deeper understanding of a complex topic.

Don’t just describe your product: show it! Having a tactile prop you can hand around or demonstrate isn’t just informative; it’s one of the most engaging visual aid examples around. It draws the eye and captivates your audience.

For example, if you’re giving a talk on African History, showing a traditional artifact (even a replica) can go a long way towards conveying your ideas.

Just don’t overdo it. Too many props can distract your audience from the main thrust of your presentation.

3. Handouts

Are you discussing a complex topic? If so, a handout can help break down the more complex aspects of your talk. It can contain pictures and diagrams for you to refer to in your presentation.   • Try not to interrupt the flow of your speech by distributing them during your speech.
  • If you are handing these out at the beginning of your speech, try not to overload the paper with too much information. You might end up overwhelming the audience, and they might not end up paying attention to your speech.
  • Make sure your handout includes the graphs, charts, or any other visual data that you may have in your speech. This will help them grasp the impact much more easily.

Flip charts are quite an old-school visual aid. However, they are the best option when you want to present at a budget but don’t have the tech needed on hand.

Flip charts act as a great supplement to your spoken information. The drawback is that these often limit you to smaller audiences.

The information needs to be easily visible, which is more likely for smaller groups. This does make it perfect for team meetings and brainstorming ideas.

You can have your key points easily displayed or include charts and graphs as you go. Instead of having a consistent topic displayed like a whiteboard or having to turn your back to the audience as you erase and rewrite, you can simply flip the pages and carry on.

  • Make sure you check the order of the charts beforehand and have extra sheets on hand should you need them.
  • Try not to stuff too much information into one chart. Limit your key points so that your information is easy to follow.
  • Separate different inks for different information. For instance, use red ink to highlight anything important so that the information does not get lost in the mix.
  • Use large letters that are easy to read.
  • Before you begin your speech, check with the audience whether or not they can clearly see the charts.
  • Practice beforehand so that your speech is well in tune with your speech before you go in front of the audience.
  • When summarizing, flip back through the main charts so the audience can recollect more easily.

Posters are a great visual aid, especially when you are trying to promote an event or occasion.

They are portable, budget-friendly, and will not require any technology on board. These are usually more suited for informal events but can also be used to jazz up any formal presentation.

Unlike the other options, posters can typically be as complex and detailed as you want them to be or as the budget allows for it to be.

  • Incorporate attractive colors.
  • Use block letters and experiment with fonts.
  • Try to stick to one message per poster.
  • Posters are more suitable to smaller audiences due to.
  • For a larger audience, visibility can be a big problem, so unless you have multiple posters on hand, we’d recommend against it.

Products or Objects

Products or objects can be an excellent way to give the audience a visual demonstration. This can include small-scale versions of your products or detailed models.

You can have multiple objects depending on the audience size. These can add a lot more interaction as the audience can feel more immersed in your presentation. Products are the best for when you need to demonstrate an experiment.

  • If the audience is small, you can pass the object around, but remember to plan these gaps into your speech time so that they don’t miss out on key points.
  • If the audience is large, you might need multiple objects or allot a larger time slot so that the audience can follow your presentation properly.
  • Spend some time explaining the object and your purpose for demonstrating it.
  • Do not display the audience until it’s time for the demonstration, as it might be distracting for the audience. 
  • For demonstrative presentations, try to move slowly so that it is easy to follow. Repeat the key steps of the experiment and make sure you check with the audience to see if they are on track.

What are the things you need to keep in mind once you decide to incorporate visual aids into the presentation?

There is a lot of preparation that goes into a successful visual aids demonstration. Here are a few tips on how you can prepare to ensure that nothing goes wrong on your big day:

  • Before picking your visual aid medium, think about whether or not it adequately supports your message. Are you clear on what the audience’s focus should be on?
  • Check the order of the slides or charts beforehand. Make sure that your speech and visual aids are in tune so that it is easy for the audience to follow. 
  • Any form of visual aids you pick needs to look clean and professional. 
  • Make sure you use clear images or fonts.
  • Keep the theme, colors, and fonts consistent as you can risk looking cluttered otherwise.
  • Try to use visual representations of data such as graphs and charts over tabular data.
  • Never include blocks of text as it might confuse the audience on whether to read or follow your vocal speech.
  • Use bullet points for your main messages.
  • Do not overwhelm the audience with more than one key message at once.
  • It is easy to go overboard with visual aids. Make sure they are only used to enhance your message and do not take over your presentation.
  • Always be prepared to give the speech without your visual aids in case of any technical problems. Your presentation should never depend on your visual aids.
  • Whenever you have moving components in your presentation, you should practice well and minimize any chances of mishaps on the day of the demonstration. 
  • Try to practice in front of smaller audiences so that you can catch any mistakes that you may have missed. 

So you’ve prepared your visual aids, there are still a couple of things you need to keep in mind during the presentation. These things are important in order to ensure that the audience receives the full impact of the visual aids that you have incorporated.

  • There’s no point in using visual aids that aren’t visible. Make sure the audience, both in the front and back, can clearly see the information presented.
  • Don’t turn your back to the audience unless absolutely unnecessary.
  • Make sure you practice well so that you are not reading off your visual aids.
  • Explain the object properly so that the audience can understand what to pay attention to.
  • Visual aids can be quite distracting to the audience, so make sure to only display it when necessary. Once you are done using the aid, remove it so that the focus of the audience returns back to you.

Using a visual aid comes with quite a lot of advantages. However, it can be easy to miss little things that might end up ruining your presentation. Here are some additional tips to help guide you:

  • Try to avoid flashy colors or switch between too many colors as it might be distracting for the listeners. For example, shades of blue or yellow might be way too loud for an official presentation.
  • Static images tend to bore the audience, and they might lose interest, so make sure you switch the slides and charts around with your speech.
  • Keep your visual aids clean and professional. Try not to use animations, stickers, or WordArt unless appropriate for your audience.
  • Try to stick to a single font or at most two fonts to maintain consistency in your presentation.
  • Use different font sizes or bold lettering to effectively present your data.

Should you use visual aids in your speech?

You’ve learned how to use visual aids, but you might still be wondering whether it is, in fact, a good addition to your speech itself.

Ask yourself: What could I show (or demonstrate) that would enhance my presentation? Remember, It is better to go for a few simple and well-prepared props than to go overboard and overwhelm the audience. It’s completely okay if you decide that props are not for you and modify your topic accordingly.

Think about it. 

If you were sitting in the audience, would you like to only hear about a holiday in Russia? Or would it be better to see pictures? Wouldn’t that be a more immersive experience?

What about if the speaker included souvenirs and sweets?

Do the same with your topic at hand. Does your topic require you to present data that can be presented better? Would a colorful poster boost initiative from your audience members?

If yes, then it’s time to get yourself some visual aids.

It is easy to go overboard with visual aids. The wrong color combination or illegible fonts are common mistakes that might risk you losing your credibility in front of the audience.

Many speakers are not well versed or lack the practice required. As a result, there can be a lot of fumbling, which also adds to the distraction.

Most people do not double-check their presented information. Apparent mistakes can have the audience doubting you. Therefore, if you’re not entirely sure that the visual aids will add to your presentation, then it is better to go without you. 

You need to make sure that the visual aids you use match the audience you will be addressing.

There can be a lot of design problems while doing so. For instance: if you’re giving a persuasive speech, it is vital that you design your slides or posters to look as inviting as possible.

Similarly, no matter how good you think your images are, there is a risk of putting too much information onto your slides.

Many speakers do not spend enough time learning exactly how to use visual aids, and it ends up doing more harm than good.

9.2: Types of Visual Aids

For many people, the term “visual aids” for presentations or speeches is synonymous with PowerPoint, but this is just one type of visual aid. You should consider all the available options to determine what will be most effective and appropriate for your presentation.

Personal Appearance

Some people chose to dress up as part of their presentation, and this can help set the tone of the speech or reinforce a specific point. A speaker may choose to wear a handmade sweater in a talk about knitting in order to inspire others to begin the hobby. Another speaker may opt for a firefighter’s uniform in a speech about joining the local volunteer fire department in an effort to appeal to the respect most people have for people in uniform.

If you aren’t dressing in relation to your topic, you should dress appropriately for your audience and venue. A presentation to a professional audience or at a professional conference would lend itself to appropriate business attire. If you are giving a presentation to your local Girl Scout troop, more casual clothing may be the best choice. Any time you are doing a demonstration, make sure you are dressed appropriately to give the demonstration. It is difficult for a speaker to show how to correctly put on a rock climbing harness if she is wearing a skirt the day of the presentation.

Your dress, mannerisms, the way you greet the audience when they are arriving, how you are introduced, and the first words out of your mouth all impact your credibility and ability to connect with your audience. Make sure you are calm and welcoming to your audience when they arrive and greet them in a professional manner.

Objects and Props

Objects and props, such as a bicycle helmet for a speech on bike safety or an actual sample of the product you are trying to sell, can greatly enhance your presentation. Seeing the actual item will often make it easier for your audience to understand your meaning and will help you connect with your audience on an emotional level. Props can be used as part of demonstrations (discussed below) or as a stand-alone item that you refer to in your speech.

There are several important considerations for using props in your presentation. If you have a large audience, showing the prop at the front of the venue may mean that audience members can’t see the item. The alternative to this is to pass the item around, though Young and Travis (2008) advise caution in passing objects around during your speech, as most people will be seeing the object after you have moved on with your talk.

Having your prop out of sync with your presentation, either as it is passed around disrupting your audience’s attention or by having your prop visible when you aren’t talking about it, is distracting to your audience and message. To make the most effective use of props in your presentation, carefully consider how the object will be visible to your entire audience when you are speaking about it, and make sure it is out of sight when you are not.

Demonstration

A demonstration can serve two different purposes in a speech. First, it can be used to “wow” the audience. Showing off the features of your new product, illustrating the catastrophic failure of a poorly tied climbing knot, or launching a cork across the room during a chemistry experiment are all ways of capturing the audience’s attention. Demonstration should not be gimmicky, but should add value to your presentation. When done well, it can be a memorable moment from your speech, so make sure it reinforces the central message of your talk.

Demonstration can also be used to show how something is done. People have different learning styles, and a process demonstration can help visual learners better understand the concept being taught. Consider for a moment the difference between reading the instructions on how to perform CPR, watching someone perform CPR, and trying CPR on the training dummy. As evidenced by the huge number of online videos illustrating how to do something, there is great value in watching while you learn a new task.

Posters and Flip Charts

If you are presenting to a small audience, around a dozen people, you may choose to use a poster rather than PowerPoint. The focus of your poster should be to support your core message and can be left behind to remind those in attendance of your presentation after you have left. Posters should look professional (e.g., not handwritten) and be visible to everyone in the room.

Other text-based visual aids include white boards and flip charts. Both can be used to write or draw on during the presentation and should be used with several caveats. Writing during your presentation actually takes away from your speaking time, so make sure to factor this into your speaking time.

Speaking and writing at the same time can be tricky because the audience will have a difficult time processing what they are hearing when they are also trying to read what you write. Additionally, if you are writing, you need to be careful not to turn your back on your audience, which makes it harder for them to hear you and for you to connect with your audience.

Audio and Video

A large amount of digitized audio and video is now available to be included and embedded in your presentation. Select short clips; Young and Travis (2008) recommend only 10–20 seconds, but this will depend in part on the length of the presentation, the purpose of the presentation, and clip content and relevance. You should not have a presentation primarily composed of audio/video clips. Select only clips that reinforce the message or serve as an appropriate segue into your next topic.

When including audio or video in your speech, there are several technical considerations. It is important that the clip be properly cued to start at exactly where you want it to begin playing. It distracts from both your audience’s attention and your credibility when you are fumbling with technology during a speech. It is also important that your file format can be played on the computer you are using. Since not all computers will play all file formats, be sure to test playability and audio volume before your presentation. Again, going back to providing a professional appearance from your first interaction with your audience, you should iron out the technical details before they enter the room. As with a demonstration, if your clip isn’t playing properly, move on rather than attempt to correct the issue. Fumbling with technology is a waste of your audience’s valuable time.

There are many schools of thought on the use of handouts during a presentation. The most common current practice is that the presenters provide a copy of their PowerPoint slides to the participants before or after the presentation. Despite this prevailing trend, you should avoid using your slides as handouts because they serve different purposes. Using your presentation slides as the handout both shortchanges your slides and fails as a handout.

Handouts are best used to supplement the content of your talk. If you are providing statistical data, your slide may only show the relevant statistic focusing on the conclusion you want your audience to draw. Your handout, on the other hand, can contain the full table of data. If you need to show a complex diagram or chart, a handout will be more legible than trying to cram all that information on a slide. Since you need to simplify the data to make it understandable on a slide, the handout can contain the evidence for your message in a way that is legible, detailed, complex, and shows respect for the audience’s time and intelligence (Reynolds, 2008).

You don’t need to include everything in your talk, and you don’t need to pack all your information into your slides. Write a handout document with as much detail as you want and keep the slides simple. Presenters often feel the need to display all the data and information they have so they will appear knowledgeable, informed, and thoroughly prepared. You can help ease this feeling by creating a handout with all of the detailed data you wish, which leaves your slides open to focus on your key message (Mayer, 2001).

When to distribute handouts is also heavily debated. So common is the practice of providing handouts at the beginning of a presentation that it may seem wrong to break the convention. It is important to understand, however, that if people have paper in front of them while you are speaking, their attention will be split between the handout, your other visual aids, and your words. To counter this, you might consider distributing handouts as they are needed during the presentation and allowing time for people to review them before continuing on (Reynolds, 2008). This may not be a viable option for shorter presentations, and the interruption in the flow of the presentation may be hard to recover from. Unless having the documents in front of your audience is absolutely critical to the success of the presentation, handouts should be distributed at the end of the presentation .

Slideware is a generic term for the software used to create and display slide shows such as Microsoft PowerPoint, Apple iWorks Keynote, Google Drive Presentation, Zoho Show, and others. Composed of individual slides, collectively known as the slide deck , slideware is a de facto standard for presentation visual aids despite criticisms and complaints about the format. In truth, the problem is not with the software but in the use of the program. The focus of much of the remainder of this chapter will be suggestions and best practices for creating effective slide decks that will be high impact and avoid many of the complaints of slideware detractors. Before this discussion, there is one distinct slideware presentation styles that should be mentioned.

A picture is a poem without words.

While not quite slideware, Prezi is digital presentation software that breaks away from the standard slide deck presentation. It requires users to plot out their themes before adding primarily image-focused content (Williams, 2004). Instead of flipping through the slide deck, the presenter zooms in and out of the presentation to visually demonstrate connections not available in other slideware. The design of the software lends itself toward more rapidly changing visuals. This helps to keep the viewer engaged but also lends itself to over-populating the blank canvas with images (Kadavy, 2011).

Prezi’s fast moving images and, at times, unusual movement can make users dizzy or disoriented. Careful work is needed during planning and practice so that the point of the talk isn’t the wow factor of the Prezi software, but that your visuals enhance your presentation. The best way to learn more about this emerging tool is to visit the Prezi website to view examples. If opting to use Prezi in a corporate environment, you should strongly consider one of the paid options for the sole purpose of removing the Prezi logo from the presentation.

  • Demonstrate how to use visual aids effectively in your presentation.

Almost all presentations can be enhanced by the effective use of visual aids. These can include handouts, overhead transparencies, drawings on the whiteboard, PowerPoint slides, and many other types of props. Visual aids are an important nonverbal aspect of your speech that you can control. Once you have chosen a topic, you need to consider how you are going to show your audience what you are talking about.

Have you ever asked for driving directions and not understood someone’s response? Did the person say, “Turn right at Sam’s Grocery Store, the new one” or “I think you will turn at the second light, but it might be the third one”? Chances are that unless you know the town well or have a map handy, the visual cue of a grocery store or a traffic light might be insufficient to let you know where to turn. Your audience experiences the same frustration, or sense of accomplishment, when they get lost or find their way during your speech. Consider how you can express yourself visually, providing common references, illustrations, and images that lead the audience to understand your point or issue.

Visual aids accomplish several goals:

  • Make your speech more interesting
  • Enhance your credibility as a speaker
  • Serve as guides to transitions, helping the audience stay on track
  • Communicate complex or intriguing information in a short period of time
  • Reinforce your verbal message
  • Help the audience use and retain the information

Purpose, Emphasis, Support, and Clarity

When you look at your own presentation from an audience member’s perspective, you might consider how to distinguish the main points from the rest of the information. You might also consider the relationships being presented between ideas or concepts, or how other aspects of the presentation can complement the oral message.

Your audience naturally will want to know why you are presenting the visual aid. The purpose for each visual aid should be clear, and almost speak for itself. If you can’t quickly grasp the purpose of a visual aid in a speech, you have to honestly consider whether it should be used in the first place. Visual aids can significantly develop the message of a speech, but they must be used for a specific purpose the audience can easily recognize.

Perhaps you want to highlight a trend between two related issues, such as socioeconomic status and educational attainment. A line graph might show effectively how, as socioeconomic status rises, educational attainment also rises. This use of a visual aid can provide emphasis, effectively highlighting key words, ideas, or relationships for the audience.

Visual aids can also provide necessary support for your position. Audience members may question your assertion of the relationship between socioeconomic status and educational attainment. To support your argument, you might include on the slide, “According to the U.S. Department of Education Study no. 12345,” or even use an image of the Department of Education Web page projected on a large screen. You might consider showing similar studies in graphic form, illustrating similarities across a wide range of research.

Clarity is key in the use of visual aids. One way to improve clarity is to limit the number of words on a PowerPoint slide. No more than ten words per slide, with a font large enough to be read at the back of the room or auditorium, is a good rule of thumb. Key images that have a clear relationship to the verbal message can also improve clarity. You may also choose to illustrate the same data successively in two distinct formats, perhaps a line graph followed by two pie graphs. Your central goal is to ensure your visual aid is clear.

Methods and Materials

If you have been asked to give a presentation on a new product idea that a team within your organization is considering, how might you approach the challenge? You may consider a chronological organization pattern, starting with background, current market, and a trend analysis of what is to come—fair enough, but how will you make it vivid for your audience? How to represent information visually is a significant challenge, and you have several options.

You may choose to use a chart or diagram to show a timeline of events to date, from the first meeting about the proposed product to the results from the latest focus group. This timeline may work for you, but let’s say you would like to get into the actual decision-making process that motivated your team to design the product with specific features in the first place. You may decide to use decision trees (or tree diagrams) showing the variables and products in place at the beginning of your discussions, and how each decision led to the next, bringing you to the decision-making point where you are today.

To complement this comprehensive guide and help make a transition to current content areas of questions, you may use a bar or pie graph to show the percentage of competing products in the market. If you have access to the Internet and a projector, you may use a topographical map showing a three-dimensional rendering of the local areas most likely to find your product attractive. If actual hills and valleys have nothing to do with your project, you can still represent the data you have collected in three dimensions. Then you may show a comparable graph illustrating the distribution of products and their relative degree of market penetration.

Finally, you may move to the issue of results, and present the audience with a model of your product and one from a competitor, asking which they prefer. The object may be just the visual aid you need to make your point and reinforce the residual message. When we can see, feel, touch, or be in close proximity to an object it often has a greater impact. In a world of digital images and special effects, objects presented in real time can still make a positive effect on the audience.

Additional visual aids you may choose include—but are not limited to—sound and music, video, and even yourself. If your speech is about how to use the product, your demonstration may just be the best visual aid.

You will want to give some thought to how to portray your chart, graph, or object when it’s time to use your visual aids. The chalk or white board is common way of presenting visual aids, but it can get messy. Your instructor may write key words or diagrams on the boards while discussing a textbook chapter, but can you read his or her writing? The same lesson holds true for you. If you are going to use a white board and have a series of words on it, write them out clearly before you start your presentation.

Flip charts on a pedestal can also serve to show a series of steps or break a chart down into its basic components. A poster board is another common way of organizing your visual aids before a speech, but given its often one-time use, it is losing out to the computer screen. It is, however, portable and allows you a large “blank page” with which to express your ideas.

Handouts may also serve to communicate complex or detailed information to the audience, but be careful never to break handout rule number one: never give handouts to the audience at the beginning of your speech. Where do you want the audience to look—at you or at the handout? Many novice speakers might be tempted to say the handout, but you will no doubt recognize how that diverts and divides the audience’s attention. People will listen to the words from the handout in their minds and tune you out. They will read at their own pace and have questions. They may even be impolite enough to use them as fans or paper airplanes. Handouts can be your worst enemy. If you need to use one, state at the beginning of the speech that you will be providing one at the conclusion of your presentation. This will alleviate the audience’s worry about capturing all your content by taking notes, and keep their attention focused on you while you speak.

Transparencies and slides have been replaced by computer-generated slide show programs like PowerPoint by Microsoft, which we will discuss in greater detail later in this section. These programs can be very helpful in presenting visual information, but because computers and projectors sometimes break down and fail to work as planned, you need a plan B. You may need a poster board, or to write on the whiteboard or to have a handout in reserve, but a Plan B is always a good idea when it comes to presentations that integrate technology. You may arrive at your destination and find the equipment is no longer available, is incompatible with your media storage device, or is simply not working, but the show must go on.

Video clips, such as those you might find on YouTube, can also be effective visual aids. However, as with handouts, there is one concern: You don’t want the audience to want to watch the video more than they want to tune into your presentation. How do you prevent this? Keep the clip short and make sure it reinforces the central message of your presentation. Always stop speaking before the audience stops listening, and the same holds true for the mesmerizing force of moving images on a screen. People are naturally attracted to them and will get “sucked into” your video example rather quickly. Be a good editor, introduce the clip and state what will happen out loud, point out a key aspect of it to the audience while it plays (overlap), and then make a clear transitional statement as you turn it off. Transitions are often the hardest part of any speech as the audience can get off track, and video clips are one of the most challenging visual aids you can choose because of their power to attract attention. Use that power wisely.

Preparing Visual Aids

Get started early so that you have time to create or research visual aids that will truly support your presentation, not just provide “fluff.” Make sure you use a font or image large enough to be legible for those in the back of the room, and that you actually test your visual aids before the day of your presentation. Ask a friend to stand at the back of the room and read or interpret your visual aid. If you are using computer-generated slides, try them out in a practice setting, not just on your computer screen. The slides will look different when projected. Allow time for revision based on what you learn.

Your visual aids should meet the following criteria:

  • Big . They should be legible for everyone, and should be “back row certified.”
  • Clear . Your audience should “get it” the first time they see it.
  • Simple . They should serve to simplify the concepts they illustrate.
  • Consistent . They should reinforce continuity by using the same visual style.

Using Visual Aids

  • Do make a clear connection between your words and the visual aid for the audience.
  • Do not distract the audience with your visual aid, blocking their view of you or adjusting the visual aid repeatedly while trying to speak.
  • Do speak to your audience—not to the whiteboard, the video, or other visual aids.

The timing of your presentation, and of your visual aids, can also have good or bad consequences. According to a popular joke, a good way to get your boss to approve just about anything is to schedule a meeting after lunch, turn the lights down, and present some boring PowerPoint slides. While the idea of a drowsy boss signing off on a harebrained project is amusing, in reality you will want to use visual aids not as a sleeping potion but as a strategy to keep your presentation lively and interesting.

Becoming proficient at using visual aids takes time and practice, and the more you practice before your speech, the more comfortable you will be with your visual aids and the role they serve in illustrating your points. Planning ahead before speaking will help, but when it comes time to actually give your speech, make sure they work for the audience as they should. Speaking to a visual aid (or reading it with your back to the audience) is not an effective strategy. You should know your material well enough that you refer to a visual aid, not rely on it.

Using PowerPoint as a Visual Aid

PowerPoint and similar visual representation programs can be an effective tool to help audiences remember your message, but they can also be an annoying distraction to your speech. How you prepare your slides and use the tool will determine your effectiveness.

PowerPoint is a slideware program that you have no doubt seen used in class, presentation at work, or perhaps used yourself to support a presentation. PowerPoint and similar slideware programs provide templates for creating electronic slides to present visual information to the audience, reinforcing the verbal message. You’ll be able to import, or cut and paste, words from text files, images, or video clips to create slides to represent your ideas. You can even incorporate Web links. When using any software program, it’s always a good idea to experiment with it long before you intend to use it, explore its many options and functions, and see how it can be an effective tool for you.

PowerPoint slides can connect words with images.

At first, you might be overwhelmed by the possibilities, and you might be tempted to use all the bells, whistles, and sound effects, not to mention the tumbling, flying, and animated graphics. If used wisely, a dissolve or key transition can be like a well-executed scene from a major motion picture film and lead your audience to the next point. But if used indiscriminately, it can annoy the audience to the point where they cringe in anticipation of the sound effect at the start of each slide. This danger is inherent in the tool, but you are in charge of it and can make wise choices that enhance the understanding and retention of your information.

The first point to consider is what is the most important visual aid? The answer is you, the speaker. You will facilitate the discussion, give life to the information, and help the audience correlate the content to your goal or purpose. You don’t want to be in a position where the PowerPoint presentation is the main focus and you are on the side of the stage, simply helping the audience follow along. It should support you in your presentation, rather than the other way around. Just as there is a number one rule for handouts, there is also one for PowerPoints: do not use PowerPoints as a read-aloud script for your speech. The PowerPoints should amplify and illustrate your main points, not reproduce everything you are going to say.

Your pictures are the second area of emphasis you’ll want to consider. The tool will allow you to show graphs, charts and illustrate relationships that words may only approach in terms of communication, but your verbal support of the visual images will make all the difference. Dense pictures or complicated graphics will confuse more than clarify. Choose clear images that have an immediate connection to both your content and the audience, tailored to their specific needs. After images, consider only key words that can be easily read to accompany your pictures. The fewer words the better: try to keep each slide to a total word count of less than ten words. Do not use full sentences. Using key words provides support for your verbal discussion, guiding you as well as your audience. The key words can serve as signposts or signal words related to key ideas.

A natural question at this point is, “How do I communicate complex information simply?” The answer comes with several options. The visual representation on the screen is for support and illustration. Should you need to communicate more technical, complex, or in-depth information in a visual way, consider preparing a handout to distribute at the conclusion of your speech. You may also consider using a printout of your slide show with a “notes” section, but if you distribute it at the beginning of your speech, you run the risk of turning your presentation into a guided reading exercise and possibly distracting or losing members of the audience. Everyone reads at a different pace and takes notes in their own way. You don’t want to be in the position of going back and forth between slides to help people follow along.

Another point to consider is how you want to use the tool to support your speech and how your audience will interpret its presentation. Most audiences wouldn’t want to read a page of text—as you might see in this book—on the big screen. They’ll be far more likely to glance at the screen and assess the information you present in relation to your discussion. Therefore, it is key to consider one main idea, relationship, or point per slide. The use of the tool should be guided with the idea that its presentation is for the audience’s benefit, not yours. People often understand pictures and images more quickly and easily than text, and you can use this to your advantage, using the knowledge that a picture is worth a thousand words.

Use of Color

People love color, and understandably your audience will appreciate the visual stimulation of a colorful presentation. If you have ever seen a car painted a custom color that just didn’t attract you, or seen colors put together in ways that made you wonder what people were thinking when they did that, you will recognize that color can also distract and turn off an audience.

Color is a powerful way to present information, and the power should be used wisely. You will be selecting which color you want to use for headers or key words, and how they relate the colors in the visual images. Together, your images, key words, and the use of color in fonts, backgrounds, table, and graphs can have a significant impact on your audience. You will need to give some thought and consideration to what type of impact you want to make, how it will contribute or possibly distract, and what will work well for you to produce an effective and impressive presentation.

There are inherent relationships between colors, and while you may have covered some of this information in art classes you have taken, it is valuable to review here. According to the standard color wheel, colors are grouped into primary, secondary, and tertiary categories. Primary colors are the colors from which other colors are made through various combinations. Secondary colors represent a combination of two primary colors, while tertiary colors are made from combinations of primary and secondary colors.

  • Primary colors . Red, blue and yellow
  • Secondary colors . Green, violet, and orange
  • Tertiary colors . Red-orange, red-violet, blue-violet, blue-green, yellow-orange, and yellow-green

Colors have relationships depending on their location on the wheel. Colors that are opposite each other are called complementary and they contrast, creating a dynamic effect. Analogous colors are located next to each other and promote harmony, continuity, and sense of unity.

Your audience comes first: when considering your choice of colors to use, legibility must be your priority. Contrast can help the audience read your key terms more easily. Also, focus on the background color and its relation to the images you plan to incorporate to insure they complement each other. Consider repetition of color, from your graphics to your text, to help unify each slide. To reduce visual noise, try not to use more than two or three additional colors. Use colors sparingly to make a better impact, and consider the use of texture and reverse color fonts (the same as a background or white) as an option.

Be aware that many people are blue-green colorblind, and that red-green colorblindness is also fairly common. With this in mind, choose colors that most audience members will be able to differentiate. If you are using a pie chart, for example, avoid putting a blue segment next to a green one. Use labeling so that even if someone is totally colorblind they will be able to tell the relative sizes of the pie segments and what they signify.

Color is also a matter of culture. Some colors may be perceived as formal or informal, or masculine or feminine. Recognize that red is usually associated with danger, while green signals “go.” Make sure the color associated with the word is reflected in your choice. If you have a key word about nature, but the color is metallic, the contrast may not contribute to the rhetorical situation and confuse the audience.

Seeking a balance between professionalism and attractiveness may seem to be a challenge, but experiment and test your drafts with friends to see what works for you. Also consider examining other examples, commonly available on the Internet, but retain the viewpoint that not everything online is effective nor should it be imitated. There are predetermined color schemes already incorporated into PowerPoint that you can rely on for your presentation.

We’ve given consideration to color in relation to fonts and the representation of key words, but we also need to consider font size and selection. PowerPoint will have default settings for headlines and text, but you will need to consider what is most appropriate for your rhetorical situation. Always think about the person sitting in the back of the room. The title size should be at least forty points, and the body text (used sparingly) should be at least thirty-two points.

Visual aids should be clear from the back of the room.

Helpful Hints for Visual Aids

As we’ve discussed, visual aids can be a powerful tool when used effectively, but can also run the risk of dominating your presentation. As a speaker, you will need to consider your audience and how the portrayal of images, text, graphic, animated sequences, or sound files will contribute or detract from your presentation. Here is a brief list of hints to keep in mind as you prepare your presentation.

  • Keep visual aids simple.
  • Use one key idea per slide.
  • Avoid clutter, noise, and overwhelming slides.
  • Use large, bold fonts that the audience can read from at least twenty feet from the screen.
  • Use contrasting colors to create a dynamic effect.
  • Use analogous colors to unify your presentation.
  • Use clip art with permission and sparingly.
  • Edit and proofread each slide with care and caution.
  • Use copies of your visuals available as handouts after your presentation.
  • Check the presentation room beforehand.
  • With a PowerPoint presentation, or any presentation involving technology, have a backup plan, such as your visuals printed on transparencies, should unexpected equipment or interface compatibility problems arise

5 reasons to use visual aids for speeches and presentations

1. Presentation visuals grab an audience’s attention—and keep it

Human beings are naturally curious creatures but we have a short attention span—and it’s gotten worse in our current era of information overload and non-stop scrolling. When listening to a speech or presentation, audience interest peaks around the 10-minute mark and then drops precipitously depending on the content and communication style of the speaker. (A Ben Stein soundalike drolling on about duality quantum algorithms? Godspeed.) That’s why so many experts insist on capping lectures at 15 to 20 minutes or mixing up the format with 20-minute blocks. Interesting visual aids can help you do that.

They spark interest when the brain is feeling fatigued, making it easier to receive and process complex information. Think of each new visual or animation as little shots of adrenaline—capturing the waning attention of an audience and re-energizing the room. This can be especially effective when embedding picture polls, or visuals that require audience members to pull out their phones and interact with the content you’ve presented.

2. Presentation visuals make complex ideas easier to understand

Not everyone computes information at the same speed. Infographics make data-heavy presentations more digestible—breaking statistics and other figures or timelines into bite-sized chunks. They’re also more persuasive. According to a study conducted at the Wharton School of Business, 67 percent of audience members were more convinced by the content of a verbal presentation with accompanying visuals versus 50 percent with a verbal-only presentation.

3. Presentation visuals build emotional bridges with the audience

They say a picture is worth a thousand words—it’s cliché but true. Images make viewers feel things that words cannot and give presenters a way to connect with their audience on a more visceral level. (Yes, even if your audience is a bunch of humorless academics.) Instead of listing off dull facts about global warming, pop in a few slides depicting recent floods or forest fires to drive home your point. Researchers have found that people who are asked to recall information after a three-day period retained just 10 percent of what they heard during an oral presentation, 35 percent from a visual presentation, and 65 percent from an oral presentation with visuals. You’ve worked too hard preparing your address to have the audience walk away remembering only a tiny fraction of what you said. Embracing visuals will improve the odds by six times.

Peppering your presentation with visual aids will help you organize your talking points, avoid off-topic rambling, and even jog your memory if you get hit with a bout of stage fright.

Visual aids are items speakers use to enhance their message. The most commonly used visual aid is a PowerPoint presentation. In addition to or in place of a slide show, some instructors will incorporate photos, videos, posters, charts, diagrams, or other visual items into their presentations. Real-life objects or Models that participants can see and touch can also be used as visual aids.

Why are visual aids valuable?

Visual aids are valuable for many reasons:

  • Clarification —Visual aids can make complicated information more digestible. The adage, “a picture is worth a thousand words,” is true. Visual aids can convey meaning and essence more effectively that words alone. For example, it would be hard for an instructor to adequately describe the different levels of bridge and pier deterioration without photographs.
  • Recall —When they both listen and view (or touch), participants use more than one sensory channel to process the information. Then, they connect the new information to their existing memories in multiple ways. As a result, they retain the new information better and longer than if they had just heard words alone.
  • Focus —Visual aids can focus participants’ attention on essential information. Bulleted phrases on a PowerPoint slide or easel pad can highlight and reinforce key points from a lesson. Maps, diagrams, photos, or other media can emphasize important details and put new information into an understandable context.
  • Variety —Visual aids also add variety to a training presentation. Video clips and images provide an interesting visual and/or audio break from a lecture or text-heavy slides. But it is important not to add novelty or decorative images or animation to a presentation. They actually can backfire and distract learners from the message.

While visual aids are a valuable support for an instructor, they should not replace the instructor. A good rule of thumb is if the instructor can’t present the training without the visual aids, then the instructor is relying on them too much. Human error and technological glitches can and do happen. A competent instructor should be able to adapt and deliver the training without the support of visual aids. It is also important to make sure that all participants can see the visual aids clearly. When setting up the training room, take a moment to sit in chairs in all four corners of the room. Check to make sure that participants in those locations would have a clear sight line to the projection screen, easel pads, whiteboard, etc. If they would not, move the chair or shift the visual aid to improve visibility. Also, consider how a participant with visual, hearing, or motor difficulties will be able to access the information in the visual aid. Section 508 of the Americans with Disabilities Act of 2007 guidelines include print, audio, and video media and websites.

To use visual aids effectively, it is necessary to understand how to maximize their advantages and work around their disadvantages.

PowerPoint Slides

PowerPoint is popular because it makes it easy to create and modify professional-looking presentations. PowerPoint slides can be simple or elaborate. Colorful templates are available and users can personalize slides with colors and font styles. Slide layouts allow you to insert photos, videos, quizzes, hyperlinks, or other interactions. Also, PowerPoint files are easily transportable. You can store the files on a flash drive or share via email, and there are several handout options available in the PowerPoint print menu.

Sunshine and projection lighting sometimes create glare that obscures the presentation. It may be necessary to dim the lights which can make it hard for some participants to take notes or stay awake. If the instructor doesn’t incorporate question and answer sessions or activities, participants will be unable to engage with the content and will become passive learners. PowerPoints are especially vulnerable to technical difficulties that can disrupt a presentation such as burnt out projection bulbs, inoperable slide advancers, sound issues, broken hyperlinks, etc. For information on creating a backup plan, refer to Difficulties with Technology . Images may be clear when viewed on a laptop but are not readable when they are projected. Consider creating handouts for diagrams or other images when participants need to see the details.

Easel Pads/Chart Paper

Easel pads and chart paper may be low tech, but their simplicity and flexibility make them extremely useful in the training classroom. The blank pages and a few colored magic markers create nearly unlimited opportunities for expression. They can be used to highlight key points, capture participant ideas, and create expressive diagrams on the fly; or they can be prepared in advance and revealed at appropriate times in the lesson. One tip is to write the information in pencil and trace over it later with a marker. Another tip is to fold the corner of a page you want to turn to later or attach a small sticky note at the bottom of each pre-made sheet to help you flip to the correct page.

Participants can engage with easel pads and chart paper as well. Instructors can hand a marker to one or more participants to record key ideas at the front of the room. If there are enough easels and pads, one can be positioned by each table for a small group activity. If there aren’t enough, sheets can be torn off and distributed so the groups can record their ideas. If the information is going to be referred to in the future, the sheets can be tacked or taped to the wall.

Savvy instructors will verify that the training site host will provide enough chart paper or easel pads. Prepared instructors also travel with a set of fresh markers to avoid being stopped mid-sentence if the ink runs out. Paper and markers are expensive and the easel pads’ size and shape makes them awkward to transport. Attaching several binder clips to the bottom and sides of an easel pad will keep the pages from separating or from flapping in the wind. In the classroom, they present another disadvantage: participants in the back may not be able to see the full easel pad. For participants to be able to view the entire message, it’s a good idea to avoid writing on the bottom of the pad and continue on a new sheet, if necessary. Remember to attach sheets as high on the wall as you can to provide the greatest visibility. Even participants in the front of the room may struggle to read writing that is too small or too close together. For greatest clarity, use wide-tip markers and make letters at least 2 inches high. Leave another 2 inches of space between each line.

Videos increase participants’ interest because they add motion, images, and audio into the classroom. They also introduce variety with a new “instructor” voice. Videos enhance learning because they can transport participants outside the classroom or provide complex demonstrations. No matter who the instructor is, participants will always get a consistent message from a training video.

Technology is making it easier and less expensive to create videos, but it is not always easy to find one that fits with the learning outcomes in a lesson. Some videos may be available, but are out of date. If a suitable video exists, don’t waste participants’ time by showing the whole thing. Just show a pertinent clip. Clips should be a maximum of 2 minutes long. Be sure any video you show for a federal government course or presentation is Section 508 compliant. Keep in mind that viewing a video is a passive experience. To increase participant engagement, explain the purpose of the video, how long it will last, and set a clear task for them to accomplish as they watch and listen. Follow the video with a discussion or other engagement activity. And remember, too much of anything is not good for you. Participants will become bored if videos are overused as an instructional tool.

Handouts are extremely versatile. They can provide review information to support struggling learners. They can provide full-sized versions of charts, tables, and other images that are too small to be read on a slide. They can offer articles or documents related to the content, provide additional resources, and provide a structured space for participants to take notes. Handouts can support skill transfer because participants can use them as job aids or references when they return to their jobs.

Handouts can sometimes present document management challenges. If handouts are distributed too early, they may get lost or may be reviewed out of order, and time will be wasted as participants search for the right page. Participants may become confused if there aren’t clear document titles or page numbers. Some participants may become distracted by handouts because they will focus on what is coming up next and not on the current lesson. It is sometimes best to take the just-in-time approach and distribute handouts only when they are needed.

Whiteboards

Whiteboards are often available in training rooms. Web and video conference platforms also offer interactive, online versions. Like easel pads and chart paper, they are colorful, easy to use, and readily available. They are ideal for reinforcing key information, creating diagrams, explaining key words and phrases, or showing how the material is organized. Like with easel pads and chart paper, whiteboards can be used to capture and share participant input. Important information, like Wi-Fi passwords, key vocabulary, or ground rules can be retained, and participants can refer to them again when needed. Less important information is easily erased.

Because whiteboards are often attached to the wall and can’t be repositioned, some participants may not have a clear view of them. It also may be difficult to read something written on a whiteboard from the back of the room. Like easel pads and chart paper, it is necessary to form large, legible letters and leave space between lines of text so participants can read the message. Even on large whiteboards, space is limited and it may be necessary to erase frequently to record new information. Check with participants to make sure they have finished copying information before you erase. Fresh dry-erase markers, erasers, and cleaners are essential, and instructors often need to bring their own supply.
