When serious and exceptional issues arise that are outside of your control, it can often impact your ability to undertake and complete your academic work. We understand this can be stressful. JMSU are here to provide some FAQs you might want to read. Firstly, it’s crucial to contact your module leader as soon as you can to let them know about your difficulties.

If you are unsure and want to speak to someone further about your personal and extenuating circumstances, please get in touch.

What does Personal Circumstance mean?

Personal Circumstance Issues can range from:

  • health-related issues – both physical and mental
  • Bereavement
  • IT issues (equipment and access to internet)
  • Changes to caring responsibilities or domestic responsibilities

How can I submit a Personal Circumstance application?

  • Request an extension – if you know you aren’t going to meet a deadline due to the circumstance/s, but with some extra time you could complete the work. If it is accepted, you will be given a new deadline date.
  • Defer your work through a Non-Attempt Submission – If you have not been able to meet the deadline or were unable to attend an exam. If accepted, you will be given a fresh opportunity to complete the work (deferral/referral period is in July)
  • Special Mitigation – If you have started a time-limited assessment such as an exam and have an exceptional issue that means that you are unable to complete the assessment, Special Mitigation is the route to take. If accepted, one of the following would be granted – a deferral, or your mark would be given based on the work submitted (if there is enough there).

What do I need to include on the Personal Circumstances form?

It’s important to include any evidence on your Personal Circumstance form , but this isn’t always easy to provide. Make sure you contact your personal tutor or programme leader to discuss, or get in touch with us for help.

Include your personal details, information about the circumstance and how it is affecting your studies/assessments. Include what module/assessments it will affect.

When do I have to submit the Personal Circumstance form by?

If you are requesting an extension you will need to submit this at least 48 hours before the submission deadline. If you are requesting during this 48-hour period, you will need to state why you were not able to submit the request earlier.

If you are submitting Personal Circumstances for either Non-submission or Special Mitigation, it is best to submit as soon as you can after the missed or affected assessment. The application should be made no later than 5 working days after the affected assessment was due. Late applications may be accepted if your circumstances prevented you submitting within time.

Liverpool John Moores University

Provides basic header for name, course etc. plus a variety of useful shorthand for maths and physics. Made for the MSc students at LJMU API to give them a route in to using LaTeX for their work by practising on tutorial assignments. Modified version of one used by OU students put together by various people over time and further hacked and augmented with more bits taken from the internet a long time ago (source forgotten).

For those students who experience unpredictable or cyclical acute episodes, DSS acknowledges that there may need to be accommodations made regarding flexibility on deadlines. However, this accommodation will be applied on a case-by-case basis, where the student must request an extension, if needed. This accommodation is intended to support occasional extensions for disability-related reasons.

In general, assignments are listed on the syllabus, and students are made aware well in advance. Students are responsible for planning accordingly to meet those deadlines. In the event of unexpected and/or exacerbated disability-related symptoms, students with consideration for extensions on assignments must contact their faculty prior to the due date to request the needed extension. Extensions are applied based on the due-date, not once symptoms mitigate. Extensions are not to be requested due to personal matters or illnesses, not related to the student’s disability.

Students are encouraged to work with faculty to establish a clear and shared understanding of how extensions may impact a student’s ability to meet course requirements. Extensions may not be possible in certain classes as the work is scaffolded (extending deadlines may put the student at a disadvantage) or impacts other students in the class (i.e., group work assignments). For these reasons, DSS advises that students who may need to request extensions speak to their faculty early in the semester to discuss the feasibility of this accommodation in the class. If students would like DSS to contact their faculty to disclose their disability and how it may impact their attendance, they will need to sign a release of information form.

Important Notes:

  • Accommodations are not retroactive. Faculty are not expected to make exceptions for missed deadlines when an extension was not requested in advance.
  • Students are expected to request an extension from faculty in advance of the due date, or as soon as possible in the case of any emergencies.
  • The faculty will determine if an extension request is possible given the nature of their course. For this reason, students are encouraged to speak to faculty early in the semester before a need arises to request an extension.
  • Accommodations for extensions are to be made assignment-by-assignment and are intended to support a limited number of requests. Students who believe they will have on-going challenges to meet deadlines should speak with DSS to discuss alternative accommodations such as a reduced course load , priority registration to create a balanced schedule, or improved study skills from the Katz Family Learning Skills Program .
  • Extensions are not to be requested based on the need to study for other exams, completing other assignments, employment, or other personal obligations.
